To change how new blank documents look in desktop Word, set the relevant defaults for documents based on the Normal.dotm template. Font, paragraph spacing, and margins have separate controls; changing formatting in the open document alone may affect only that document. Word for the web also resets some choices for each new document.
Decide whether to change this document or future documents
Formatting changes can apply to the document you are editing or become starting defaults for future documents. For the default font, Word’s desktop dialog explicitly offers a choice between the current document and all documents based on Normal. Check that scope before confirming: selecting the current-document option does not set a general default.
In desktop Word, Normal.dotm is the central template for new blank documents. Microsoft Support describes it as including default styles and customizations that determine a document’s basic look. Changes to Normal affect documents created in the future from that template; they do not retroactively reformat existing files. See Microsoft’s guide to the Normal template.
Set the default font in desktop Word
Microsoft lists the current font instructions for Word for Microsoft 365 and Word 2016–2024 on Windows and Mac. Menu wording and placement can vary by version, operating system, or language.

- Open the Home tab and open the Font dialog using its dialog box launcher.
- Choose the font family, style, and size you want new documents to use.
- Select Set As Default.
- Choose All documents based on the Normal template to use the setting for future Normal-based documents, or choose the current-document option if you only want to change the open file. Confirm the choice.

Set default line and paragraph spacing
Microsoft says desktop Word’s default line spacing is 1.15, with a blank line after paragraphs and space above headings. To change line spacing and paragraph spacing for future documents:

- On Home, select Line and Paragraph Spacing, then Line Spacing Options.
- Set the line spacing and the paragraph spacing values for Before and After as needed.
- Select Set as Default, then choose All documents based on the Normal template.
Line spacing controls the vertical distance between lines; paragraph spacing adds space before or after a paragraph. Microsoft’s instructions are under Change the default line spacing in Word and Adjust indents and spacing.
Change margins for a document or future documents
Microsoft says Word pages automatically use one-inch margins. To change margins in the open document, use Layout > Margins and select a preset or open Custom Margins to enter your own measurements. This is a document-layout control, so do not assume that choosing a margin preset in one file changes the defaults for every future file. For broader changes to new-document defaults, Microsoft identifies the Normal template as the place for document formatting. Its default-settings guidance says Word for the web reverts to one-inch margins in the next new document. That guidance is marked for Word 2019 for Mac, so treat its menu details as edition-specific rather than universal. See Change the default settings for new documents.
Use Normal.dotm for broader desktop customization
Normal can store defaults beyond font and spacing, including styles, text and paragraph formatting, document formatting, pictures, AutoText entries, and keyboard shortcuts. Microsoft’s instructions for editing it are to open the template from within Word:

- Use File > Open and browse to the location where Word stores
Normal.dotm. - Open the template, make the desired changes, and save it.
The template location differs between systems and installations, so avoid assuming a single filesystem path. Microsoft’s Normal.dotm instructions cover opening and managing the template.

Use Normal when you want a consistent starting point for ordinary blank documents. If you regularly create a specific kind of file—such as a report, letter, or business plan—a separate reusable template keeps those specialized layout choices distinct from your general defaults. Microsoft says templates can define layouts, fonts, margins, and styles. Its guide explains how to save a Word document as a template.

Know what persists in Word for the web
Microsoft’s support guidance says Word for the web reverts line spacing to 1.15 and margins to one inch when a new document is created. As a result, a change made while editing one web document may not become a persistent default for the next. The detailed default-font and Normal.dotm procedures above are for desktop Word; the cited documentation does not establish equivalent web controls for making all such changes permanent.
Troubleshoot defaults that do not stick
- Confirm the scope: For the font, verify that you selected all documents based on Normal rather than only the current document.
- Check template permissions: Microsoft recommends checking whether
Normal.dotmis read-only and whether your account has permission to write to it. In a managed workplace, an administrator may control those permissions. - Check add-ins: Microsoft identifies add-ins as another possible cause when the font default does not persist.
- Back up customizations: Microsoft recommends backing up Normal after extensive customization. If Normal is renamed, damaged, or moved, Word creates a replacement with original defaults; customizations in the displaced copy are not carried over. Other templates do not have the same automatic recreation behavior, so back them up before editing.
