QuickBooks Free automatically sorts business and personal transactions and syncs transactions from one connected bank account, according to Intuit. The product page does not explain how its sorting works internally or promise that every transaction will be categorized correctly, so plan to review your books rather than treating the feature as a substitute for checking them.

Does QuickBooks Free automatically categorize expenses?

Intuit describes QuickBooks Free as automatically sorting business and personal transactions. It also says the plan can sync transactions from one connected bank account. Those are the published feature claims; Intuit’s Free-plan page does not specify the classification method, what information it uses, how it handles uncertain transactions, or whether a particular transaction will be sorted correctly. See Intuit’s QuickBooks Free plan details.

Automatic sorting is therefore a starting point for organizing transaction records, not proof that an expense is deductible or correctly classified for tax purposes. Check the resulting records and correct mistakes before relying on them.

What is included in QuickBooks Free?

Intuit presents QuickBooks Free as an ongoing $0-per-month option for solo or new business owners, not just a trial. Its product page lists these monthly limits:

Feature QuickBooks Free limit listed by Intuit
Connected bank accounts One
Receipt captures Two per month
Mileage trips Five per month
Invoices Two per month
Estimates One per month
Reports Profit and loss, balance sheet, and account summary

Intuit says no credit card is required and that users can keep using the Free plan as long as they want, subject to its feature limits. That differs from the 30-day trial, which provides full access to a paid plan for a limited time. Plan terms and caps can change; check the current QuickBooks Free page before signing up.

Can you separate business and personal transactions?

Intuit says QuickBooks Free sorts business and personal transactions automatically, but its public Free-plan description does not explain the review process or controls for correcting a classification. If the distinction matters for your records, inspect the transactions and verify that each one is assigned appropriately. Do not assume the automatic label determines whether a purchase qualifies as a business expense or is tax-deductible.

What if QuickBooks categorizes a transaction incorrectly?

The Free-plan page does not document a specific correction workflow or custom-rule feature. Intuit’s instructions for QuickBooks Solopreneur provide separate product guidance: users can review downloaded transactions, change missing or incorrect categories, customize categories, and create rules for recurring or similar transactions. Those instructions apply to Solopreneur; they do not establish that the same controls or limits are included in QuickBooks Free.

Solopreneur’s help article says users can create up to 30 transaction rules, and its categorization guidance describes up to 180 customizable categories. Consult the relevant Solopreneur categorization instructions and Solopreneur rules guide only if you are using that product.

How QuickBooks Online’s feature differs

QuickBooks Online has its own documented automatic categorization feature for familiar expenses. Intuit’s help article describes a preview and review flow, ways to correct or undo categorization, and a setting to turn the feature on or off. It also lists transactions that may remain uncategorized, including money-in transactions, contextual items such as loans or transfers, rule-categorized expenses, and transactions without enough information.

This is QuickBooks Online guidance, not a description of the Free plan. See Intuit’s QuickBooks Online auto-categorization instructions for that product’s workflow.

Is QuickBooks Free enough for your bookkeeping?

The plan may fit a solo owner whose needs fall within its listed caps and who wants bank syncing and automatic transaction sorting. Compare the one-account limit and the monthly receipt, mileage, invoice, and estimate allowances with your actual workload. If you need more capacity or specific review and rule controls, verify those features in the product you are considering rather than assuming that Solopreneur or QuickBooks Online documentation applies to Free.

Intuit positions QuickBooks Solopreneur for one-person businesses and says its tax-filing capabilities are designed for Schedule C (Form 1040) filers, commonly sole proprietors or single-member LLCs. Intuit also says Free users can upgrade and retain what they have built in QuickBooks Free. That does not mean every Solopreneur feature or eligibility condition comes with Free. See Intuit’s Solopreneur overview and its business and personal transaction information for that product’s positioning.
