Automate from a single source of truth: your MLS export or CRM should emit a validated listing record, an asset generator should create Instagram- and Facebook-ready media, and a publishing service should send content to a linked Facebook Page and Instagram professional account through Meta’s APIs. Save every external post ID and listing version so price changes, sold notices and takedowns are deterministic rather than manual searches.
What the automation pipeline should do
A reliable system is an event-driven workflow, not a “post this spreadsheet” macro. Treat each listing as a versioned content record containing:
- Stable MLS or CRM listing ID and version number
- Permitted address or locality, property type, beds, baths and price
- Status (active, pending, sold, withdrawn or expired) and an expiry timestamp
- Canonical property URL and optional campaign parameters
- Image or video URLs plus documented usage rights and expiry dates
- Caption, accessibility text and agent or brokerage contact details
When a record is created or changed, validate it, render channel-specific media, place it in an approval queue, publish it, and store the result. A daily reconciliation job compares active inventory with published records and flags anything stale.
Use events for speed and feeds for reconciliation
Have the CRM webhook, MLS export watcher or integration platform emit a “listing changed” event. Process that event within your own queue so a temporary Meta outage does not lose the update. Keep a catalog feed as a second line of defense: Meta feed imports support CSV, TSV, RSS XML and Atom XML. Scheduled feed retrieval cannot be configured more often than once per hour, so near-real-time changes should use an API batch or event path while the feed reconciles inventory.

Meta account and permission prerequisites
Instagram publishing through the Facebook Login route requires an Instagram professional account linked to a Facebook Page. Consumer Instagram accounts are not supported by that flow. Request only the permissions your workflow needs, including pages_show_list, instagram_basic, instagram_content_publish and pages_read_engagement where applicable.
- Convert the brokerage’s Instagram profile to a Professional account.
- Create or identify the Facebook Page that represents the brokerage or agent.
- Link the Instagram professional account to that Page in Meta’s account settings.
- Create a Meta app, configure the Facebook Login product and complete required app review for permissions used outside development accounts.
- Generate a long-lived token, store it in a secrets manager, and associate it with exactly one brokerage or client account.
- Call the account and Page discovery endpoints at setup time, then persist the returned IDs rather than relying on usernames.
Meta’s endpoints and permission names change, so verify the current documentation and review status before deploying to production.
Design the listing data model
A normalized record prevents channel templates from reading inconsistent fields. Keep source values and rendered values separately so you can regenerate a post when a template changes.

Render content for each channel
Create a square or portrait carousel for photos, or a short vertical video for a walkthrough. Put the essential facts in the first caption lines: locality, price, beds and baths, property type and a clear call to action. Add descriptive accessibility text. Keep hashtags relevant and limited; repetitive captions and unrelated hashtag blocks can reduce distribution.

Facebook Page
Use the same approved facts but adapt the opening sentence and link preview for a Page audience. Generate a canonical URL with tracking parameters in your own analytics system, while keeping the underlying property URL stable for deduplication.
Approval and compliance gate
Before an API call, require a person or a documented rule set to confirm price and availability against the source, image rights, phone numbers, link destination, fair-housing language and local advertising requirements. Route ambiguous school, neighborhood, demographic or “ideal buyer” wording to a human reviewer.
Publish to Instagram with the container workflow
Instagram publishing is staged. First create a media container, poll until it is ready, then call media_publish with the container’s creation ID. A simplified Python worker illustrates the control flow; adapt endpoint versions and fields to the current Meta API.

Publish the Facebook Page post
Use the approved Page publishing workflow with the Page ID and a Page token. Build the message and link from the same validated record, submit once, and save the returned Page post ID and response code. If the call times out after Meta may have accepted it, query recent Page posts for your idempotency key before retrying.
Synchronize catalogs and remove stale inventory
Represent each active property as one catalog item with stable ID, price, availability, canonical URL, image URLs, location and last-modified time. Deactivate or delete the item when a listing is sold, withdrawn or expired. A feed alone is not a takedown guarantee because scheduled retrieval is hourly at best; process status events immediately and let the next feed refresh reconcile the state.
Change policy
- Price change: update the catalog immediately and publish a new post only when the change is editorially useful.
- Status to pending: stop “new listing” automation and follow your brokerage’s policy for an update.
- Sold, withdrawn or expired: deactivate the item, stop queued jobs and remove or amend social posts according to a documented retention policy.
- Image-rights expiry: unpublish or replace the affected media before the license deadline.
Reliability, security and observability
- Queue jobs and retry transient 5xx, rate-limit and network failures with exponential backoff and jitter.
- Do not retry invalid media, missing permissions or rejected policy content without changing the input.
- Keep tokens in a secrets manager, encrypt them in transit and at rest, and isolate credentials per client.
- Record source version, approver, payload hash, API response, external IDs, publish time, retry count and takedown time.
- Alert on token expiry, permission errors, rejected containers, stale active listings and feed/API disagreements.
- Run a daily reconciliation that compares every active source listing with catalog state and social post state.
Common failures and fixes
“Unsupported account” or permission error
Confirm the Instagram profile is Professional, linked to the intended Facebook Page, and that the token includes approved permissions. Reconnect the Page if an administrator changed ownership or access.
Container remains processing
Check that the media URL is publicly reachable over HTTPS, returns the correct content type and is not protected by expiring authentication. Poll with a bounded timeout; then mark the job failed and alert rather than publishing a duplicate.

Duplicate posts after a retry
Look up the idempotency key and recent external IDs before creating a new container. Store the creation ID as soon as it is returned, not only after final publication.
Sold homes continue appearing
Make status events trigger an immediate stop: cancel queued jobs, deactivate the catalog item and apply the team’s post-removal policy. The nightly reconciliation should page an operator when an active social post has no active source record.
Reach drops
Review captions for repetitive text, excessive or unrelated hashtags and automated reposting after a listing is no longer active. Meta’s April 24, 2025 guidance says accounts using those tactics may have content shown only to followers and may lose monetization eligibility.
