Start with the reporting contract, not the scheduler. Define the period (the previous full calendar month or a rolling window), delivery time zone, refresh deadline, recipients, data-separation rule, output format, and destination. Then use your dashboard’s native scheduler—or a documented export API and workflow service when native delivery cannot meet those requirements. The clicks differ between Power BI, Looker, and Google Data Studio, so treat the platform sections below as implementation-specific guidance rather than a universal menu path.
1. Define exactly what “monthly” means
Write these decisions down before opening the dashboard:
- Period: Previous full month (for example, August 1–31) is usually easier to audit than “the last 30 days.” A rolling period must specify the exact number of days and the time at which it is evaluated.
- Run time and time zone: Choose a date and time after the source systems normally finish loading. State whether “September 1 at 08:00” means UTC, the client’s local zone, or the data warehouse’s zone.
- Refresh dependency: Identify the latest successful refresh and set delivery after it. A scheduler can send an on-time file containing yesterday’s data if refresh completion is not part of the design.
- Report contract: List pages, metrics, filters, filename convention, recipients, and retention location. Decide whether a late report should be held, sent with a warning, or replaced by a prior-period file.
Use a calendar test date (such as a month containing 28, 30, and 31 days) to verify boundaries. Check daylight-saving changes if the delivery zone observes them.
2. Verify ownership, permissions, and client separation
Choose an access model
- Separate delivery: One report or schedule per client, with that client’s recipients and filters.
- Shared report with enforced access: A single report uses row-level or equivalent security. Confirm that the security rule is enforced during export, not only in an interactive browser session.
The scheduler account needs permission to read the report, query its data, and write to the destination (email, storage, webhook, SFTP, or an integration). Test with an account that represents the intended recipient where the platform permits it. Do not rely on a developer’s broader access to prove that a client will see only its own rows.

Audit the change points
Record the report owner, data-source credentials, workspace or folder, service account, recipient list, and destination owner. A staff departure, revoked OAuth token, changed dataset connection, or transferred report can stop a schedule without changing the report itself.
3. Pick the output and destination

Confirm the platform actually supports the format and destination combination. A dashboard export may support PDF but not a native spreadsheet destination, or may require an administrator to enable a connector.
4. Configure the scheduler for your platform
Power BI with Power Automate
Microsoft’s documented pattern uses a scheduled cloud flow, the Export To File for Power BI Reports action, a selected workspace and report, an export format, and an email action. Microsoft states: “When you run the flow, Power Automate exports a Power BI report in the specified format and sends it as an email attachment as scheduled.” The documented prerequisites include a workspace backed by reserved capacity and access to standard Power Automate connectors. Verify your tenant’s licensing, capacity, connector availability, and desired format before committing to the design.
- Create a scheduled cloud flow in Power Automate and set the recurrence to monthly. Specify the delivery time zone and day (for example, the first day of the month).
- Add Export To File for Power BI Reports. Select the workspace, report, and export format; select pages or other options exposed by your tenant.
- Add the email action, attach the exported file, set a stable subject and filename, and address only the approved recipients.
- Add failure notification or a separate monitoring path. Run the flow manually before enabling the recurrence.
Filter warning: exports use the report’s saved default slicer values. A viewer’s later interactive selections do not automatically become the scheduled export. If each client needs a different period or filter, set those values explicitly through the supported API or create separate secured reports/flows.

Looker
Looker supports immediate or recurring dashboard delivery. Depending on administrator configuration, destinations can include email, webhook, Amazon S3, and SFTP; enabled integrations may add others. Dashboard output formats include PDF and CSV ZIP.
There is an important spreadsheet limitation: Looker dashboard scheduling does not support Google Sheets as a destination. For Google Sheets delivery, Google’s guidance is to schedule a Look or Explore and use plain CSV instead. Scheduling and sending also use Production Mode LookML, so the dashboard developer must turn off Development Mode before creating or sending the delivery.
Looker may deliver cached results when valid results exist; if there are no valid results or the cache has expired, it reruns the query. Align the schedule with the expected cache and warehouse refresh, and verify that the scheduler’s account and administrator settings permit the chosen destination.
Google Data Studio (Looker Studio)
Google documents recurring email delivery of a report as a PDF attachment, with an optional link to the original report. Scheduling requires scheduling permission, editor access, or ownership. In the schedule dialog, select recipients, report pages, and a starting date and time. Cadence options and account limits can vary, so inspect the current interface for your account rather than assuming a particular monthly menu.

5. Test the complete path before recurring delivery
- Run the source refresh and confirm its completion timestamp.
- Execute a one-time delivery using a test mailbox or controlled destination.
- Open the file as a recipient: check period boundaries, timezone labels, default slicers, page order, totals, fonts, links, and filenames.
- Verify client separation by inspecting rows, filters, embedded links, and any drill-through pages.
- Check that every recipient and distribution address is current and that external-mail policies do not quarantine the message.
- Trigger a deliberate failure where safe (for example, a test destination) and confirm that an owner receives an alert.
- Keep a manual approval step for the first several monthly runs. Record the run ID, refresh timestamp, file hash or storage path, and approval decision.
6. Reliability, maintenance, and fallback
Use explicit dependencies
If the platform cannot wait for a successful refresh, place the scheduler after the expected refresh window and add a freshness check in the workflow or warehouse. A “successfully sent” status proves delivery, not data freshness.
Make retries safe
Use a deterministic filename containing client and period, and include a unique run identifier in metadata. Before retrying, check whether the first attempt reached the destination to avoid duplicate client emails. For webhooks and storage, design the receiver to tolerate duplicate events.
Plan the fallback
Keep a manual export procedure, an approved prior-period template, and an escalation owner. If refresh is late, either delay delivery with a clear notice or send a clearly labelled preliminary file; never silently substitute stale data.
Recheck after changes
Revalidate schedules after ownership transfers, credential rotation, data-source changes, recipient edits, platform upgrades, or altered row-level-security rules. Review access at least as often as client contracts require.

Decision checklist

Can one monthly schedule serve every client?
Only when the platform can enforce client-level data access during export and you have tested it as each recipient. Otherwise, use separate secured reports or schedules.
Should I schedule on the first day or last day of the month?
Schedule after the source refresh for the completed period. The correct day depends on when the data is actually final, not on a universal calendar rule.
What should I retain for audit?
