The best cloud storage service depends on what you need it to do. Microsoft OneDrive is the strongest all-rounder for Windows users and Microsoft 365 subscribers. Google Drive is the easiest choice for Gmail and Google Workspace users. IDrive is better suited to backup and archiving than everyday collaboration, while Proton Drive is the privacy-first option.

This guide compares the leading services on storage, file sharing, synchronization, backup features, encryption, platform support, limits, and current U.S. pricing. It also covers the settings that commonly cause problems—especially the difference between a synchronized folder and a real backup.

Microsoft OneDrive is the best overall cloud storage service for most people. It combines dependable synchronization, useful sharing controls, Office collaboration, Windows integration, mobile apps, and file versioning. It is particularly compelling if you already pay for Microsoft 365, because storage is bundled with the subscription rather than purchased separately.

OneDrive works in File Explorer on Windows, in Finder on macOS, through a browser, and in Android and iOS apps. Files can remain online-only until you need them, which prevents a cloud library from consuming the entire internal drive. The listed maximum file size is 250GB, enough for most personal video projects and large archives.

Useful OneDrive settings

  1. Click the OneDrive cloud icon in the Windows notification area.
  2. Choose Help & Settings → Settings → Sync and back up.
  3. Expand Advanced settings under Files On-Demand.
  4. Choose Free up disk space to keep files online-only, or Download all files to keep local copies.

To keep a particular file available without an internet connection, right-click it in File Explorer and choose Always keep on this device. To reverse that decision, right-click it and select Free up space. An online-only file cannot be opened while offline.

OneDrive can also protect Desktop, Documents, and Pictures. Open the OneDrive settings, select Sync and back up → Manage backup, choose the folders, and select Save changes.

Important: OneDrive synchronization is not an independent backup. If you delete a file inside a synchronized folder, that deletion can propagate to OneDrive and your other connected computers. Recovery may be possible through the recycle bin or version history, but critical files should also exist in a separate backup.

Best for Google users: Google Drive

Google Drive is the natural choice for people who live in Gmail, Google Docs, Google Sheets, and Google Photos. Its browser-based sharing and real-time editing are excellent for households, students, and teams that need several people to work on the same documents.

Every Google Account includes up to 15GB, but this is shared across Google Drive, Gmail, and Google Photos. It is not 15GB reserved exclusively for Drive. Google One storage currently starts at 100GB for $1.99 per month and includes a 2TB option at $9.99 per month. Google also lists AI-branded plans, so check whether a displayed 2TB tier is a standard Google One plan or an AI bundle before subscribing.

How to share a Google Drive file

  1. Select the file or folder in Drive and click Share.
  2. Under General access, choose the intended audience.
  3. Select Viewer, Commenter, or Editor.
  4. Click Copy link, then Done.

“Anyone with the link” is convenient but should not be treated as private. Anyone who obtains the link may be able to open the item, and the owner’s name and email address can be visible depending on the sharing context.

Eligible work and school accounts can allow non-Google users to collaborate as visitors after email-PIN verification. Visitor access lasts seven days before verification is required again. Visitors cannot own Drive files or folders, upload or create files in My Drive, or download folders.

Google Shared drives for organizations

Shared drives are different from ordinary My Drive folders and are available only to work or school accounts. The organization, rather than an individual employee, owns the files. That means files remain in the shared drive if their creator leaves.

Current shared-drive roles include Manager, Content manager, Contributor, Commenter, and Viewer. Administrators can also restrict external sharing or prevent members from downloading, copying, or printing files.

Best for backup value: IDrive

IDrive is the best choice here when “cloud storage” really means cloud backup. It can back up computers, external drives, and network drives, and its Windows edition supports disk-image backup. It also offers continuous backup, password-protected sharing, and up to 30 file versions retained indefinitely according to the reviewed feature set.

IDrive’s free Basic account includes 10GB. Personal plans currently start at 5TB for $11.99 per month, with larger 10TB, 20TB, 50TB, and 100TB tiers. Exceeding the storage allowance can result in overage charges, so monitor usage if you are backing up several machines or large media libraries.

IDrive is not the closest replacement for Dropbox or Google Drive when the main requirement is live document collaboration. Its listed file-size limit is 2GB, and its main advantage is broad backup coverage, retention, and recovery—not polished office editing.

Best for simple syncing: Sync

Sync is a good fit if you want uncomplicated file synchronization with a stronger privacy position than many mainstream competitors. It provides 5GB free, client-side encryption, sharing tools, and applications for Windows, macOS, Android, iOS, and the web. The service lists no file-size limit, which is useful for large individual files.

The main platform drawback is that Sync does not offer a native Linux application. Linux users may need to use the web interface or choose a service with proper desktop support.

Sync is less feature-heavy than OneDrive or Google Drive, but that can be an advantage if you do not need integrated office suites, extensive team administration, or a large ecosystem of extra apps.

Best for familiar file sharing: Dropbox

Dropbox remains one of the easiest services to understand and use. Its desktop folder, sharing links, file history, and broad third-party integration make it useful when clients, coworkers, or family members already use Dropbox.

The U.S. plans page lists 2GB free for Basic, 2TB for $9.99 per month on Plus, Standard at $15 per user per month, and Advanced at $24 per user per month. Plus supports transfers up to 50GB; team plans support transfers up to 100GB.

The free Basic plan has a practical restriction that is easy to miss: it remains limited to three connected devices. That can be restrictive if you use a desktop, laptop, phone, tablet, and work computer.

Best for Apple devices: iCloud+

iCloud+ is the most convenient option for iPhone, iPad, and Mac owners. It handles device backups, iCloud Photos, iCloud Drive, Messages, and other Apple services with little configuration. Family storage sharing is also straightforward when everyone uses Apple devices.

The free allowance is 5GB and is shared by iCloud Drive, photos, backups, messages, and mail. iCloud Drive can be accessed from Windows and the web, but the experience is most seamless inside Apple’s ecosystem.

Do not describe all iCloud Drive data as end-to-end encrypted by default. Apple’s ordinary iCloud protection and Advanced Data Protection are separate configurations. If encryption is central to your decision, verify which protection mode is enabled for the specific data you store.

Best for privacy: Proton Drive

Proton Drive is the strongest pick for users who prioritize end-to-end encryption over ecosystem integration. Proton says file contents, filenames, and folder names are encrypted before leaving the device. It also supports password-protected and expiring sharing links.

The current free tier is 5GB, not the older 1GB figure still repeated in some comparisons. Drive Plus provides 200GB and advertises recovery of previous file versions for up to 10 years.

End-to-end encryption can limit some convenience features. Services such as Google Drive and Dropbox can inspect ordinary consumer files to provide previews, search, and integrations; Proton’s stronger privacy model means some workflows may be less flexible. Proton announced a June 2026 cryptography update claiming uploads up to four times faster, but that is a vendor-reported improvement rather than a universal independent benchmark.

Cloud synchronization is not backup

A synchronized folder keeps multiple locations aligned. That is useful, but it can also reproduce unwanted changes everywhere. Accidental deletion, ransomware encryption, or a damaged file may synchronize to the cloud and other devices.

For important data, use at least one additional protection:

  • A dedicated backup service with independent retention, such as IDrive.
  • Version history or snapshots that cannot be immediately overwritten.
  • An external drive disconnected after backup.
  • A second cloud account or offline copy for irreplaceable files.

Before trusting a service, test restoration. Delete a test file, recover it from the recycle bin or version history, and confirm that you can download and open the recovered copy.

How to choose the right cloud storage

  1. Start with your devices. Windows and Microsoft 365 users should begin with OneDrive; Apple households with iCloud+; Google Workspace users with Drive.
  2. Separate syncing from backup. Choose IDrive if protecting computers and external drives matters more than collaborative editing.
  3. Check the largest files. IDrive’s listed 2GB limit and Dropbox’s transfer limits matter for video, disk images, and design projects.
  4. Check free-tier scope. Google’s 15GB is shared with Gmail and Photos, while Dropbox Basic offers only 2GB and a three-device limit.
