Recommended Free Tools
The best CRM depends less on the longest feature list than on how your team actually sells. A two-person consultancy may need a simple deal board and Gmail integration, while a multinational sales organization may need custom objects, complex permissions, forecasting, and enterprise automation.
Our 2026 shortlist covers both ends of that range. HubSpot is the strongest general-purpose option, Salesforce leads for enterprise customization, Zoho delivers the broadest value, and focused tools such as Pipedrive, Close, Copper, and Insightly make more sense when your sales process has a clear specialty.
Prices below are U.S. list prices where available and generally use annual billing. Check taxes, promotions, onboarding fees, add-ons, minimum seats, and AI or communications usage before treating any price as your likely total.

1. HubSpot Sales Hub: best overall
HubSpot Sales Hub is the best all-round choice for a growing business that wants sales, marketing, service, and customer data in one system. Its free CRM handles contacts, companies, deals, tasks, meetings, email, live chat, and basic pipelines, so a small team can start without an implementation project.

The free plan is available for up to two users. Starter begins at $7 per seat per month with annual billing. Professional starts at $90 per seat per month and Enterprise at $150. Professional includes a one-time $1,500 onboarding fee, while Enterprise includes a $3,500 onboarding fee.
Why choose HubSpot
- Good contact, company, deal, activity, and communication records in the free product.
- Professional adds sequences, prospecting, forecasting, playbooks, sales analytics, and custom reporting.
- Enterprise adds custom objects, predictive lead scoring, conversation intelligence, recurring-revenue tracking, and deal-journey analytics.
- It is easier to expand into marketing and customer service than with a sales-only CRM.
Pipeline limits are important: the current plans show one pipeline on Free, two on Starter, 15 on Professional, and 100 on Enterprise. HubSpot also uses monthly HubSpot Credits for certain AI and automated capabilities. The included credits reset each month and do not roll over; additional credits are listed at $0.010 each. That means a low seat price does not necessarily represent your maximum AI-related cost.
Choose HubSpot if: you want a flexible platform that can grow from a small sales team into a broader customer platform.
Watch out for: the outdated claim that HubSpot’s free CRM supports unlimited users. The current Sales Hub free limit is two users.

Salesforce Sales Cloud remains the strongest choice for large or complex organizations. It supports detailed permissions, sophisticated automation, forecasting, products, price books, quotes, contracts, orders, extensive integrations, and deep customization.
The current comparison lists Free Suite at $0 per user per month, Starter Suite at $25, Pro Suite at $100, Enterprise at $175, Unlimited at $350, and Agentforce 1 Sales at $550. These are different editions, not progressively unlocked versions of one simple plan. AI, Data Cloud, Agentforce, success plans, and other services may require separate purchases.
Why choose Salesforce
- Powerful customization for unusual sales processes and organizational structures.
- Detailed controls for roles, permissions, reporting, and automation.
- A large integration and consulting-partner ecosystem.
- Suitable for organizations that need CRM to connect with broader enterprise systems.
Salesforce is rarely the best choice for a small team that only needs a visual pipeline. Implementation, data modeling, user training, administration, and add-ons can cost more than the subscription itself.
Choose Salesforce if: your business needs enterprise governance, extensive customization, or a CRM administrator and implementation budget.
Watch out for: treating the $25 Starter price as the cost of the full Salesforce experience. It is the entry edition, not the equivalent of Enterprise or Unlimited.
3. Zoho CRM: best value
Zoho CRM offers an unusually broad feature set for its price. It suits small and midsize businesses that want sales automation, multiple pipelines, custom modules, reporting, inventory features, AI, and access to the wider Zoho application ecosystem.
Zoho lists a free edition for three users. The displayed regional pricing lists Standard at ₹800 per user per month, Professional at ₹1,400, and Enterprise at ₹2,400, with local taxes added. The pricing page can default to a regional currency, so U.S. buyers should switch the selector to USD before comparing it with other products.

What you get
- The free edition includes leads, deals, workflows, reports, mobile apps, import and export, and up to 5,000 API calls per day.
- Standard adds email integration, mass email, built-in calling, multiple pipelines, forms, forecasting, data enrichment, and custom modules.
- Professional adds process management, inventory management, predictive intelligence, CPQ, customer journeys, custom portals, and AI agents.
- Enterprise adds territory management, custom functions, approval processes, sandboxes, field-level encryption, and enhanced AI capabilities.
Zoho is powerful, but the breadth also creates a steeper configuration burden than simpler tools. The free plan is limited to three users, and features such as built-in calling, multiple sales pipelines, forecasting, and advanced automation depend on the edition. Do not confuse Zoho CRM with Bigin, Zoho’s separate, simpler product for small businesses moving from spreadsheets.

4. Pipedrive: best sales-pipeline CRM
Pipedrive is built around the opportunity pipeline. Deals, stages, activities, follow-ups, contacts, email, and forecasting are easy for a sales team to understand without adopting a large business suite.
Annual-billing prices are Lite at $14 per seat per month, Growth at $39, Premium at $59, and Ultimate at $79. Pipedrive offers a 14-day trial but no permanent free CRM plan.
Lite covers lead, calendar, pipeline, contact, and activity management. Growth is generally the practical tier for a team that needs full email synchronization, email tracking, automations, nurturing sequences, subscriptions, forecasts, and meeting scheduling. Premium adds lead generation and routing, custom scoring, enrichment, AI email tools, shared inboxes, quotes, proposals, contracts, and e-signatures.
Pipedrive advertises more than 500 integrations, but broader business functions are not its core strength. LeadBooster, Projects, Campaigns, Web Visitors, and Smart Docs are separate add-ons. These are charged per company rather than per user, so include them in a real budget.
Choose Pipedrive if: your main requirement is a clean, visible sales process from new lead to closed deal.
Watch out for: articles that describe Pipedrive as free. The current offer is a 14-day trial.
5. Freshsales: best affordable CRM with built-in communication
Freshsales is a good fit for a small team that wants contact management, sales activities, email, phone, chat, AI assistance, reporting, and mobile access without paying enterprise CRM prices.
The annual-billing comparison lists Free at $0 for up to three users, Growth at $9 per user per month, Pro at $39, and Enterprise at $59. The free plan is useful for testing the workflow, but advanced customization, reporting, AI insights, governance, and higher-level communication features vary by plan.

Freshsales includes contact and account management, activity timelines, Kanban views, pipeline management, email, phone, chat, dashboards, reports, integrations, and mobile access. Check whether you need Freshsales itself or Freshsales Suite: the latter bundles CRM with additional marketing or engagement products and should not be treated as the same license.
Choose Freshsales if: you want inexpensive built-in communication tools and a relatively straightforward sales CRM.
6. Microsoft Dynamics 365 Sales: best for Microsoft 365 organizations
Microsoft Dynamics 365 Sales makes the most sense when your organization already relies on Outlook, Teams, Power BI, Azure, Microsoft 365, or other Dynamics products.
Microsoft lists Sales Professional at $65 per user per month paid yearly, Enterprise at $105, and Premium at $150. Microsoft Relationship Sales has variable pricing, combines Dynamics 365 Sales Enterprise with LinkedIn Sales Navigator, and requires a 10-seat minimum.
Professional provides core sales-force automation, Microsoft 365 interoperability, reporting, and dashboards. Enterprise adds contextual insights, advanced customization, Copilot capabilities, natural-language insights, email and meeting assistance, opportunity summaries, and access to prebuilt agents such as Sales Close Agent. Premium adds Sales Insights, AI-recommended actions, AI data enrichment, and 1,000 Copilot Credits per user per month.
AI usage is not unlimited. Additional Copilot Credits can be purchased through pay-as-you-go billing or prepaid commitments, and Microsoft says an Azure subscription is required to use agents through Copilot Studio. Dynamics 365 Sales is also a separately licensed product; it is not simply included with a standard Microsoft 365 subscription.

7. monday CRM: best visual, customizable workflow CRM
monday CRM is suited to teams that prefer visual boards and configurable workflows. It can connect CRM records with broader work-management processes, dashboards, communications, and automations.
For the 10-seat example shown on the annual-billing page, Basic costs $12 per seat per month, Standard $17, and Pro $28. Ultimate requires contacting sales. The displayed monthly prices are higher: $18, $25, and $41. Plans start at three users, and teams above 40 users are directed to sales.
- Basic supports up to 1,000 active contacts and deals, one custom dashboard, custom automations, a communications hub, mobile apps, mass email, email sequences, and 20 quotes or invoices per month.
- Standard raises the active-contact and deal limit to 10,000 and adds five dashboards, 250 monthly automations, and three workspaces.
- Pro raises the limit to 100,000 contacts and deals, with 50 dashboards, 25,000 monthly automations, and 15 workspaces.
- Ultimate includes unlimited contacts and deals plus enterprise features.
monday CRM offers a 14-day trial rather than a permanent free CRM plan. Annual subscriptions are paid upfront. To change a plan, use Admin section → Billing → Change plan. AI credits can start free and be purchased as needed, so review expected usage before selecting a plan.
Choose monday CRM if: your team values a customizable visual workspace more than a traditional CRM interface.

8. Close: best outbound-sales CRM
Close concentrates on outbound sales. It combines calling, email, SMS, pipelines, workflows, task management, and AI in a sales-focused application, reducing the need to stitch together a CRM and separate dialer.
Annual prices are Solo at $9 per user per month, Essentials at $35, Growth at $99, and Scale at $139. Monthly prices are $19, $49, $109, and $149. Every plan includes access to the Chloe AI agent and a monthly allocation of AI credits.
Essentials adds unlimited contacts and leads, team collaboration, forms, email, calling, SMS, a centralized inbox, and task management. Growth adds automated workflows, Chloe inside workflows, power dialing, custom activities, and bulk email. Scale adds role-based permissions, lead-visibility rules, predictive dialing, unlimited call-recording retention, and live call coaching.
Do these 3 things before closing this tab:
1Scan for outdated or missing drivers - takes under a minute2Repair Windows errors before they cause bigger problems3Fix the driver behind crashes, sound loss and screen glitchesThe low headline price requires careful qualification. Choose Close if: your team spends much of the day prospecting by phone, email, and text.

Copper is designed for teams that work primarily in Gmail and Google Calendar. Its main advantage is keeping CRM activity close to the Google Workspace workflow rather than forcing users to constantly switch between unrelated applications.
Annual-billing prices are Basic at $23 per seat per month, Professional at $59, and Business at $99. The monthly prices shown are $29, $69, and $134.

Plus includes lead and contact management, project management, advanced reports, and prebuilt business dashboards. Professional adds lead assignment and routing, workflow automation, and AI Copilot. Enterprise adds sandboxes, products, price books, quotes, and comprehensive audit logging.

Choose Insightly if: the handoff from winning a deal to delivering the resulting project is a core part of your operation.
How to choose the right CRM
- Document the sales process first. List the stages, required fields, approval points, follow-up activities, and reports your team uses now. A CRM that matches your process is more valuable than one with unused features.
- Count users and roles. Free plans are often limited: HubSpot allows two users, while Zoho CRM and Freshsales allow three. monday CRM starts at three users and Pipedrive has no permanent free plan.
- Separate included features from add-ons. Pipedrive’s Campaigns and Smart Docs, Salesforce’s Data Cloud and Agentforce, and Insightly’s AppConnect are not interchangeable with features included in the base subscription.
- Calculate communication costs. If salespeople call or text from the CRM, check whether minutes and messages are bundled. Close, for example, bills calling and SMS by usage.
- Estimate AI usage. HubSpot Credits, Microsoft Copilot Credits, Salesforce AI products, Close AI credits, and monday CRM AI credits can change the total cost beyond the seat license.
- Test an end-to-end scenario. Import a sample contact, create a lead, move it through every stage, send an email, schedule a task, produce a report, and export the data. This exposes workflow and reporting problems faster than a feature checklist.
- Plan migration and administration. Salesforce, Zoho, Dynamics 365, and highly customized monday CRM deployments may need more setup and ongoing administration than Pipedrive or Freshsales.
CRM pricing details that are easy to miss
| Cost factor | Examples | Why it matters |
|---|---|---|
| Free-plan limits | HubSpot: 2 users; Zoho and Freshsales: 3 users | A free plan may not cover even a small sales team |

| Onboarding | HubSpot Professional: $1,500; Enterprise: $3,500 | One-time fees affect first-year cost |
| Usage billing | Close calling and SMS; HubSpot and Microsoft AI credits | Active users can consume more than the base license |
| Separate products | Pipedrive Campaigns, Insightly Service, Salesforce Data Cloud | Marketing, service, or integration needs may require another subscription |
| Billing frequency | Annual prices are lower than monthly prices for many products | Annual plans may require payment upfront |
FAQ
What is the best CRM software for most small businesses in 2026?
HubSpot Sales Hub is the best general-purpose choice for many growing businesses because its free CRM covers core contact and deal management and can expand into marketing and service. Zoho CRM is usually better value when you need more features and can accept more configuration, while Pipedrive is simpler when the priority is only pipeline management.
Which CRM has the best free plan?
There is no unlimited free winner. HubSpot is useful but limited to two users; Zoho CRM and Freshsales support up to three users. monday CRM and Pipedrive offer trials rather than permanent free CRM plans. Compare the users, pipelines, automation, reports, and communication features included—not just the $0 label.
Is Salesforce worth it for a small business?
It can be, but usually only when the business needs Salesforce’s customization, permissions, integrations, or enterprise ecosystem. Starter Suite begins at $25 per user per month, but implementation, administration, add-ons, and higher editions can substantially increase the total cost.
What should I check before buying a CRM in 2026?
Check annual versus monthly billing, minimum seats, user limits, onboarding fees, contact limits, add-on pricing, communication usage charges, AI credit rules, data export options, integrations, and the amount of administration required. Test a complete lead-to-closed-deal workflow with sample data before committing.

HubSpot Sales Hub is the best overall CRM for growing businesses. Choose Salesforce when enterprise customization and governance matter more than simplicity, Zoho when breadth and value are the priorities, and Pipedrive when your team mainly needs a clear sales pipeline.
Close, Copper, monday CRM, Freshsales, Microsoft Dynamics 365 Sales, and Insightly are better specialist choices: outbound communication, Google Workspace, visual workflows, affordable built-in communication, Microsoft integration, and sales-to-project handoff respectively. Whichever product you select, price the implementation, add-ons, AI credits, and communication usage alongside the per-seat subscription.
