OneDrive is Windows 11’s built-in cloud storage and synchronization service. It can show cloud files in File Explorer without downloading everything, keep selected folders available offline, synchronize files between computers, and protect folders such as Desktop, Documents, and Pictures.
Synchronization is not the same as an independent backup. If you delete a file inside a synced OneDrive folder, that deletion normally synchronizes to OneDrive online and your other connected devices.
What OneDrive does in Windows 11
OneDrive connects a folder on your PC to Microsoft’s cloud storage. Files placed in that folder can appear on OneDrive.com and on other devices signed in to the same account.
Windows 11 includes the OneDrive desktop sync app. To start it, select Start, type OneDrive, and select OneDrive. Do not select OneDrive for work or school; Microsoft identifies that entry as an older version.

You can sign in with either a Microsoft personal account or a work or school account. After entering your account details, select Sign in.

Microsoft allows one personal OneDrive account and up to nine work or school OneDrive accounts to be signed in and syncing on a device at the same time.
Set up OneDrive for the first time
- Select Start, type OneDrive, and open the standard OneDrive app.
- Sign in with your Microsoft personal, work, or school account.
- At This is your OneDrive folder, select Next to accept the proposed location.
- To store the synchronized folder somewhere else, select Change location before continuing. Setup is the best time to choose a different location.
- At All your files, ready and on-demand, select Next. This introduces Files On-Demand.
Do not choose a network or mapped drive as the OneDrive location. Symbolic links and junction points are also unsupported. Use a normal local folder on an internal or directly attached drive.
Find OneDrive’s settings
Most OneDrive controls are behind the cloud icon in the Windows notification area:

The cloud icon may be blue or white. If you cannot see it, select Show hidden icons in the notification area. If OneDrive is not running, select Start, type OneDrive, and launch it.
When both personal and work or school accounts are configured, use the same route for each account. Their settings are separate, so choosing folders or changing backup options for one account does not automatically change the other.
The settings window contains Sync and back up, Account, Notifications, and About. Its opening screen also shows storage usage and a Manage storage link.
Understand Files On-Demand
Files On-Demand lets File Explorer display OneDrive files without downloading every file to your PC. This is useful when the cloud collection is larger than the available disk space.

To force a file or folder to remain offline, open File Explorer, right-click it inside OneDrive, and select Always keep on this device.
To remove the local copy while keeping the cloud copy, right-click the item and select Free up space. This does not delete the OneDrive item. The file remains visible in File Explorer as an online-only item and can be downloaded again when you open it.
Files On-Demand controls whether content is downloaded locally. It is different from Choose folders, which controls which folders are represented in the PC’s synchronized OneDrive view.
Choose which OneDrive folders appear on the PC
You do not have to synchronize every folder in an account to every computer. Open:
OneDrive cloud icon > OneDrive Help and Settings > Settings > Account > Choose folders
Clear the folders that should stay online and confirm the change. Unselecting a folder removes it from the PC’s synced view; it does not delete the folder from OneDrive online.
Use this feature when, for example, a desktop PC needs a large project archive but a laptop only needs current documents. Use Files On-Demand when the folder should remain visible but individual files should not occupy disk space.

Windows folders are not automatically guaranteed to be included in OneDrive. In particular, check Desktop, Documents, and Pictures rather than assuming they are protected.
Open:
OneDrive cloud icon > OneDrive Help and Settings > Settings > Sync and back up > Manage back up

In Back up your folders, select the folders to protect and select Start backup. Personal OneDrive accounts can also offer Photos and videos and Screenshots as collection options.
Folder backup changes where those folders’ contents synchronize. It is not an immutable backup system. Editing or deleting a protected file still synchronizes that change. For important files, keep a separate backup on another drive or backup service.
Pause or close OneDrive
Pause synchronization when you are on a slow connection, troubleshooting a conflict, or copying a large amount of data locally.
- Select the OneDrive cloud icon.
- Select OneDrive Help and Settings.
- Select Pause syncing.
- Choose 2 hours, 8 hours, or 24 hours.
To restart it, select the cloud icon, choose More, and select Resume syncing.
To close the desktop client completely, select OneDrive cloud icon > OneDrive Help and Settings > Close OneDrive. Closing the client does not remove your files or prevent access through OneDrive.com. It only stops the local synchronization program until you start it again.
Unlink and reconnect a OneDrive account
Unlinking is useful when OneDrive is connected to the wrong account or the local synchronization relationship needs to be rebuilt.

- Select OneDrive Help and Settings > Settings.
- Open Account.
- Select Unlink this PC, then select Unlink account.
Unlinking does not delete cloud data. It disconnects the local folder. Changes made while the account is unlinked synchronize after you connect it again.
If you need to clear the stored sign-in configuration, press Windows key + R, enter %localappdata%\Microsoft\OneDrive\settings, and select OK. Delete PreSignInSettingsConfig.json, then start OneDrive and sign in again.
During reconnection, OneDrive may say that the existing folder already exists. Select Use this folder to use it again. Select Choose new folder if you want to move the sync location.

Reset OneDrive when synchronization is broken
Resetting rebuilds OneDrive’s local client state. It does not delete files or cloud data, but it disconnects personal and work or school connections, starts a full synchronization, and clears previously selected folder choices. After the sync finishes, configure Choose folders again for each account.

Before resetting, pause and resume OneDrive once if it merely appears busy. If that does not help, use this reset sequence:
- Press Windows key + R.
- Enter wsreset.exe and select OK. A blank Command Prompt window opens and closes, and Microsoft Store opens. These windows can be closed.
- Press Windows key + R again.
- Run %localappdata%\Microsoft\OneDrive\onedrive.exe /reset.
- If Windows cannot find that file, try C:\Program Files\Microsoft OneDrive\onedrive.exe /reset.
- If that also fails, try C:\Program Files (x86)\Microsoft OneDrive\onedrive.exe /reset.
- Manually restart OneDrive by selecting Start, typing OneDrive, and selecting the desktop app.
The Microsoft Store OneDrive app has a separate reset option. Select Start, type apps:onedrive, select App settings, and then select Reset.
Recover deleted files
To open the online recycle bin from Windows, select the OneDrive icon in the taskbar or notification area and select Recycle bin. Restore an item there if it was deleted from a synced folder and is still retained by OneDrive.
Microsoft says Microsoft 365 subscribers can restore the entire OneDrive to an earlier state covering activity from the previous 30 days. For a personal account, sign in at OneDrive.com and select Settings > Options > Restore your OneDrive. For a work or school account, select Settings > Restore OneDrive.
On the restore page, select a date such as Yesterday, or choose Custom date and time. Review the activity chart and feed, then select Restore. Files and folders created after the selected point are sent to the OneDrive Recycle Bin. Albums are not restored, and permanently deleted Recycle Bin items cannot be recovered.
Limits that affect Windows 11 users

Microsoft says to count local items by opening File Explorer, right-clicking the OneDrive folder, selecting Properties, and inspecting Contains. A status such as Processing 0KB of xMB can occur during a large upload or when an account contains many files; it does not necessarily mean the client has failed.
Microsoft announced a Windows 11 public preview for up to 1,000,000 items per sync instance per device beginning April 22, 2026. The preview requires the latest OneDrive sync client and Insider build, Windows 11 or Windows Server 2022, at least 16 GB of RAM, an SSD, and specified processor requirements. It does not support VDI. Microsoft’s normal recommendation remains no more than 300,000 items for optimum performance.

Microsoft says to rename files that contain invalid characters: " * : < > ? / \ |. Leading and trailing spaces are also not allowed. Some organizations may not yet support # and %.

These names are also disallowed or problematic:
- .lock
- CON, PRN, AUX, and NUL
- COM0 through COM9
- LPT0 through LPT9
- _vti_ and desktop.ini
- Names beginning with ~$
Temporary .TMP files do not synchronize. Outlook .PST files are supported but synchronize less frequently. Avoid running OneDrive with elevated privileges: doing so can prevent OneDrive menu items from appearing in File Explorer.
Duplicate filenames and offline edits can create conflicts, particularly when the same file is changed on another PC or through OneDrive.com. Rename the conflicting files or folders with unique names and save again.
An authenticated proxy is unsupported. The message Your proxy settings require authentication or error code 0x8004de42 indicates this condition.
A practical setup for most Windows 11 PCs
- Sign in to the standard OneDrive desktop app.
- Accept or change the local folder location during setup.
- Leave Files On-Demand enabled so large libraries do not fill the drive immediately.
- Use Manage back up deliberately for Desktop, Documents, and Pictures.
- Use Choose folders to hide unrelated libraries from a particular PC.
- Mark only frequently used files as Always keep on this device.
- Use Free up space for completed projects that should remain online but not consume local storage.
- Keep a separate backup for files that cannot be replaced.

Is OneDrive already installed in Windows 11?
The OneDrive desktop sync app is included with Windows 11. Open it by selecting Start, typing OneDrive, and selecting OneDrive. Avoid the older OneDrive for work or school entry.
Does Files On-Demand back up my files?
No. Files On-Demand controls whether files are stored locally or online-only. Deleting a file from a synced OneDrive folder normally deletes the cloud copy and the copies on other synced devices as well.
What is the difference between Free up space and Always keep on this device?
Free up space removes the local copy while retaining the cloud item. Always keep on this device downloads the item and keeps it available offline.
Will unlinking OneDrive delete my files?
No. Unlinking disconnects the local PC from the account and does not delete cloud data. The account can be connected again later.

Microsoft allows a device to sync one OneDrive personal account and up to nine OneDrive work or school accounts concurrently.
Why is OneDrive stuck on Processing 0KB?
Large libraries, many new files, filename restrictions, conflicts, or a large upload can make this status last a long time. Check the item count, invalid names, and sync notifications. You can also pause syncing for 2, 8, or 24 hours and then resume it.
The Bottom Line
Use OneDrive in Windows 11 as a synchronization and cloud-access tool, not as your only backup. Files On-Demand saves disk space, Choose folders limits what appears on a particular PC, and Manage back up can include important Windows folders—but deletions and edits still synchronize. For persistent client problems, unlink or reset OneDrive without deleting cloud data, then reconfigure the folders you want available locally.
