Word mail merge can ignore the date format shown in Excel and insert a value such as 1995-10-22 00:00:00 instead. The dependable fix is to add a \@ date-time picture switch to the Word MERGEFIELD. This changes how Word displays the value without changing the date stored in Excel or Access.
Change a mail-merge date format in Word
Use these steps when your merge field already exists in the document.
- Open the main Word document used for the mail merge.
- Press Alt+F9 to display field codes. A date field may look like this:
{ MERGEFIELD Date }. - Place the cursor inside the field code after the field name and add the date-time picture switch. For example:
{ MERGEFIELD Date \@ "MMMM d, yyyy" }. - Press Alt+F9 again to show field results.
- Update the field or use Mailings → Preview Results to inspect the merged value.
With a source date of July 6, 2026, the example displays July 6, 2026.
Use the exact merge-field name
The name after MERGEFIELD must match the source column or field. If the data source column is named StartDate, use:

Do not replace the existing field with a guessed name. To see the available source names, select Mailings → Insert Merge Field. Word lists the fields from the connected Excel or Access source.
Date format switches you can use

The symbols are case-sensitive:
M,MM,MMM, andMMMMcontrol the month.dandddcontrol the day, withddadding a leading zero.dddandddddshow abbreviated and full weekday names.yyshows a two-digit year;yyyyshows a four-digit year.- Lowercase
mrepresents minutes in a time format; uppercaseMrepresents months.
Quotation marks are required around complex date formats containing spaces or literal text. Simple formats without spaces or text, such as \@ MM/yy, can work without them; using quotes consistently for complex formats avoids errors.
Add a time to the merged date
The same \@ switch formats both dates and times. For example:
{ MERGEFIELD Appointment \@ "MMMM d, yyyy 'at' h:mm AM/PM" }
The literal word at is enclosed in single quotation marks inside the double-quoted format string. A value such as July 6, 2026 at 3:30 PM will then appear in that form.

How to display one field’s code
You do not have to switch every field in the document to code view. Right-click the date field and select Toggle Field Codes. Edit the code, then right-click again and choose Toggle Field Codes to return to the result.
Alt+F9 remains useful when you want to inspect all fields in the document at once.
How to insert the date merge field first
If the date field has not been added yet:
- Put the cursor where the date should appear.
- Open the Mailings tab.
- In the Write & Insert Fields group, select Insert Merge Field.
- Choose the date column, such as
DateorAppointment. - Display the code with Alt+F9 and add the
\@switch.
The result should resemble: { MERGEFIELD Date \@ "MMMM d, yyyy" }.

The braces around a Word field are special field markers. Typing braces from the keyboard creates ordinary characters, not an active field.
When manually creating a new Word field, press Ctrl+F9 to insert the field braces, then type the code between them. For an existing mail-merge field, it is safer to insert the field through Mailings → Insert Merge Field and edit its code.

Keep or remove MERGEFORMAT
Your field may include \* MERGEFORMAT:
{ MERGEFIELD Date \@ "MMMM d, yyyy" \* MERGEFORMAT }
This switch tells Word to preserve formatting applied to the previous field result when the field updates. It is usually harmless to leave it in place. Word commonly adds it when fields are inserted through the Field dialog box.
If Word keeps restoring unwanted formatting, open the field options and clear Preserve formatting during updates, where that option is available. The date picture switch controls the displayed date pattern; \* MERGEFORMAT does not replace it.
Why changing Excel’s date format may not fix the merge
Excel stores dates as values and applies a display format to the worksheet. During a Word mail merge, particularly with an OLEDB connection to Excel or Access, Word may read the underlying value and display its native date-time representation. That is why a worksheet showing 10/22/1995 can produce 1995-10-22 00:00:00 in the merged document.
Formatting the Excel column can still make the worksheet easier to read, but it is not a reliable replacement for formatting the Word merge field. Apply the \@ switch in the main Word document.

Troubleshoot a date that still looks wrong

Verify the completed merge
Preview several records rather than checking only the first one. Confirm records with single-digit days, two-digit days, blank values, and dates near the beginning or end of the year. If the result is correct in preview, use Mailings → Finish & Merge to create the final documents or print the merge.

The switch affects presentation only. It does not alter the date in Excel or Access, convert the source column, or change the value used by other applications.

What is the correct Word mail-merge date field code?
Use the merge-field name followed by a date-time picture switch, such as { MERGEFIELD Date \@ "MMMM d, yyyy" }. Replace Date with the exact field name from your data source.
Can I change the date format only in Excel?
Not reliably. Word may use the underlying Excel or Access date-time value during an OLEDB merge. Add the \@ switch to the merge field in Word instead.

Why does Word show a date with 00:00:00?
The source value is being displayed with its time component. Format the Word field with a switch such as \@ "MM/dd/yyyy" to suppress the time.
What does \@ mean in a MERGEFIELD?
The \@ switch specifies the displayed date or time pattern. It changes the merge result’s appearance, not the underlying source value.
Why does my date switch not work?
Check that you edited the actual field code, used the exact source-field name, used uppercase M for months, included quotation marks around complex formats, and refreshed or previewed the field afterward.
How do I show a date like July 6, 2026 at 3:30 PM?
Use { MERGEFIELD Appointment \@ "MMMM d, yyyy 'at' h:mm AM/PM" }. The single quotation marks identify at as literal text.
