To delete a Microsoft Teams meeting transcript, open the meeting’s chat, go to Recap, open Transcript, and select Delete. You must be the meeting organizer or a co-organizer.
The standard transcript deletion action removes the transcript, not the meeting recording. If you want to remove several types of meeting-generated content at once, use Teams’ separate Delete recap content option when it is available in your tenant.
Delete a transcript from the Teams desktop app
- Open Teams on your desktop.
- Select Chat from the left-hand menu.
- Open the chat for the completed meeting.
- Select the Recap tab.
- Select Transcript.
- If the meeting has transcripts in more than one language, open the language dropdown and choose the transcript you want to remove.
- Select Delete above the transcript.
- Confirm the deletion if Teams displays a confirmation prompt.
Microsoft lists the meeting organizer and co-organizers as the users who can delete a transcript through the standard recap interface. Regular attendees do not normally get this delete control.
What this deletion removes
Deleting the transcript in the Teams desktop app removes both transcript copies associated with the meeting:

- The copy stored in the organizer’s OneDrive for Business
- The copy stored in Exchange Online
The ordinary Delete button is specifically for the transcript. It does not automatically delete the meeting recording, AI notes, or other recap content.
Generate AI notes before deleting the transcript
If you need the meeting’s AI-generated notes, create them before removing the transcript:
- Open the meeting’s Recap tab.
- Select AI notes and wait for Teams to generate them.
- Return to Transcript.
- Select Delete.
Deleting the transcript first means the AI notes will not be available for that meeting.
Delete recap content instead
Teams desktop includes Delete recap content in the meeting recap’s More (…) menu. The option is enabled by default and requires no admin setup; availability may still depend on your organization’s cloud rollout. The rollout notice scheduled GCCH availability from early to late September 2026.

For meeting organizers, the recap-wide option can permanently delete selected meeting-generated content, including:
- Recordings
- Transcripts
- AI summaries
- Notes
It does not delete shared files. Those files remain in their original OneDrive, SharePoint, or other storage locations. Microsoft also excludes custom summaries and audio recaps from deletion through this feature.
Content removed with Delete recap content cannot be restored, so check the selected items carefully before confirming.
Delete the OneDrive transcript copy from the video page
You may also encounter transcript controls on the meeting recording’s video player page. Deleting the transcript from that page removes the copy saved to OneDrive. Microsoft distinguishes this from deletion performed in the Teams desktop recap, which removes both the OneDrive and Exchange Online copies.

For the broadest standard transcript deletion, use the meeting-chat path:
Chat → past meeting chat → Recap → Transcript → Delete
Why the Delete button is missing
| Possible cause | What to check |

| You are an attendee | Only the organizer and co-organizers are listed as having transcript-deletion rights in the standard Teams recap UI. |
| You opened the recording page | Go back to the past meeting chat and open Recap, rather than relying only on the video player page. |
| The meeting organizer is a resource account | For a Teams Rooms meeting started with Meet now, the Teams Room resource account may be the organizer. The transcript or recording can therefore be associated with that account’s OneDrive. |
| It was a channel meeting | Channel meeting recordings and transcripts use the channel’s SharePoint permissions and storage rather than the organizer’s OneDrive. |
| Your organization restricts transcript permissions | IT-admin policies can make some transcript permissions or controls unavailable. |
| A retention policy applies | Microsoft Purview retention labels or other compliance policies may prevent deletion or retain the content for the required period. |
Check who can access a transcript
Some organizations provide a meeting option called Who has access to the recording and transcript. If your meeting supports it, open:
Meeting options → Recording & transcription → Who has access to the recording and transcript

The available choices are:
- Everyone
- Organizers and co-organizers
- Specific people
This setting requires a Copilot or Teams Premium license. It is not available for channel meetings or ad hoc meetings. If you change it while a meeting is in progress, end and restart the meeting before expecting the new setting to take effect.
Access settings do not override later permission changes made through SharePoint, sensitivity labels, or other sharing methods. Sharing a recording link can also affect who can access related content.
Do you need PowerShell to delete a Teams transcript?
No. Microsoft’s supported end-user procedure uses the Teams recap interface. There is no PowerShell command required for the normal transcript-deletion task.
Before you delete
- Download or preserve any transcript information your team must retain.
- Generate AI notes first if you need them.
- Confirm that you are deleting the correct language-specific transcript.
- Use the ordinary Delete button if you want to remove only the transcript.
- Use Delete recap content only after checking whether recordings, notes, summaries, or other selected content will also be removed.
FAQ
Can an attendee delete a Teams transcript?
Not through the standard Teams recap interface. Microsoft lists the meeting organizer and co-organizers as having transcript-deletion rights.

Does deleting a Teams transcript delete the recording?
No. The ordinary transcript Delete action is separate from recording deletion. The newer Delete recap content option can delete recordings if you select them.
Does deleting a transcript remove both copies?
Deleting it in the Teams desktop app removes the OneDrive and Exchange Online transcript copies. Deleting it from the video player page removes the OneDrive copy described by Microsoft.
Can a deleted Teams transcript be recovered?
The recap-wide Delete recap content feature is described as permanent and cannot be restored. For ordinary transcript deletion, check your organization’s retention and recovery policies rather than assuming the content is recoverable.
Why can I see the transcript but not delete it?
You may be an attendee, viewing the recording page instead of the meeting recap, or working with a channel meeting or Teams Rooms meeting whose storage and permissions are controlled elsewhere. Retention policies can also restrict deletion.

No. Shared files remain in their original storage locations. The recap-wide deletion feature targets selected meeting-generated content such as recordings, transcripts, AI summaries, and notes.
The Bottom Line
For a transcript-only deletion, use Teams → Chat → past meeting chat → Recap → Transcript → Delete. Organizers and co-organizers can use this route, and deletion from the desktop app removes the OneDrive and Exchange Online transcript copies without automatically deleting the recording. Save AI notes first, and treat Delete recap content as a separate, permanent action.
