- Classic Outlook for Windows: use List view for selective deletion, or AutoArchive for age-based archiving or permanent deletion.
- New Outlook for Windows: AutoArchive is not available, so use manual deletion or your organization’s retention tools.
- Outlook on the web: Microsoft provides calendar display and notification controls, but not a comparable built-in command to delete calendar items older than a chosen date.
Before deleting anything, decide whether you need a recoverable copy. Moving old items to a .pst archive preserves them; choosing permanent deletion does not.
Delete selected old calendar items in classic Outlook
The safest manual method is to switch the calendar to List view. This displays appointments, meetings, and events as rows, making it easier to sort through them and select only the entries you want to remove.
- Open Calendar in classic Outlook.
- Select the View tab.
- In the Current View group, select Change View.
- Select List.
- Click inside the calendar-item list.
- Select the old items you want to remove. Use standard Windows selection methods such as Ctrl-click for separate items or Shift-click for a continuous range.
- Press Delete, or right-click the selection and choose Delete.
You can sort the List view before selecting entries, but Outlook’s documented procedure does not provide a date-filter command that automatically selects everything before a specified date. Review the rows carefully before deleting them.

Important: Ctrl+A selects every item currently shown in the List view—not just old items. Use it only when you intend to remove the entire calendar or all entries in the current list.
Empty the primary calendar completely
The primary Outlook calendar itself cannot be deleted. If you want to start with an empty primary calendar, delete its items instead:
- Open Calendar.
- Go to View > Change View > List.
- Click the calendar-item list.
- Press Ctrl+A.
- Press Delete.
This removes all items in that calendar, including automatically added holidays. Holidays can be added again, but other deleted calendar items may be permanently removed. Check the selection carefully before using this procedure.
Automatically archive or delete old items with AutoArchive
AutoArchive is available in classic Outlook for Microsoft 365, Outlook 2024, Outlook 2021, Outlook 2019, and Outlook 2016. It can either move qualifying calendar items to an Outlook Data File or permanently delete them.

- Select File.
- Select Options.
- Select Advanced.
- Under AutoArchive, select AutoArchive Settings.
- Select Run AutoArchive every n days and enter the interval.
- Configure the archive or deletion options.
- Select OK.
The global dialog controls the general AutoArchive schedule. For a calendar-specific policy, configure the Calendar folder separately.
Apply AutoArchive only to Calendar
- In the Navigation Pane, right-click Calendar.
- Select Properties.
- Open the AutoArchive tab.
- Choose the folder-specific AutoArchive settings.
Enable Archive or delete old items, then choose an action:

The Clean out items older than field accepts an age from 1 day to 60 months, using days, weeks, or months as the unit. The documented default aging period for the Calendar folder is six months.
Use Include items with “Do not AutoArchive” checked only when you deliberately want the current archive operation to override item-level exclusions. It does not remove that checkbox from the calendar items.

How AutoArchive decides whether a calendar item is old
AutoArchive does not judge a calendar item solely by the date on which the meeting or event occurred. For appointments, meetings, and events, Outlook uses the later applicable aging date based on when the item was last changed and saved. An old meeting that was recently edited may therefore not be archived yet.

Only items whose scheduled date has already passed are archived. Future appointments are not removed by AutoArchive.
Recurring calendar items are not AutoArchived. If an old recurring series remains after an AutoArchive run, handle it manually in List view. Be careful when deleting a recurring series: deleting the series can affect multiple occurrences.
Manually archive old calendar items instead of deleting them
Manual archiving is useful when you want a specific cutoff date rather than an age-based recurring rule. Depending on your classic Outlook build, Microsoft labels the command in one of two ways:

- File > Cleanup Tools > Archive
Use whichever path appears in your installation. Then:
- Select Archive this folder and all subfolders.
- Choose the Calendar folder.
- Set Archive items older than to your cutoff date.
- Optionally select Include items with “Do not AutoArchive” checked.
- Select OK.
Manual archiving moves qualifying items to a .pst file; it does not erase them from existence. To archive everything in the selected folder, Microsoft recommends choosing a date in the future for Archive items older than.
Do not assume that cancelling an archive reverses it. Items processed before you stop the operation remain in the archive file.
New Outlook for Windows: what changes?
AutoArchive is not available in new Outlook for Windows. Classic Outlook instructions involving File > Options > Advanced > AutoArchive Settings do not apply there.
For a small number of entries, use the calendar interface to open and delete individual appointments or events. For a larger cleanup, your Microsoft 365 administrator may need to use retention policies or another supported mailbox-management method. Do not install or run a classic-Outlook procedure expecting it to appear in the new app.
Outlook on the web
Outlook on the web includes calendar display and notification settings, but Microsoft’s current documentation does not provide a built-in command equivalent to classic Outlook’s List view plus an “older than this date” cleanup workflow.
If you use Outlook on the web, delete individual items from the calendar, or ask your Microsoft 365 administrator about the organization’s retention and mailbox policies. A setting such as Delete invitations and responses that have been updated concerns related messages and notifications; enabling it does not remove the calendar item itself.

FAQ
Can I delete calendar items older than a specific date in Outlook?
In classic Outlook, switch Calendar to List view, sort or review the rows, select the items before your cutoff date, and press Delete. Microsoft’s documented manual workflow does not provide a one-click date filter, so selection is manual. Manual archiving does provide an “Archive items older than” cutoff date.

Does AutoArchive delete meetings based on the meeting date?
Not exclusively. Outlook considers when the calendar item was last changed and saved, and it archives only items that have already happened. A recently edited old event may not qualify yet.
Why are recurring events still in my calendar after AutoArchive?
Recurring calendar items are not AutoArchived. Review those series manually in List view and delete or archive them as appropriate.
Is archiving the same as deleting?
No. Archiving moves qualifying items to an Outlook Data File (.pst), where they can be retained and opened later. Permanent deletion removes them without creating an archive copy.
Can I delete Outlook’s primary calendar?
No. The primary calendar cannot be deleted as a folder. You can empty it by opening List view, selecting its items with Ctrl+A, and pressing Delete.
Does AutoArchive work in new Outlook for Windows?
No. Microsoft currently states that AutoArchive is not available in new Outlook for Windows. The classic Outlook AutoArchive paths apply only to supported classic Outlook versions.
The Bottom Line
For controlled cleanup in classic Outlook, use Calendar > View > Change View > List and select only the entries you want to remove. Use AutoArchive or the manual archive dialog when you want to preserve old items or apply an age-based rule. Remember that AutoArchive uses the last changed-and-saved date, skips future and recurring items, and may be unavailable when your organization controls retention. In new Outlook and Outlook on the web, use manual deletion or your administrator’s retention tools instead.
