To view speaker notes privately while presenting in Teams, share your deck with PowerPoint Live. Your notes appear in the presenter view while attendees see the slides. You can start from Teams, PowerPoint desktop, or PowerPoint for the web.
PowerPoint Live is generally safer than sharing your whole screen, which can expose notes or other windows on the shared display.
Best method: use PowerPoint Live in Teams
Start from the Teams desktop app
- Join or start your Teams meeting.
- In the meeting controls, select Share.
- Under PowerPoint Live, select your presentation.
- If it is not listed, select Browse OneDrive or Browse my computer, then choose the file.
- After it loads, read your speaker notes in the Notes pane beside the slides.
PowerPoint Live keeps meeting participants, reactions, chat, and meeting controls available to you while you present.
Start from PowerPoint desktop
If the presentation is already open in PowerPoint for Windows or Mac:

- Open the presentation.
- Select Present in Teams at the top of the PowerPoint window.
- Choose the meeting if prompted.
- Read your notes in the Notes pane in Teams.
Start from PowerPoint for the web
- Open the presentation in PowerPoint for the web.
- Select Present, then Present in Teams.
- Choose the meeting and present from the Teams window.
PowerPoint for the web does not show notes in its own slide-show mode. However, presenting in Teams with PowerPoint Live displays notes beside the slides.
Show presenter view if it is hidden
On small-screen devices, presenter view may be hidden by default. While presenting:
- Select More options or Change view.
- Select Show presenter view below the current slide.
You can also select the sharing window and press Ctrl+Shift+X.
What attendees can see

Teams Presenter Modes control how your camera and shared content appear to the audience; they do not provide speaker notes. Notes come from PowerPoint Live or PowerPoint desktop Presenter View.

Use PowerPoint desktop Presenter View instead
PowerPoint desktop Presenter View is separate from the Teams PowerPoint Live interface. It can show the current slide, next slide, and notes while the audience sees the slide show, when the display arrangement is configured correctly.
With two monitors
- Open the presentation in PowerPoint desktop.
- Select the Slide Show tab.
- Enable Use Presenter View.
- Choose the monitor for Presenter View.
- Select From Beginning.
With one monitor
- Start the slide show.
- Move the pointer to the bottom-left corner to show the control bar.
- Select Show Presenter View, then select Show Presenter View again in the menu.
For Teams, PowerPoint Live is generally less error-prone. If you share your screen while using desktop Presenter View, make sure you share only the slide-show window, not the display containing your notes.
Add or recover speaker notes
If the Notes pane is empty, the slide may not have notes. Add them before the meeting:
- PowerPoint desktop: Select Notes on the task bar at the bottom of the window if the pane is missing or minimized, then type below the slide.
- PowerPoint for the web: Select View, then Notes in the Show group.
If notes extend beyond the visible pane, use its vertical scroll bar or drag the pane’s top border to resize it.

Fix missing notes, an old deck, or loading problems
Notes are not visible
- Confirm that you started the presentation through PowerPoint Live, rather than sharing your entire desktop.
- On a small screen, select More options or Change view, then Show presenter view below the current slide. You can also use Ctrl+Shift+X after selecting the sharing window.
- Check in PowerPoint that notes have been added to the slide.
Teams is showing an older version
Finish editing a few minutes before presenting so PowerPoint can synchronize the changes. If the deck is already shared, select Present the latest version to sync recent edits. Microsoft also recommends starting PowerPoint Live a few minutes before the meeting so the deck can preload.
The file does not appear or will not upload
PowerPoint Live supports .pptx and .ppsx files up to 2 GB. It does not support .ppt, .pps, .odp, or .pot files. Converting an older file to .pptx in PowerPoint can resolve a format problem.
If you browse for a file that has not previously been uploaded, Teams uploads it for the meeting. In a channel meeting, it goes to the channel’s Files tab; in a private meeting, it goes to the presenter’s OneDrive. Sharing it for the meeting does not change participants’ permissions to the file outside the meeting.

Embedded Microsoft Stream videos can be affected by SharePoint Online concurrent-user throttling. Test media in the actual meeting setup.

Quick pre-meeting test
- Open the final .pptx or .ppsx file.
- Check that each slide needing a prompt has text in its Notes pane.
- Start PowerPoint Live a few minutes early.
- Open presenter view and confirm that notes appear beside or below the slide.
- Ask a participant to confirm they see the slides, not your notes.
- If the meeting will be recorded, verify videos and animations separately because Teams recordings do not capture them from PowerPoint Live.
FAQ
Can I see PowerPoint notes while presenting in Teams?
Yes. Use PowerPoint Live: select Share in Teams and choose the presentation, or select Present in Teams from PowerPoint desktop or the web app. Read your notes in the Teams presenter view.
Can Teams participants see my PowerPoint notes?
Not when you use PowerPoint Live correctly. Attendees receive the slides while your notes appear in presenter view. Sharing your entire screen can expose notes or other windows on that display.
Why can’t I see presenter view in Teams?
On small-screen devices, it may be hidden by default. Select More options or Change view, then Show presenter view below the current slide. You can also press Ctrl+Shift+X after selecting the sharing window.
Can PowerPoint for the web show notes during a Teams presentation?
Its own slide-show mode does not show notes. To see notes in a Teams meeting, select Present > Present in Teams and use PowerPoint Live.

What file types work with PowerPoint Live?
It supports .pptx and .ppsx files up to 2 GB. It does not support .ppt, .pps, .odp, or .pot files.
How do I update a PowerPoint file that is already being presented?
Select Present the latest version in PowerPoint Live. To reduce loading problems, finish editing a few minutes before presenting and allow time for synchronization.
