In Microsoft Teams, Edit and Delete normally appear for messages you sent. If both options are missing, the most likely explanation is an organization messaging policy. Other possibilities include trying to change somebody else’s message, using the wrong mobile menu, selecting an urgent message, or working in a read-only external chat.
Check the message and your permissions first
Before changing any settings, confirm these basics:
- You sent the message. Regular users can edit only their own messages.
- You are opening the message menu, not the chat or channel menu.
- The message was not sent as Urgent; Teams does not allow urgent messages to be edited after they are sent.
- The conversation is still active and is not a read-only external chat.
How to edit or delete your own message
On Teams desktop or the web
- Open the chat or channel containing the message.
- Hover over the message.
- To change it, select Edit, make the correction, and select Done.
- To remove it, select More options (…) > Delete.
Microsoft does not impose a limit on how many times you can edit a sent message, provided editing is available under your organization’s policy.
On iPhone or Android
In a chat, press and hold your message, then select Edit or Delete. In a channel, tap More options (…) beside the message and choose Edit or Delete.

Your organization may have disabled editing or deletion
Teams administrators control these commands through messaging policies. The relevant settings are:

| Users with full chat permissions can delete any message | Whether designated users with full chat permissions can delete any message in group or meeting chats. |
If both Edit and Delete are absent from the menu for your own ordinary message, ask your Teams administrator to check the messaging policy assigned to your account.
What the administrator should do
- Open Teams admin center.
- Go to Messaging policies.
- Open the policy assigned to the affected user.
- Select Edit.
- Check Edit sent messages and Delete sent messages.
- If applicable, check Owners can delete sent messages, User can delete messages sent by bots, or Users with full chat permissions can delete any message.
- Select Save.
A user can have only one messaging policy assigned at a time. Policy changes may take time to synchronize, and Microsoft notes that a Teams restart may be required in some cases.
You are trying to change someone else’s message
Being a team owner does not automatically give you permission to edit or delete every message. You can edit only messages you sent.

In a channel, a team owner may be able to delete another user’s post when Owners can delete sent messages is enabled in the applicable messaging policy. That permission is for deletion only; it does not allow the owner to edit another person’s post. An owner’s own messages remain subject to the normal Delete sent messages setting.
You are dealing with a bot message
Bot messages use a separate permission. An administrator must enable User can delete messages sent by bots before users can remove them. This setting applies to bot messages in:
- One-to-one chats
- Group chats
- Channels
- Meeting chats
Microsoft’s messaging-policy documentation does not describe a corresponding general permission for editing bot messages.
The message was marked urgent
Teams does not allow an urgent message to be edited after it has been sent. If Edit is missing for one message but available for your other messages, check whether that message used the Urgent delivery option.

You selected the chat menu instead of the message menu
Teams has separate controls for an individual message and for the conversation that contains it.

| Leave | Removes you from a group or meeting chat but does not erase the existing history for other participants. |
If you are the meeting owner, Microsoft says you cannot delete or leave the meeting chat.
The external chat is read-only
An external Teams chat can become read-only if all participants from the organization where the chat was created are removed from that organization. In that state, participants cannot continue sending messages, and message actions may no longer be available.
External Teams and Teams Free users can generally edit and delete their own messages in external chats, but the organization’s policies and the current state of the chat still apply.

Retention policies usually are not the reason the buttons disappeared
A Microsoft 365 retention policy does not normally remove the Edit or Delete commands from Teams. When retention applies, users can generally still edit or delete their messages in the Teams app. Retained copies can remain in a secured compliance location for eDiscovery, even after the message is no longer visible in Teams.
Therefore, editing or deleting a message in Teams does not necessarily destroy every copy of its content. Retention rules, eDiscovery holds, and other compliance controls may preserve it.

After you delete a message, Teams shows Undo in its place. Selecting Undo restores the message.
An administrator can also remove messages through Microsoft Purview eDiscovery. In that case, Teams replaces the message with a notice such as “This message was deleted by an admin.” Microsoft says a compliance copy may remain for at least 24 hours and is typically removed by a background process within one to seven days, subject to legal holds and other compliance requirements.

There is no command-line syntax for ordinary Teams message editing or deletion. These actions are performed from the message’s Edit, More options (…) , Delete, and Done controls.
FAQ
Why can I edit some Teams messages but not others?
You can edit only messages you sent, and urgent messages cannot be edited after sending. A messaging policy can also disable editing. If the missing option affects only one message, check whether it was marked urgent; if it affects all your messages, ask your administrator to check Edit sent messages.
Can a Teams owner delete another person’s message?
Only in the relevant channel and only when Owners can delete sent messages is enabled in the applicable Teams messaging policy. Team ownership does not allow you to edit another user’s message.
Does Remove chat history delete the chat for everyone?
No. Remove chat history removes the one-to-one chat from your own Teams view. The other participant can still see the conversation.
Can I delete a bot message in Teams?
Only if the administrator enables User can delete messages sent by bots. This setting applies to bot messages in one-to-one chats, group chats, channels, and meeting chats.
Does a retention policy stop me from editing or deleting a Teams message?
Usually not. Users can generally still edit or delete messages in Teams, while retained copies may remain available for compliance and eDiscovery.
The Bottom Line
If you cannot edit or delete a message you sent, first check the message menu, device-specific gesture, and whether it was marked urgent. If the controls are missing across normal messages, the assigned policy in Teams admin center > Messaging policies is the main item for an administrator to review. Being a team owner, hiding a chat, or removing chat history does not by itself provide permission to change everybody’s messages.
