To hide the details of one Outlook appointment, mark that event Private; viewers can still see that you are busy. To show someone availability only across your calendar, set their permission to Can view when I’m busy.

Private is an event-level setting, not a calendar-wide privacy switch. It does not hide an event from meeting attendees, delegates granted private-event access, or the event’s recurrence pattern.

What the Private setting hides

Marking an Outlook appointment or meeting as private hides its subject, location, and other event details from most people who can read your calendar. They can still see that you are busy during that time.

Private does not make the entire calendar private, remove the busy block, or hide the event’s existence.

Make an Outlook event private in new Outlook for Windows

These steps apply to Outlook for Microsoft 365, Outlook 2024, Outlook 2021, and New Outlook for Windows.

  1. Open Calendar.
  2. Double-click the event you organized.
  3. On the Event tab, select Private.
  4. Select Save for an appointment, or send the meeting update for a meeting.

A lock symbol appears on the event in the calendar view. The event remains visible as busy to people who can see your availability.

Make an event private in classic Outlook for Windows

These instructions apply to Outlook for Microsoft 365, Outlook 2024, Outlook 2021, Outlook 2019, and Outlook 2016.

  1. Open Calendar.
  2. Select the appointment or meeting.
  3. On the ribbon, find the Tags group and select Private.
  4. Select Save & Close.

Look for the lock symbol in the calendar. Meeting attendees can still access the meeting information because they are participants in it.

Hide all event details from one person in Outlook on the web

For a Microsoft 365 or Exchange Online account, change the person’s calendar permission rather than marking every event private.

  1. Open Calendar.
  2. Select Share on the toolbar and choose the calendar you want to share.
  3. Enter the person’s name or email address.
  4. Open the permission drop-down and select Can view when I’m busy.
  5. Select Share.

This permission shows availability only, without event titles, locations, or other details. Current sharing levels generally include:

Older Outlook versions may use different names, including Free/Busy time, Limited details, Full details, Editor, and Delegate. Intermediate administrator-controlled levels may appear as Custom in newer clients.

Change or remove an existing person’s access

  1. In Outlook on the web, open Calendar.
  2. Under Calendars, right-click the calendar.
  3. Select Sharing and permissions. In the older Outlook on the web interface, this may be called Sharing permissions.
  4. Change the person’s permission, or select Remove.

Make a calendar private in Outlook.com

Personal Outlook.com accounts provide view and edit sharing permissions. They do not provide delegate access.

  1. Open Calendar.
  2. Select Share Calendar.
  3. Enter the contact’s name or email address.
  4. Choose the permission level.
  5. Select Share.

You can still mark individual Outlook.com events as Private. Most people with whom the calendar is shared will see only the time, not the title, location, or other details. A private recurring series can still reveal its recurrence pattern.

Protect private events from delegates

Private is not a security boundary against every calendar user. A delegate may be able to view private details if the owner grants that permission.

Classic Outlook

  1. Select File.
  2. Select Account Settings → Delegate Access.
  3. Select the delegate and choose Permissions.
  4. Leave Delegate can see my private items unchecked if the delegate should not see private event details. Select it only if you intend to grant that access.

Microsoft warns against relying on Private when someone has reading permission, such as Reviewer, on the Calendar folder. To prevent that person from reading private details, do not grant a calendar permission that allows them to read those details.

New Outlook and Outlook on the web

When assigning Delegate permission, look for Let delegate view private events. Leave this box cleared if the delegate should manage the calendar without seeing private-event details.

Delegates can edit the calendar and send or respond to meeting requests on the owner’s behalf. Delegate access is available only for people inside the organization; external users are limited to view permissions.

Recurring private events still reveal a pattern

Marking a recurring series private hides its event details, but people viewing the shared calendar can still see the recurrence pattern. For example, they may be able to tell that a recurring busy block occurs every Monday even though they cannot see its subject or location.

If the timing itself is sensitive, do not rely on Private alone. Review the viewer’s calendar permission or avoid sharing that calendar with the person.

Private events versus published calendars

A published calendar is separate from a normally shared calendar. Outlook can expose a published calendar through an HTML link or an ICS link.

To review publication settings in Outlook on the web, go to Calendar → Settings → Shared calendars. Under Publish a calendar, choose the calendar and detail level, then select Publish. Select Unpublish in the same area to revoke the links.

  • An HTML link opens the published calendar in a browser.
  • An ICS link can be imported or subscribed to.
  • Imported ICS data does not automatically receive later updates.
  • An ICS subscription may receive updates according to the recipient’s calendar provider.

Because publication is a separate sharing method, check and revoke published links if a calendar has been exposed more broadly than intended.

Common Outlook privacy mistakes

  • Assuming Private hides the whole calendar: it applies only to the selected event.
  • Expecting Private to hide busy time: viewers can still see when you are unavailable.
  • Using Private for a meeting with sensitive attendees: meeting attendees can still see the meeting details.
  • Giving a delegate private-event access: that permission overrides the protection Private provides from that delegate.
  • Forgetting recurring-event timing: the recurrence pattern remains visible.
  • Ignoring published links: publishing creates a separate HTML or ICS access path.

When permission changes do not appear immediately

Changes made in Outlook on the web, Outlook for iOS, Outlook for Android, or Outlook for Mac immediately re-sync the recipient’s calendar copy to the new permission level. Changes made through another application may take several hours.

Removing an internal user can either remove the shared calendar or leave it visible with the organization’s default permission, depending on the My Organization setting. Removing an external user stops synchronization but does not remove a calendar copy they already have. Classic Outlook may also take time to synchronize a removed shared-calendar user.

If the Share option is unavailable, an organization policy may prevent calendar sharing. In that case, an administrator must change the policy.

Does marking an Outlook calendar event Private hide it completely?

No. Private hides the subject, location, and other details from most calendar viewers, but the event’s time remains visible as busy. It also does not hide details from meeting attendees or delegates who are allowed to view private events.

Can people see a private Outlook meeting?

Meeting attendees can still see the meeting details. Private mainly hides details from other people who have access to the calendar.

How do I hide all Outlook calendar details from someone?

Can my Outlook delegate see private appointments?

Only if private-event viewing is enabled for that delegate. In classic Outlook, check File → Account Settings → Delegate Access → Permissions and leave Delegate can see my private items unchecked. In new Outlook or Outlook on the web, leave Let delegate view private events cleared.

Does Private hide a recurring event’s schedule?

No. The event details are hidden, but viewers of the shared calendar can still see the recurrence pattern.

Why can someone still see my private event?

They may be a meeting attendee, a delegate with permission to view private events, or someone with broader calendar access than intended. Check Calendar sharing and permissions, delegate settings, and any published calendar links.

The Bottom Line

Use Private for individual Outlook appointments and meetings whose details should not be shown to ordinary calendar viewers. Use Can view when I’m busy when a person should see availability only across the whole calendar. Before treating Private as protection for sensitive information, check meeting attendees, delegate permissions, recurring-event timing, and published calendar links.
