Microsoft Teams channels keep conversations, files, meetings, and apps organized inside a team. You can create a channel for a project, department, client, event, or any subject that deserves its own workspace.
Before creating one, decide who should see it. A Standard channel is open to everyone on the team, a Private channel is limited to selected team members, and a Shared channel can include people outside the host team or organization.
Choose the right Teams channel type

Choose carefully because Teams does not let you convert a standard channel to private, a private channel to standard, or a shared channel to either type later. If you choose incorrectly, you normally need to create a new channel and move or recreate the content.
How to create a channel in Microsoft Teams on desktop or the web
The current Teams desktop and web interfaces use nearly the same process.

Method 1: Use New items
- Open Microsoft Teams and sign in.
- In the combined layout, select Chats on the left. In the separate layout, select Teams.
- At the top of the chats or channels list, select New items.
- Select New channel.
- Choose the team that will host the channel.
- Enter a clear channel Name. For example, use Website redesign or Q4 hiring rather than a vague name such as General work.
- Optionally enter a Description explaining what belongs in the channel.
- Under channel type, select Standard, Private, or Shared.
- Select Create.
For a standard channel, the channel is ready for the team. For a private channel, Teams takes you to a member-selection screen so you can choose who should have access. A shared channel also prompts you to share it with people, depending on the options enabled by your organization.
Method 2: Add a channel from the team list
- Select See all of your teams or See all of your teams and channels.
- Find the team where you want the channel.
- Select More options next to the team name.
- Select Add channel.
- Enter the channel name and optional description.
- Choose the channel type, then select Create.
How to create a private channel
A private channel is useful when the subject belongs inside an existing team but should not be visible to every team member. For example, a company-wide team might contain a private channel for budget planning.
- Start the channel-creation process using either desktop/web method above.
- Enter the channel name and description.
- Set the type to Private.
- Select Create.
- Search for the people who should access the channel.
- Select each person and assign a role if Teams asks you to do so.
- Confirm the member list.
Private-channel members must already belong to the parent team. Adding someone to a private channel does not add that person to the whole team. Guests cannot create private channels. A private channel can have multiple owners and up to 250 members, according to Microsoft Support.
Add members to a private channel later
- Find the private channel in Teams.
- Select More options next to the channel name.
- Select Add members.
- Search for team members, select them, and assign their roles if required.
- Alternatively, select More options → Manage channel → Members.
The Settings tab in channel management controls what members are allowed to do. Review it if you want to limit actions such as adding members or managing tabs.

How to create a shared channel
Use a shared channel when selected people from different teams need to work together without joining the entire host team. Shared channels can include people from within your organization and, when configured by an administrator, people from outside it.

- Open the channel-creation dialog in Teams on desktop or the web.
- Enter a name and optional description.
- Select Shared as the channel type.
- Finish the creation steps.
- During setup, enter internal users’ names or external users’ email addresses.
- Select the matching people, then select Share.
When a shared channel is created, Teams defaults to Share this channel with everyone on the team. Check that option carefully if the channel is intended for only a small group.
You can share an existing shared channel by selecting More options next to it → Share channel → Share with people. Select the people, optionally change an internal person’s role from Member to Owner, and select Close.
Only team owners can create shared channels. Only shared-channel owners can add members or share the channel with another team. People from outside the organization can have the Member role, but not the Owner role. External sharing also requires your administrator to enable B2B direct connect.

The mobile app supports standard and private channel creation. The Microsoft mobile instructions do not support creating shared channels, so use the desktop or web app for that type.
Create a standard channel on mobile
- Open the Teams mobile app.
- Locate the team where you want the channel.
- Select More options next to the team.
- Tap Manage channels.
- Tap Add.
- Enter the channel name and, if needed, a description.
- Save the channel.
Create a private channel on mobile
- Locate the team and tap More options.
- Tap Manage channels → Add.
- Enter the channel name and optional description.
- Tap Privacy, then choose Private.
- Go back and tap Done.
- Use the Add members screen to add team members immediately, or add them later.
What to check before creating a channel
- Use a specific name: Include the project or subject, such as Product launch – May.
- Explain the purpose: A short description prevents the channel from becoming a second general chat.
- Pick privacy deliberately: Privacy cannot be changed between standard and private after creation.
- Confirm the host team: A channel cannot be moved to another team later. This is especially important for shared channels.
- Consider file storage: A standard channel uses the team’s SharePoint site. Private and shared channels get separate SharePoint sites, so their files are stored separately from the main team files.
Channel limits and deletion warnings
A team can have up to 1,000 channels over its lifetime, including channels that were deleted. It can have up to 30 private channels over its lifetime, also counting deleted private channels. These limits are documented by Microsoft Support.

Deleting a channel deletes its conversation history. Teams allows a deleted channel to be restored within 30 days, but you cannot create a new channel with the same name during that restoration period. Why you cannot create a Teams channel
The Add channel option is missing
Your team owner or Microsoft 365 administrator may have restricted channel creation. A team owner can check the setting by opening the team’s More options menu, selecting Settings, and opening Member Permissions. Those permissions control whether members can create, update, or delete channels.

Shared-channel creation is limited to team owners. If you are a team owner and Shared still does not appear, your administrator may not have enabled the required shared-channel capability. Contact the administrator rather than trying to create a standard channel as a substitute.
You cannot add someone to a private channel
Check whether the person is already a member of the parent team. Private channels only accept members of that team. Add the person to the team first, then add them to the private channel.
An external person cannot join a shared channel
External shared-channel access depends on your organization’s B2B direct connect configuration and the other organization’s settings. If the feature is not enabled or the organizations do not trust each other for this connection, an administrator must resolve the issue.

After creating the channel
Open the new channel and post a short message explaining its purpose, the expected type of content, and where files should go. Add tabs or apps only when they support the channel’s work. For a project channel, a useful first post might identify the owner, deadline, links to requirements, and the preferred format for updates.
Use standard channels for work that the whole team should discover, private channels for genuinely restricted work, and shared channels when collaboration crosses team or organizational boundaries. That choice will determine who can find the conversation, where files are stored, and how much administration the channel requires.

Can anyone create a channel in Microsoft Teams?
By default, team members can create standard channels, and team owners or members can create private channels, although owners or administrators can restrict those permissions. Only team owners can create shared channels.
What is the difference between a team and a channel in Teams?
A team is the main workspace containing its members, channels, files, and apps. A channel is a focused area inside that team for a particular project, topic, or group of conversations.
Can I change a private Teams channel to standard later?
No. Standard and private channels cannot be converted into each other. Shared channels also cannot be converted to standard or private channels.

Can I add a person to a private channel without adding them to the team?
No. Every private-channel member must already belong to the parent team. Adding them to the private channel does not automatically add them to the team.
Can I create a shared channel from the Teams mobile app?
No. Microsoft’s mobile instructions support creating standard and private channels, but shared channels must be created in the desktop or web app.
Where are files for a private Teams channel stored?
Files for a private channel are stored in a separate SharePoint site from the main team files. Shared channels also receive separate SharePoint storage.
