When Sent Items is empty or missing in Outlook, the messages may still be stored safely. The usual causes are a hidden folder, an active filter, a disabled save option, incomplete synchronization, or a damaged Classic Outlook profile.
Before changing anything, check whether the message appears in Outlook on the web. If it appears online but not in the desktop app, the mailbox is usually fine and the problem is local to Outlook.
First identify your Outlook version:
- New Outlook for Windows: has a gear icon for Settings and no File tab.
- Classic Outlook for Windows: includes File, Send/Receive, and Account Settings.
- Outlook on the web or Outlook.com: runs in a browser.
1. Open the actual Sent Items folder and remove filters
Sent Items can disappear from the left pane without being deleted. This happens when its shortcut is removed from Favorites, the folder list is collapsed, or a filter hides the messages.
Outlook on the web or Outlook.com
- Open Sent Items from the folder pane.
- If it is not visible, expand the account’s personal folders or select More under Folders.
- Above the message list, select Filter.
- Select All to clear the filter.
New Outlook for Windows
- Expand the account’s complete folder list. Do not check only Favorites.
- Open the account’s real Sent Items folder.
- Remove any active search or list filter.
Classic Outlook for Windows
- Select View.
- In the Layout group, select Folder Pane.
- Choose Normal or another option that displays the complete folder list.
- Open Sent Items from the account hierarchy rather than from Favorites.
Choosing Remove from Favorites removes only the shortcut. It does not delete the underlying folder or its messages. Deleting the folder from the actual account hierarchy is different and can remove its contents.

2. Turn on saving copies of sent messages
If new messages send successfully but never appear in Sent Items, Outlook may be configured not to save a copy.
Classic Outlook for Windows
- Select File > Options > Mail.
- Scroll to Save messages.
- Enable Save copies of messages in the Sent Items folder.
- Select OK, then send a test message.
This setting applies to supported Exchange and Outlook.com configurations. It does not work the same way for every account type.
Important: IMAP accounts behave differently
For an IMAP account, Classic Outlook does not let you use the Exchange-style setting to select a different Sent folder. To inspect the account and its local save behavior:
- Select File > Account Settings > Account Settings.
- On the Email tab, select the IMAP account.
- Select Change.
- If you need Outlook to stop creating a second local copy, select Don’t save copies of sent items.
- Select Next, then Done.
Do not enable Don’t save copies of sent items as a general solution. It prevents Outlook from saving its own copy. It is mainly useful when the provider already saves the message and Outlook is creating duplicate, sometimes unread, entries.

3. Force Outlook to synchronize the account
If Sent Items is correct in webmail but incomplete in the desktop app, synchronization or the local offline range is the likely cause.

New Outlook for Windows
- Select Settings > General > Offline.
- Under Folders to save, choose Default. This includes Inbox, Sent, Drafts, Archive, Deleted, and Snoozed folders.
- Under Days of email to save, choose 30, 90, or 180 days as needed.
- Select Save.
Microsoft’s guidance for New Outlook says the current default is 30 days. Low device storage can reduce local availability or disable offline access, but it does not necessarily remove messages from the online mailbox.
Classic Outlook for Windows
- Select Send/Receive > Send/Receive All Folders.
- Check the status bar. If it says Working Offline or Disconnected, select Send/Receive > Work Offline to return online.
- For Microsoft 365 or Exchange accounts, select File > Account Settings > Account Settings.
- On the Email tab, select the account and choose Change.
- Move Download email for the past: to a longer period or All.
- Select Next, then Done, and restart Outlook.
Microsoft says Classic Outlook commonly synchronizes only the most recent 12 months locally by default. Older sent messages can therefore appear in webmail but not in the desktop folder until you increase this range.
4. Create a fresh Classic Outlook profile
Use this fix when the message is visible online, the folder and save settings are correct, synchronization is working, and Classic Outlook still does not display the messages. An Outlook profile stores account configuration, data-file references, and related settings; a damaged profile can make a healthy mailbox appear incomplete.
- Right-click the Windows Start button and select Run.
- Enter Outlook.exe /profiles and press Enter.
- In the profile picker, select Options.
- Select New.
- Enter a profile name and select OK.
- Add the email account to the new profile.
- Start Outlook with the new profile and test Sent Items.
You can also open the profile picker by holding Shift while starting Outlook, or by selecting File > Account Settings > Change Profile while Outlook is open.
Do not begin with SCANPST for an Exchange mailbox
SCANPST.EXE repairs damaged .pst or .ost data files. It does not repair messages missing from an Exchange or Microsoft 365 mailbox, and it cannot correct a disabled save option or synchronization range.

For an Exchange account, deleting the local .ost makes Outlook download it again from the server, but only consider that step after confirming the required messages exist online or that the mailbox is backed up. A fresh profile is the safer first reset.

Outlook.com and Outlook on the web normally save sent messages in Sent Items. Third-party IMAP providers can use different server-side folders and save rules, so the account type matters.

Why did Sent Items disappear from Outlook?
It may have been removed from Favorites, hidden by the folder-pane layout, or placed under the account’s full folder list. Removing a folder from Favorites does not delete the folder or its messages.
Why are sent emails visible in Outlook on the web but not the desktop app?
The desktop app may be offline, using a limited synchronization period, or working with a damaged profile. Run a full send/receive, increase the offline range, and create a fresh Classic Outlook profile if necessary.
How do I make Outlook save sent emails?
In Classic Outlook, go to File > Options > Mail and enable Save copies of messages in the Sent Items folder. For IMAP accounts, this setting does not select a server-side Sent folder and should not be changed blindly.

Will rebuilding the Outlook search index restore missing sent emails?
No. Rebuilding the index can fix a search or discoverability problem, but it cannot restore a message that was never saved, was deleted online, or falls outside the locally synchronized range.
Should I run SCANPST when Sent Items is empty?
Not as a first step. SCANPST is for damaged Outlook data files, not missing server mailbox messages. First check the folder, filters, save setting, webmail, and synchronization.
The Bottom Line
Start by checking the full folder list and clearing filters. Then confirm that Outlook saves sent copies, verify the account is synchronized, and compare the desktop folder with webmail. If only Classic Outlook remains affected, create a new profile rather than immediately running SCANPST or deleting mailbox data.
