To link a file path in Outlook, create a hyperlink to the file instead of attaching it. In classic Outlook for Windows, start a new message, select the text or picture that should be clickable, then choose Insert > Link. In the dialog, choose Existing File or Web Page, browse to the file, and select OK.

This creates a shortcut to the file’s location. It does not upload the file or give the recipient permission to open it. The recipient must be able to reach that location and already have access to it.

Before you create a file-path link

There are two different ways to send someone a file from Outlook:

Method What the recipient gets Access requirement
File attachment A copy of the file is sent with the message Usually no access to your computer or network share is needed
File-path hyperlink A clickable shortcut to the original file location The recipient must be able to access that computer, drive, folder, or network share
OneDrive or SharePoint link A cloud link to the stored file The recipient needs permission granted through the cloud service

A path link is useful when colleagues work in the same office network or shared folders. It is usually the wrong choice for an external recipient who cannot access your company network.

Link to a file path in Outlook for Windows

These steps apply to Outlook for Microsoft 365, Outlook 2024, and Outlook 2021 for Windows. Microsoft’s hyperlink instructions describe this workflow.

  1. Open Outlook and select New Email.
  2. Type the message and select the text you want to use as the link, such as Open the budget spreadsheet. You can also select a picture.
  3. Open the Insert tab and select Link in the Links group. You can also right-click the selected text and choose Link.
  4. In the Insert Hyperlink dialog, select Existing File or Web Page under Link to.
  5. Use the Look in or Current Folder list to browse to the file.
  6. Select the file, then select OK.
  7. Send the message after confirming that the linked text points to the intended file.

The visible text does not have to match the filename. For example, the file may be stored as Q4-Forecast-Final-v3.xlsx, while the message displays Open the Q4 forecast.

Use a keyboard shortcut

In classic Outlook for Windows, press Alt+N, I, I while composing the message to open the Insert Hyperlink dialog. Select Existing File or Web Page, choose the file, and confirm with OK. Microsoft documents this shortcut.

Enter the path manually

You can enter a local or network path directly in the hyperlink dialog. Typical Windows paths look like these:

C:\Reports\Budget.xlsx

\\server\share\Reports\Budget.xlsx

A network path begins with two backslashes. The recipient’s computer must be connected to the relevant network and have permission to open the share.

If you want custom link text, select that text before opening Insert > Link, then enter the destination in the Address box. If the Address box is not visible, choose Existing File or Web Page under Link to.

Do not rely on automatic conversion for paths with spaces

Outlook may automatically turn recognized web addresses and email addresses into links after you press Spacebar or Enter. Arbitrary Windows paths are less reliable, particularly when the filename or folder contains spaces.

For example, typing this directly into the message can produce a broken link:

\\networkshare\February Expense Report.xls

Outlook may link only the portion up to the first space, such as \\networkshare\February. The safest fix is to use Insert > Link and select the file through the hyperlink dialog.

If you must type the path in the message body, enclose the complete path in angle brackets:

<\\networkshare\February Expense Report.xls>

The angle brackets tell Outlook to treat the contents as one link. The same technique can be used for a URL containing spaces:

<http://www.contoso.com/finance/February Expense Report.xls>

Change the file path or visible text

In Outlook for Microsoft 365, Outlook 2024, and Outlook 2021, right-click an existing hyperlink and select Edit Hyperlink. The dialog includes Text to display, where you can change the words shown in the message. You can also replace the destination with a different local path, UNC path, or web address. Microsoft’s instructions cover changing hyperlink text.

For example, change:

Open file

to:

Open the latest project schedule

Then select OK to save the change.

Link to a file path in Outlook for Mac

Outlook for Mac uses a different file-selection interface.

  1. Create a new email and select the text or picture that should become the link.
  2. Press Command+K to open Insert Hyperlink. You can also use the link command in the formatting toolbar.
  3. Choose the Web page or file tab.
  4. Select Select and browse to the file.
  5. Enter optional wording in Text to display.
  6. Select OK or press Return.

To edit an existing link, Control-click or right-click it, choose Hyperlink, and select Edit Hyperlink. Microsoft documents the Mac shortcut and file-selection steps; its Mac formatting guidance covers editing links.

Outlook for Mac also has an Attach File workflow with options such as Browse this Mac, OneDrive, and Insert link. The documented Insert link option is intended for entering a web address to a file and setting its display text; it is not the general-purpose local-path picker used by the hyperlink dialog. Link to a OneDrive or SharePoint file instead

If the recipient is outside the local network, move or save the file in OneDrive or SharePoint and share its cloud link. In Outlook, use Message > Link > Insert Link, or copy the link from OneDrive or SharePoint and paste it into the message.

Cloud links are different from paths such as C:\Reports\Budget.xlsx and \\server\share\Reports\Budget.xlsx. Outlook can show access information and let you adjust permissions for supported OneDrive and SharePoint links. A local or UNC path has no equivalent permission-transfer step. Common problems and fixes

Test the link before sending

  1. Confirm that the visible link text identifies the correct file.
  2. Check the destination by right-clicking the link and selecting Edit Hyperlink.
  3. If possible, test the link from an account or computer with the same access level as the recipient.
  4. For a network path, verify that the share name and filename are exact, including spaces and punctuation.
  5. For external recipients, replace the local path with an attachment or a properly permissioned OneDrive or SharePoint link.

FAQ

Can I link to a file on my computer in Outlook?

Yes. In a new message, select text, choose Insert > Link, choose Existing File or Web Page, and select the local file. The recipient must have access to the referenced computer and path.

What is the difference between a file-path link and an attachment?

A file-path link points to the original location and does not send a copy. An attachment sends a copy of the file with the message.

Why does my network file link break at a space?

When Outlook automatically detects a typed path, it can stop at the first space. Use the hyperlink dialog, or enclose the complete path in angle brackets, such as <\\server\share\February Expense Report.xls>.

Can someone outside my company open a UNC path link?

Usually not unless their computer can reach the network share and their account has permission. For external recipients, use an attachment or a permissioned OneDrive or SharePoint link.

How do I change the text shown for an Outlook file link?

Right-click the link, choose Edit Hyperlink, change Text to display, and select OK.

Does Outlook still support local file-path hyperlinks?

Microsoft’s current documentation lists hyperlink support in the relevant Outlook editions and does not state a deprecation date for local or UNC-path hyperlinks. Availability and behavior can still vary by Outlook version and organizational deployment.

The Bottom Line

For a dependable Outlook file-path link, select descriptive text and use Insert > Link > Existing File or Web Page. Do not assume that typing a path will work, especially when it contains spaces. Remember that the link only points to a location: it does not attach the file or grant access. Use OneDrive, SharePoint, or an attachment when the recipient cannot reach your local or network path.
