Microsoft lets you download the Office 2021, Office 2019, and Office 2016 installer without charging for the download. That does not mean you can legally activate a retail copy for free. Activation requires a license: a redeemed product key, an Office license already linked to your Microsoft account, an eligible Workplace Discount Program entitlement, or an organization-managed volume license.
This distinction matters because websites offering “free activated Office” downloads, generic keys, activation scripts, or command-line bypasses are not providing a legitimate Microsoft activation method. They may also bundle malware or deliver a key that Microsoft later blocks.
What “free download” means in this case
The Office installer itself is available from Microsoft at no extra cost. The software license is separate. You can download the files, but the installed applications still need to verify an eligible license before they are fully activated.
For a normal one-time-purchase edition, the legal routes are:

- You bought Office 2021, 2019, or 2016 and have redeemed its product key.
- The license was previously redeemed to your Microsoft account and you are reinstalling it.
- Your employer provides an eligible Workplace Discount Program benefit.
- Your organization owns a volume license and its IT department manages installation and activation.
There is no legally free, fully activated retail download of Office 2021, Office 2019, or Office 2016 directly from Microsoft. Microsoft explains the download and reinstall process in its Office installation guidance.
Option 1: Redeem a new Office product key
Use this method only when the key has not already been redeemed. A retail key is commonly printed on a card, included with a purchase confirmation, or supplied by an authorized seller.
- Open www.office.com/setup or Microsoft365.com/setup.
- Select Sign in. Use the Microsoft account you want associated with the Office license, or create an account if necessary.
- Enter the product key when prompted. Enter the 25-character key without hyphens if the page requests it.
- Complete the redemption prompts.
Redemption links the license to your Microsoft account. After that, the account—not normally the original key—is used for future installations.
Do not repeatedly return to the setup page when reinstalling an already redeemed copy. Microsoft uses the setup page primarily for redeeming a new, unused key.
Option 2: Reinstall Office that is already linked to your account
If you bought Office previously or redeemed a key in the past, find the license in your Microsoft account:
- Go to account.microsoft.com and select Sign in.
- On the Overview page, select Office apps.
- Locate the relevant Office 2021, 2019, or 2016 product.
- Select Install.
- Use the additional-options dropdown if you need to choose a language or switch between the 32-bit and 64-bit editions.
- Select Install and run the downloaded installer.
Most Office 2021 and Office 2019 editions do not ask for a product key during a normal reinstall. Sign in with the Microsoft account that owns the license instead. Office 2016 and some purchase channels may still use a key-based workflow.
If the key says it has already been used
The message “This product key has already been used” usually means the key was successfully redeemed earlier. It is not normally evidence that the key is defective.

Stop entering the key at the setup page. Visit account.microsoft.com, sign in with the account used during redemption, and install Office from the account dashboard. If you do not know which account was used, check old Microsoft purchase emails and the accounts you commonly use.

Install Office on Windows
After selecting Install from your Microsoft account, the browser may use different labels for the downloaded file:

- Start the downloaded setup file.
- If Windows asks, “Do you want to allow this app to make changes to your device?”, select Yes.
- Wait while Office downloads and installs.
- When the message “You’re all set! Office is installed now” appears, select Close.
- Open Word, Excel, or another included application and sign in if requested.
Activation is tied to the license associated with your Microsoft account. In an Office application, open File > Account to inspect the product and account information.
Install Office on a Mac
- Download Office from the Microsoft account associated with the license.
- Open Finder > Downloads.
- Double-click the Office installer package.
- Select Continue, review the license agreement, and select Continue again.
- Select Agree.
- Choose the installation method and select Continue.
- Select Install.
- Enter the Mac login password if prompted, then select Install Software.
Launch an Office application after installation and sign in with the Microsoft account that owns the license.
Can you see the full Office product key?
Usually, no. Microsoft generally does not display the complete product key inside Office or online after redemption. Instead, open an Office application and go to File > Account. Under the product name, look for the email address following Belongs to. That is the Microsoft account normally used for reinstalling and activation.
Keep the original purchase receipt or key card if you have one, but treat the Microsoft account as the important recovery detail after redemption.
Workplace Discount Program: a legitimate reduced-cost route
Microsoft’s Workplace Discount Program is the current name for the former Home Use Program. It applies when an eligible employer has made qualifying Microsoft purchases. It is not a universal free Office offer, but it may let eligible employees purchase certain products at a discount.
Microsoft directs customers with Office Professional Plus, Visio Professional, or Project Professional benefits to the Workplace Discount Program order-history page using their work email address. Products such as Office Home & Business may appear in the personal Microsoft account’s Services & subscriptions page.

Organization-managed and volume-license editions
Office Professional Plus, Office Standard, and standalone applications such as Word or Project may be supplied through an organization’s volume license. These editions do not necessarily appear in the normal retail account workflow.
Ask your IT department for the approved installer and activation instructions. An organization may use deployment tools, a local activation service, or account-based licensing. Downloading a random Professional Plus installer and attempting to activate it with a retail key is not a substitute for an organizational license.
Why the Office Deployment Tool is not a free retail activation method
Microsoft’s Office Deployment Tool can download Office files for supported deployment scenarios, but it does not remove licensing requirements. The documented example is for Microsoft 365 Apps, not a general free installer for retail Office 2021, 2019, or 2016.

For example, Microsoft documents an XML configuration for Microsoft 365 Apps and the following command:

</Configuration>The XML file is saved as installOfficeProPlus32.xml in C:ODT. A 64-bit deployment uses a corresponding 64-bit configuration. The product ID, language, and edition must match the licensed Microsoft 365 plan.
Even an offline installation must be activated afterward. Microsoft’s procedure is to connect to the Internet, open Word or Excel, open a document, and check File > Account. Offline deployment helps with proxy, firewall, antivirus, or connection problems; it does not bypass activation.
Common installation problems
32-bit and 64-bit conflict
You cannot install one Office architecture over the other. If 32-bit Office is installed and you want 64-bit Office—or the reverse—uninstall the existing Office installation first, then install the desired architecture.

Office 2016 installs the applications included in the purchased product. Microsoft’s current troubleshooting guidance says individual applications cannot be custom-selected during installation or removed individually afterward. If you do not use an application, you can delete its shortcut without removing the Office component.

Use Microsoft’s uninstall troubleshooter when removal fails
On Windows 10 or later, Microsoft’s uninstall troubleshooter can help remove a troublesome Office installation:
- Choose Uninstall in the troubleshooter.
- If a prompt says “This site is trying to open Get Help,” select Open.
- Follow the on-screen prompts.
- Restart the computer when asked.
The tool must run on the same Windows PC as the Office installation. Microsoft currently states that it cannot uninstall Office 2024; that limitation does not apply to the Office 2021, 2019, and 2016 workflows discussed here.
Unsupported computers
Office 2016 cannot be installed on Windows XP or Windows Vista. Desktop Office editions also cannot be installed on a Chromebook. A Chromebook may be able to use Microsoft Office mobile or web applications, but the Windows or Mac desktop installer is not compatible with ChromeOS.
Be careful with cheap or “free” keys
A product key sold separately from the software may not be authorized. Microsoft warns that nonworking keys can be stolen, fraudulently obtained, blocked, printed on counterfeit labels, or distributed with unauthorized promotional, OEM-reinstallation, or program-specific media.
If a key from a third-party seller fails, Microsoft’s stated remedy is to contact the seller and request a refund. Avoid activation cracks, KMS scripts, patched executables, and “preactivated” installers. Besides violating the license terms, these downloads can expose saved documents, browser credentials, and other personal data.
How long will these Office versions receive support?

Microsoft says Office 2016 and Office 2019 no longer receive technical support, bug fixes, or security fixes for newly discovered vulnerabilities. Office 2021 will also stop receiving those updates after October 13, 2026, with no extension or extended security updates planned. The applications may continue to run after support ends, but using unsupported software increases security and compatibility risks.

For genuinely free access, consider Microsoft’s browser-based Office applications through Microsoft 365 on the web. They are different from the licensed desktop versions covered by this guide, but they can handle common Word, Excel, and PowerPoint tasks without installing Office 2021, 2019, or 2016.
The legal choice is therefore straightforward: download the desktop installer from Microsoft when you already own or qualify for a license, or use Microsoft’s web apps when you need a free alternative. The installer download alone does not turn an unlicensed copy into free Office.

FAQ
Is Office 2021 free to download from Microsoft?
The installer can be downloaded without a separate download fee, but Office 2021 still requires a valid license for legal activation. Microsoft does not provide a free, fully activated retail copy.
Can I use a generic Office activation key?
No. Generic keys and activation commands are not a legal replacement for a retail, Workplace Discount Program, Microsoft 365, or organization-managed license. Avoid activation scripts and preactivated downloads.
Should I use Office.com/setup to reinstall Office?
Use Office.com/setup or Microsoft365.com/setup to redeem a new, unused product key. If the key has already been redeemed, sign in at account.microsoft.com and install Office from the account associated with the license.

Can one one-time-purchase Office license be installed on multiple computers?
Microsoft’s guidance says Office Home & Student, Home & Business, and Professional one-time purchases are licensed for one PC or Mac installation. Office 2021, 2019, or 2016 may generally be transferred to another computer belonging to the license holder after a hardware failure or replacement, subject to the license terms.
Can I install 64-bit Office over 32-bit Office?
No. Uninstall the existing 32-bit or 64-bit installation first, then install the other architecture.
Does the Office Deployment Tool activate Office for free?
No. It downloads and deploys Office files for supported licensing scenarios. Microsoft still requires activation after installation.
