This Make.com workflow automates feedback on students’ weekly career-progress reports: a Google Form collects each update, Gemini assesses it, and Make writes the response back to the matching Google Sheets row. It is a student-program progress evaluator—not a tool for finding jobs or managing personal job applications.
What the AI career coach actually does
In Adiela Sam Ogide’s DEV Community tutorial, students submit their name, career goal, and progress so far through a Google Form. The automation sends those answers to Google Gemini, asks for a short status assessment, and writes the result into the corresponding row in the linked Google Sheet. The tutorial names Gemini 3.8 Flash as the model used. Read the tutorial.
The label “career coach” describes the workflow’s intended role, but the system evaluates self-reported progress toward a stated goal. The tutorial does not describe job-board searches, resume evaluation, verified outcome data, a formal scoring rubric, or a human review step.

- Collect a weekly update. A Google Form asks for the student’s name, career goal, and progress update.
- Watch the form’s linked spreadsheet. The tutorial uses a Google Sheets response-watching module rather than the standard Google Forms “Watch Responses” trigger. The author says the Forms trigger did not provide the row identity needed later. The Sheets trigger supplies a row number for the update step. This is the author’s implementation choice; Make’s current module names and behavior may differ from the tutorial.
- Send the answers to Gemini. A custom prompt frames Gemini as a student career coach and evaluator, includes the submitted values, and requests a concise, consistently formatted assessment.
- Write the assessment into the same row. Make maps Gemini’s output to the spreadsheet row number from the trigger, so the feedback is associated with the submission that produced it.
The tutorial says the scenario is scheduled to run when a student submits a form. Its prompt requests one of three statuses—“On Track,” “Needs Review,” or “Action Required”—and a one- to two-sentence summary of progress toward the student’s goal, including suggested next steps. The original walkthrough contains the author’s build details.

Why the row number matters
The AI response is useful only if it lands beside the correct student update. The trigger’s row number acts as the link between the incoming response and the later spreadsheet update. If the scenario loses that identity or maps the wrong value, feedback could be written to the wrong submission. Confirm the trigger output and row mapping with a test response before using the scenario with real student records.
Do not assume that a row number remains a durable identifier if the sheet is being sorted, edited, or otherwise changed while the automation runs. The tutorial explains its own row-number approach but does not establish how it behaves under concurrent edits or changes to the sheet structure.

What the assessment can—and cannot—tell a student
Gemini can only assess the information it receives. Here, that is a student’s own description of progress and the career goal they provided; the tutorial does not describe independent verification or criteria that define each status. A polished response is therefore not proof that a student is on track, nor does the suggested next step necessarily reflect a program’s standards.

Before using the labels operationally, define what “On Track,” “Needs Review,” and “Action Required” mean for the program, and make the prompt apply those criteria consistently. Consider routing consequential or ambiguous cases to a staff member rather than treating the generated label as a final decision. Make’s separate HR guidance similarly describes AI-assisted resume analysis and candidate matching as support for recruiters, not a replacement for human judgment; those hiring examples do not validate this student-progress workflow. What the author reports about speed
Ogide describes the build as “a system that instantly analyzes student progress reports using AI and logs customized feedback back into a database—with zero human intervention.” The tutorial also says feedback arrives within seconds and that the workflow eliminates hours of manual review. These are the author’s descriptions of the build, not independently measured performance or evidence that the coaching is accurate. No measured time-saving figure or named statistic for this specific workflow is provided.

The described implementation is a fixed scenario: a defined trigger, a prompt with specified inputs and output labels, and a spreadsheet update. Do not assume it uses Make AI Agents. Practical checks before using the workflow
- Test row matching: submit a test form response and confirm the trigger’s row number points to that response and that the update writes to the intended row.
- Check output consistency: verify that the response includes exactly one of the three requested statuses and a short, relevant explanation.
- Set program criteria: supply clear definitions for the status labels instead of relying on an undefined notion of progress.
- Plan review and escalation: decide which answers should be checked by a staff member, particularly if a label could affect a student’s support or opportunities.
- Review data handling: determine whether student information may be sent to the services in the workflow under your organization’s policies and applicable requirements.
