For software development, useful time tracking means recording effort against the right task or project with enough context for planning, reporting, or invoicing—without collecting detail no one will use. A team can log time in an issue tracker or a separate app, using a timer or manual entries. The right setup depends on how the team works, what it needs to report, and its privacy requirements.

What to record in a software development time log

A time entry can include a date, duration or start and end times, a task, project, description, tags, and whether the time is billable. Not every team needs every field. Decide which questions the records should answer, then require only the detail that supports those answers.

  • Task or issue: Connect the entry to a work item when you need to understand effort by feature, bug, code review, or other development task.
  • Project or client: Use this to group work for project-level reporting or client records.
  • Description or tags: Add context or categories only when they help distinguish work that would otherwise be hard to interpret.
  • Billable status: Mark client work as billable or non-billable if your reporting or invoicing process needs that distinction.
  • Time and date: Record a duration, or start and end times if your process needs the time window as well as the total.

Keep entries understandable to the person reviewing them later. A project total may be enough for one team; another may need task-level detail to compare effort with estimates. More fields do not automatically make a record more useful.

Choose a capture method the team can sustain

Time can be recorded with a running timer or entered manually. Some workflows also connect time capture to tasks or calendars. The available product documentation describes these options but does not establish that one method is more accurate than another.

Running timer

Start a timer when beginning a task and stop it when switching or finishing. This can make it easier to associate a block of work with a specific item, provided people remember to manage the timer and correct interruptions when needed.

Manual entry

Enter the time after the work, using the team’s agreed units and level of detail. This offers flexibility, but depends on people recording the work consistently enough for the resulting reports to be meaningful.

Task- or calendar-linked capture

Where a tool supports task launch or calendar assistance, it may fit an existing workflow. Confirm what data is transferred and how entries are created before relying on it. Automation is a capture option, not evidence by itself that the resulting record is complete or correct.

Decide where development time should live

Logging directly in an issue tracker can keep time close to the work item. A separate tracking app may provide a dedicated timesheet and project-reporting workflow. The key question is whether the chosen setup links each entry to the task and project well enough for the reports the team actually needs.

For example, Toggl’s Jira materials describe syncing Jira entities into Toggl, with data sent from Jira to Toggl: Toggl’s Jira integration. Toggl also documents organizing time with projects and tasks: projects and tasks. These are vendor descriptions, not independent comparisons of the tools.

Set up billable and non-billable records for client work

For consultancy and freelance work, a billable flag can separate time intended for client billing from internal, administrative, or otherwise non-billable work. Review the entries before preparing an invoice: the classification and report help organize the record, but they do not prove that the hours, rates, or invoice are correct.

Evaluate tools against the workflow, not a feature list

Compare options using the work your team must capture and the records it needs to produce. The sources cited here describe vendor capabilities; they do not independently rank products for accuracy, privacy, or productivity.

Decision area What to check
Capture Whether the team can use a timer, manual entries, task launch, calendar assistance, or desktop assistance in a sustainable way.
Work linkage Whether entries can be connected to tasks or issues, projects, clients, tags, and descriptions as needed.
Reporting Whether reports can distinguish billable from non-billable time and show project or client totals, or estimates versus actuals where required.
Workflow Whether integrations, approvals, exports, and supported devices fit the team’s existing process.
Privacy and governance What activity data is collected, who can see it, how long it is retained, and which workplace rules apply.

Toggl Track markets developer and IT team features such as Jira and Asana sync, project reports, billable rates, estimates versus actuals, workload, and timesheet approvals; its documentation also covers timer and manual entry. Agree on privacy and access before rollout

Tell people what the tool records, who can view time entries or activity data, and how the information will be used. Consider whether the team needs task-level logs, activity monitoring, or only submitted durations; these are different kinds of data collection. Toggl makes privacy claims on its product page, but those claims are not an independent assessment and do not establish legal requirements for every jurisdiction. Check applicable workplace rules and the product’s current terms and settings for your location.

A lightweight rollout for an engineering team

  1. Define the purpose. Choose the decisions the records should support, such as project effort reporting, client billing, or comparing estimates with actuals.
  2. Pick the minimum useful fields. Agree on task or project linkage, descriptions or tags, date and duration, and billable classification where applicable.
  3. Choose a capture workflow. Decide whether people will use timers, manual entries, or a supported integration, and document how to handle task switches and corrections.
  4. Set review and access rules. Decide who checks submitted time, who can view it, and how billable entries flow into invoicing or exports.
  5. Review whether the records answer the original questions. If reports are not useful, adjust categories or workflow rather than adding fields without a clear purpose.

Tool packaging can change. Toggl’s project page states that its free offering supports up to three users and lists additional features on paid tiers; check the current page for availability and terms before choosing a plan: Toggl Track plans.
