Click the Finder icon in the Dock to open it, then use its sidebar to reach common locations such as Desktop, Documents, Downloads, and iCloud Drive.
Open Finder and find your way around
Click the blue-and-white Finder icon in the Dock. In the Finder window, the sidebar provides shortcuts to locations and devices; select Desktop, Documents, or Downloads to browse those folders. iCloud Drive may also appear there if it is set up on your Mac.
If a location you want is missing, customize the sidebar in Finder > Settings > Sidebar. The appearance and exact options can vary by macOS version. Apple describes Finder as your Mac’s “home base” for files, folders, apps, and connected devices in its Finder file-organization guide.
Choose a view that makes files easier to find
Finder offers four views. Use the view buttons in the window toolbar to switch between them:

To inspect a file without opening it in its app, select it and choose View > Show Preview to display the Preview pane. For a quick look at a selected item, press the Space bar; this opens Quick Look, which you can close by pressing Space again.
Create a folder and move files into it
- In Finder, open the location where you want the folder.
- Choose File > New Folder, or press Shift-Command-N.
- Type a clear name for the folder and press Return.
- Drag a file or folder onto the new folder to move it there.

Search for files and narrow the results
Click the Finder search field, enter a name or keyword, and review the results. To make the search more specific, add a criterion such as Kind and choose the type of item you want. You can also try a kind keyword such as kind:pdf or kind:images. Apple documents these search refinements in its guide to narrowing Finder search results; the page is for macOS 26, so labels or behavior may differ in other releases.
Use tags to group files across folders
Tags let you label related files without moving them into the same folder. For example, you could tag items “Work” or “To review” even when they are stored in different locations. Select an item and use the Finder tag controls to assign a tag; you can then use the tag in searches or select it in the sidebar to find matching files. Apple explains the feature in its guide to using tags on Mac.

Try Smart Folders and Quick Actions
Smart Folders gather matching files
A Smart Folder automatically shows files that meet criteria you choose, such as a kind or other search condition. It does not move the original files; it presents matching items together. This is useful when you want a changing collection—such as PDFs or items matching a search—without reorganizing your folders. See Apple’s Finder organization guide for Smart Folders.
Quick Actions handle simple tasks
Quick Actions can offer tasks such as rotating an image or marking up a file from Finder. Select a file and look for available actions in the Finder window or its contextual controls. The options depend on the selected file type and enabled extensions, so an action may not appear for every item. Apple describes the feature in its Quick Actions guide.
