If you are changing providers, create and secure the new mailbox, back up important data, import what the provider supports, set up forwarding for new messages, and update accounts that use the old address. Keep the old mailbox active while you make the transition.
Choose between changing an account address and moving mailboxes
These are different changes. An address change modifies the sign-in address for an existing account; moving to a new mailbox means creating a separate destination and managing old messages, future mail, contacts, and linked services as distinct tasks.

Changing a Google Account address is not the same as transferring your mail to another provider. If the address change is available and suits your needs, review Google’s stated effects and back up account data first. Otherwise, treat the new address as a mailbox migration.
Set up and secure the new mailbox
- Create the new email account and sign in to confirm that it works.
- Add recovery information and use a strong, unique password. If the service offers additional account-security options, review them before relying on the mailbox for password resets.
- Make a private inventory of what depends on the old address: messages, contacts, calendars, files or other account data, and online services that use it for sign-in, recovery, billing, or notifications.
Prioritize services where losing access could create serious problems: financial, work or school, government, healthcare, cloud storage, subscriptions, and shopping or delivery accounts. This is a practical priority list, not a universal provider checklist.

Back up and move the data you need
Do not assume that creating a new address moves anything from the old one. Back up important account data before changing account settings, then check what your old and new providers actually support. Google recommends backing up data before changing a Google Account address. Microsoft documents separate Outlook procedures for importing and exporting email, contacts, and calendar data; the steps vary by Outlook product. Yahoo’s cited New Yahoo Mail guidance covers contacts but does not transfer an entire inbox through that workflow.
See Microsoft’s Outlook import and export guidance and Yahoo’s instructions for transferring emails and contacts for their respective product limits. If you want an offline copy of exported data, an external drive is one optional storage choice; it is not required by the provider guidance.

Import old mail and contacts into Gmail
Gmail documents an import option for old email and contacts, subject to source-account setup and access requirements. Its import does not bring over folders or labels, so messages may not retain the organization they had in the old mailbox. POP access and secure-connection requirements can also matter. Google’s documented third-party-account path on a computer does not support adding Outlook there; Google directs users to the Gmail app for that connection. Follow the current instructions for your source account in Add another email account on your computer.
After an import, check its status and search both accounts for messages you expect to find. Do not treat an import as a substitute for preserving the old account while you confirm that important content is available.

Forward future messages from the old address
Importing and forwarding solve different problems: an import brings in available existing messages, while forwarding routes eligible new messages that arrive at the old address. Forwarding does not necessarily preserve every message or work identically across providers.
Set up automatic forwarding in Gmail
- In the old Gmail account, open Settings and select See all settings.
- Open the Forwarding and POP/IMAP tab, then choose Add a forwarding address.
- Enter the new address. Open the verification message delivered there and confirm the request.
- Return to the old Gmail settings, enable forwarding to the verified address, and choose what happens to Gmail’s copy. Google recommends keeping a copy in the inbox.
- Select Save Changes. Send a test message to the old address, then check the new inbox and its spam or junk folder.
Google’s Gmail Help says, “We forward all new messages to the account, except for spam.” Forwarding is Gmail-specific here; other services use their own controls and rules. Forwarded messages may not behave exactly like mail delivered directly, so monitor both inboxes and spam or junk folders during the change. Update services and tell important contacts
Work through the private inventory you made, changing the address on each service where the option is available. Update sign-in, recovery, billing, and notification addresses separately when a service treats them as different settings. Follow each service’s verification flow, and mark changes complete only after you can confirm them.
Send a short notice with the new address to people who need it. Keep the old mailbox accessible while you update services and watch for messages from senders you missed. Do not close the old account just because forwarding is enabled; retention and forwarding rules depend on the provider and account type.

Choose how to check multiple inboxes
You can use a provider’s own app or website, a desktop email client, or—where supported—a Gmail interface that connects to another provider. These options are not interchangeable: provider support, synchronization, and setup requirements differ.

The removal schedule is time-sensitive and could change; consult Google’s current announcement before depending on a particular setup.

Finish the transition without cutting off the old address
- Confirm that you can sign in to the new mailbox and recover the account if needed.
- Check that the data you intended to move is present, and that important contacts and services now use the right address.
- Test forwarding and continue checking the old inbox for missed messages.
- When you no longer need forwarding, turn it off deliberately in the old account’s settings and confirm that people and services can reach the new address directly.
