Outlook can mean Microsoft’s email service or an app that connects to an email account. Outlook.com is the consumer webmail service; new Outlook for Windows and classic Outlook for Windows are separate applications. They overlap, but their account support and features are not identical.

What do “Outlook” and “Outlook.com” mean?

An email service stores and manages your mailbox. An email app is a way to access that mailbox. Microsoft describes apps such as classic Outlook as programs that interact with an email service; webmail is accessed by signing in through a browser.

  • Outlook.com: Microsoft’s consumer webmail service, used in a web browser.
  • New Outlook for Windows: Microsoft’s newer Windows email client, which can connect to Microsoft and supported third-party accounts.
  • Classic Outlook for Windows: the established desktop client, with its own feature set and integrations.

Having an Outlook.com mailbox does not mean you must use an Outlook app. Likewise, using Outlook as an app does not mean your email account has to be an Outlook.com address.

How do new Outlook and classic Outlook differ?

Start with the work you need to do, rather than assuming one client is better for everyone. Microsoft’s feature comparison, last updated September 23, 2026, distinguishes features that are available, partially available, revised, unsupported, or upcoming in new Outlook. Those statuses can change, so check the current comparison for the specific task, account type, and subscription you rely on.

Feature compatibility is only one part of the choice. Also verify that your account is supported, that your organization permits the client, and that any required feature is covered by your licensing. Microsoft notes that some features require a qualifying Microsoft 365 work or school subscription.

Can you use Gmail or another email account in Outlook?

New Outlook supports many Microsoft accounts, assigned work or school accounts, and third-party accounts including Gmail, Yahoo, and iCloud. Microsoft says third-party accounts can connect through IMAP. Support can still differ by provider, account configuration, and feature; a successful sign-in does not guarantee that every workflow will work identically across clients.

To add an account, sign in or choose to add an account during Outlook setup. If automatic configuration does not work, Microsoft’s account instructions describe manual IMAP or POP setup using the incoming and outgoing server details supplied by your email provider. Some providers may require an app password. Get current server names and authentication requirements from the provider rather than guessing them.

Should you choose IMAP or POP?

IMAP Reads messages from the email service rather than storing them locally. Usually the better choice when you need to check email across several devices.
POP Downloads new messages. Previously downloaded mail may not be available on another device, and sent mail in the described setup is stored locally. Use only when that download-and-local-storage behavior suits your needs.

These are protocol-level behaviors, not a guarantee that every provider configures the protocols in exactly the same way. Check your provider’s current setup guidance, especially if you need the same inbox and sent mail to be accessible on multiple devices.

How do you try new Outlook and switch back?

Microsoft documents several ways to start using new Outlook: switch from classic Outlook when the toggle is offered, download new Outlook, or use it on a supported Windows device. You can sign in or add an account during setup. The toggle may not appear for every account or organization because availability can depend on account support and administrator settings.

Microsoft also documents returning to classic Outlook through the toggle in new Outlook when that control is available. Before changing clients, confirm that your required add-ins, rules, public-folder tasks, and other workflows work in the client you plan to use. If your organization manages Outlook settings, check its configuration before relying on a switch being available.
