Use Find to locate text or numbers, Conditional Formatting to mark duplicates, Find and Replace to edit matching text, and Remove Duplicates to delete duplicate records. These are different operations: choose based on whether you want to locate a match, keep it visible, change cell contents, or remove data.

Choose the right Excel feature for the job

Your goal Use What changes
Locate matching text or a number Find Excel selects matching cells; it does not apply persistent highlighting.
Visually mark duplicate values Conditional Formatting Cells meeting the rule receive formatting that can be changed or cleared.
Remove matching text but keep the rest of each cell Find and Replace Replace All with an empty replacement removes the matched text in the configured scope.
Delete duplicate records Remove Duplicates Excel removes duplicate rows from the selected range.
Review duplicates without deleting them Filter for unique values Duplicates are temporarily hidden, not removed.

Microsoft documents these workflows for Excel for Microsoft 365, Excel 2024, Excel 2021, Excel 2019, and Excel 2016 on Windows and Mac; ribbon labels or options can vary by platform and release. Find matching text or numbers

  1. Press Ctrl+F, or choose Home > Find & Select > Find.
  2. Enter the word, phrase, or number to search for.
  3. Choose Find Next to move through matches, or Find All to display a list of matching cells. Selecting a result selects that cell in the worksheet.
  4. If needed, open search options to set the search scope, require a whole-cell match, or match case.

Search scope matters: set the search to the current sheet or the whole workbook according to what you intend to inspect. For pattern matching, ? stands for one character and * for any number of characters. Put ~ before a wildcard character to search for it literally, such as ~* for an asterisk. Microsoft’s Find and Replace instructions cover search options and wildcards.

Highlight duplicate values without deleting them

  1. Select the range you want to check.
  2. Choose Home > Conditional Formatting > Highlight Cells Rules > Duplicate Values.
  3. Choose a formatting style and confirm. Excel marks values that occur more than once within the selected range.

Conditional formatting is useful for reviewing matches before you make changes: it flags them without removing data, and you can later edit or clear the rule. For a custom duplicate test, create a formula-based conditional-formatting rule. Microsoft’s example for identifying repeated entries in column A is =COUNTIF($A$2:$A$400,A2)>1; adjust the range and cell reference to fit your data. Microsoft notes that Excel cannot highlight duplicates in the Values area of a PivotTable report using the duplicate-highlighting workflow described in its guidance.

Remove matching text while keeping other cell content

  1. Press Ctrl+H to open Find and Replace.
  2. Enter the text to remove in Find what.
  3. Leave Replace with empty, then check the search scope and any matching options.
  4. Use Replace to change a match individually, or Replace All to remove every match within the configured scope.
  5. Review the affected cells and results before continuing with other work.

An empty replacement removes the matching text but keeps the rest of a cell’s contents. For example, replacing Ltd with nothing changes Northwind Ltd to Northwind. It does not delete the whole cell or the row. Because Replace All acts on every match in the configured scope, verify the search settings before using it. Microsoft explains the available options in Find or replace text and numbers on a worksheet.

Remove duplicate rows

  1. Make a copy of the original data or review the matches first.
  2. Select the data range to clean.
  3. Choose Data > Remove Duplicates.
  4. Choose the columns Excel should use to decide whether records are duplicates, then confirm.
  5. Review Excel’s result and the remaining rows.

The columns you select define the comparison key. If you select only some columns, Excel compares rows using those columns but removes the entire duplicate row from the selected range, including values in unchecked columns. For instance, using an email column as the key can remove a later row with the same email even if another unchecked column contains different information.

Removal is permanent for the selected data range. Microsoft warns: “When you use the Remove Duplicates feature, the duplicate data is permanently deleted.” Keep a copy or inspect duplicates with formatting or filtering before removal. When to use Go To Special instead

If you need to select cells that meet a worksheet condition rather than search for a particular word or value, Excel for Windows also offers Home > Find & Select > Go To Special. It can select categories of cells such as formulas or blanks. It is not the duplicate-removal command; see Microsoft’s Find and select cells that meet specific conditions guidance for the available choices.
