Pages mail merge fills placeholders in a document with information from Contacts or a Numbers spreadsheet, then creates a new document containing a customized version for each record. Add fields, choose a source, preview the records, correct any source-data errors, and merge. The controls differ by device, so follow the instructions for your Mac, iPhone, or iPad.
Choose Contacts or a Numbers spreadsheet
Use the source that best matches how your recipient information is organized. Contacts is convenient when the information is already saved there; a Numbers spreadsheet is useful when you want to use a table with your own column headers, such as “Event Date” or “Certificate Name.” Apple documents both approaches, rather than recommending one for every workflow.

Use mail merge on a Mac
- Open the document controls. Open your Pages document and select the Document sidebar. In a word-processing document, select the Document tab if Mail Merge is not visible.
- Insert a merge field. Put the insertion point where the information should appear, or select existing text to turn it into a field. Open Mail Merge and add a field. Contacts fields are available by default; use More Fields to view the full Contacts list. New fields are typically recipient fields, but you can switch a field to sender use.
- Add a spreadsheet when needed. In the Mail Merge controls, choose Add Merge Field, then Add from Spreadsheet. Select the Numbers file and, if prompted, the table. Its column headers will appear as merge-field choices.
- Check field mappings and formatting. If a field displays the wrong information, use its controls to change the mapping. Address fields can be formatted as a single line or multiple lines.
- Preview the records. Open the merge preview and move through the records to check that each field is populated correctly. The preview is not editable; correct mistakes in Contacts or the spreadsheet, then preview again.
- Create the merged document. Choose Merge. Pages creates a new document with the customized versions. After merging, only sender fields remain as merge fields.

Use mail merge on iPhone or iPad
- Open the Pages document and tap More > Mail Merge.
- Add fields using the Mail Merge controls, placing them where the personalized information should appear.
- For multiple customized documents, use a Contacts group or a Numbers spreadsheet as the source. On iPad, choose the relevant table if the spreadsheet contains more than one.
- Preview the records to check the populated fields. If the source contains an error, correct it there and preview again.
- Tap Merge. You can open the resulting document immediately or later from the document manager.

Refresh a Numbers source or troubleshoot missing fields
If you edit spreadsheet values, rename columns, or add columns after attaching the source, select the source file again in Pages so the changes appear in the merge information. This is especially useful when a newly added column does not appear in the field menu.

- A field shows the wrong value: Check its mapping in Pages, then confirm the source record contains the intended information.
- A new spreadsheet column is missing: Reselect the spreadsheet source so Pages refreshes the available fields.
- A preview contains incorrect information: Edit the underlying Contacts or spreadsheet data; the preview itself cannot be used to fix source records.
If you copy merge fields into another file format, their field settings may not be preserved.

- Use a consistent source table with a clear column header for each custom field.
- Confirm that each placeholder is mapped to the intended Contacts field or spreadsheet column.
- Step through the preview records and check names, addresses, and other personalized details.
- Fix errors in the source and preview again before creating the merged document.
Apple’s documentation describes the workflow across Mac, iPhone, and iPad, but does not specify a minimum Pages version or operating-system requirement in the cited guides. Interface labels can also vary by platform and release.
