For Microsoft 365, Exchange, Outlook.com, and Gmail accounts, adding the same account to the new computer usually brings back server-synced mail. Outlook POP accounts and local folders may instead depend on a PST file that you must copy or export. These are separate jobs: moving an archive does not configure the account, and signing in does not necessarily bring over local-only mail.
Before you move anything, identify where your email is stored
Check how the account is configured in the old mail app and whether it contains local folders or archives. Microsoft says Exchange, Microsoft 365, and Outlook.com messages are generally stored on the server, while Outlook POP account data is stored in a PST file. That distinction determines whether signing in is enough or whether you need to preserve and move a file. See Microsoft’s Outlook data-file transfer guide.
- Server-synced account: Add the same account on the new computer and allow it to synchronize.
- POP account or local folders in Outlook: Find and preserve the relevant PST, then open or import it on the new computer.
- Moving mail into a different account: Use an import or migration process, and check what it preserves; this is not the same as setting up the same account on a replacement computer.
Do not delete or wipe the old computer until you have checked the new setup and accounted for important local folders. Keep a separate copy of any PST you need to retain.
Transfer Microsoft 365, Exchange, or Outlook.com mail by signing in
For an account whose messages are stored on the server, install or open the mail app on the new computer and add the same account. Outlook can recreate the account’s OST cache after setup; Microsoft says an OST file should not simply be moved from one computer to another. Wait for synchronization, then check that the expected folders and recent messages appear.

Server synchronization does not necessarily cover everything associated with Outlook. Check for PST archives, local folders, signatures, rules, and other settings separately. If this is a work or school Exchange account, ask your administrator how to access archived mail and whether organization policies restrict export or migration.
Move Outlook POP mail and local folders with a PST
Microsoft says Outlook POP account email, calendar, contacts, and tasks are stored in a PST. A PST preserves data; it does not set up the account on the destination computer. Microsoft puts it plainly: “Moving a .pst file from one computer to another doesn’t transfer your email account settings.” Read its transfer guide for account and data-file distinctions.

Export a PST from classic Outlook on the old computer
Microsoft’s export instructions list Outlook for Microsoft 365, Outlook 2024, 2021, 2019, and 2016. In classic Outlook, use this route:
- Select File > Open & Export > Import/Export.
- Choose Export to a file, then select Outlook Data File (.pst).
- Select the mail folder you want to export. Include subfolders if you need them.
- Choose a backup location and file name, then complete the export.
Menu labels and availability can differ in newer Outlook applications or other platforms. Consult Microsoft’s PST export instructions for the supported Outlook versions and details.

Copy and open the PST on the new computer
- Transfer the exported PST to the new computer using a suitable method, such as a separate storage device or another file-transfer method. The storage device is optional; the important part is retaining a usable copy.
- Install or open Outlook and add the email account using its normal setup process. The PST does not contain the account’s credentials or server settings.
- Open or import the PST in Outlook. Microsoft’s PST import instructions explain the available options.
- Check the folders and messages you need in the destination Outlook before removing the old copy.
When moving data between accounts or computers, Microsoft also describes adding the accounts in Outlook desktop, waiting for messages to appear, exporting to PST, and importing at the destination. Its guidance notes that Outlook does not export some metadata, including folder properties, rules, and blocked sender lists. See Microsoft’s account-and-data transfer guidance.
Set up Gmail on a new computer or move mail into another account
If you are using the same Gmail account on a new computer, sign in to Gmail in a browser or add the account to your mail app. If you are transferring messages from a different account into Gmail, Google’s consumer import route is under Settings > Accounts and Import > Import mail and contacts. The source account must allow POP access, and Google recommends a secure connection for retrieving mail. Google says this import does not bring over folders or labels; its help page also describes forwarding messages from the old account for 30 days, so check the current workflow and settings in Google’s import instructions.

Export a Gmail archive with Google Takeout
For an archive rather than an account-to-account import, use Google Takeout to export Gmail data. Google documents that the export can include message content, headers, attachments, user-defined labels and IMAP keywords, and certain account settings. Work or school accounts may not allow all data to be downloaded, and encrypted messages remain encrypted in the downloaded data. Details are in Google’s Takeout instructions.

Google Workspace provides an Admin console data import tool for administrators moving mail from IMAP-based providers such as Yahoo, iCloud Mail, GoDaddy, Zoho, and Titan. The administrator maps source and target accounts and supplies the source account’s IMAP credentials; some providers may require an application-specific password. The tool supports date-range selection and options involving deleted or spam mail, as well as delta imports for later additions or failed items. This is an organization-managed migration process, not the ordinary way to set up an existing Gmail account on a new computer. See Google Workspace’s data import guide.

Verify the transfer before retiring the old computer
- Confirm the new account connects and the expected recent messages and folders appear.
- Open any PST archives and check the specific local folders or older messages you need.
- For a move into another account, check whether the method preserved labels, folders, attachments, and any other data important to you.
- Keep the old computer or a separate backup until you have verified the data you care about. A successful account sign-in alone does not prove that local-only Outlook data was transferred.
