Choose the right download method

Download all files into the synced OneDrive folder
Use this method when you want the OneDrive folder to stay in File Explorer and want its contents available without an internet connection. First check that the PC has enough free space: online-only files do not use local file storage, but downloading the whole library does.
- Open OneDrive on Windows and sign in to the account that contains the files. If it is not already running, start OneDrive from the Start menu and follow the sign-in prompts. Microsoft’s Windows OneDrive guidance describes setting up sync. Personal and work or school accounts may appear as separate OneDrive folders in File Explorer.
- Open File Explorer and locate the relevant OneDrive folder.
- Right-click the OneDrive folder and choose Always keep on this device. Microsoft also describes a Download all files setting for Files On-Demand that applies the same behavior to the entire OneDrive folder.
- Leave the PC connected to the internet while OneDrive downloads the content. The time required depends on your library and connection; Microsoft’s cited guidance does not specify a typical download duration.
- Check the OneDrive status icons before relying on the files offline. A cloud icon means a file is online-only; a green circle with a white check means it is always available on this device. A green check without the circle means it is locally available, but is not necessarily pinned to stay available. Microsoft explains these icons in What do the OneDrive icons mean?
A filename appearing in File Explorer does not prove its contents are stored locally. Files On-Demand can show online-only files there without downloading their contents. Microsoft states that “Online-only files don’t take up space on your computer.”
Download files or folders once from OneDrive.com
Choose the web method if you need a separate copy in a specific Windows location rather than making the synced OneDrive folder local. Microsoft’s browser instructions cover OneDrive and SharePoint downloads; the limits below are the limits stated on that page, which does not identify a publication year.

- Open OneDrive.com in a browser and navigate to the folder you want.
- To select a folder’s contents, use the header checkbox or press Ctrl+A while viewing the folder. You can also select the folder itself.
- Choose Download.
- If you selected multiple items, OneDrive packages them as a ZIP. Save the download to the location you want on the PC and extract the ZIP if you need to work with its contents as ordinary files.
Microsoft’s stated browser-download limits and exceptions
- A single file can be up to 250 GB.
- A download is limited to 10,000 files total, and a folder download is limited to 10,000 files.
- For multiple compressed files, such as ZIP or MP4 files, Microsoft lists a 10 GB limit per ZIP and 20 GB overall.
- In the specified ZIP-download scenarios, sensitivity-labeled or IRM-protected files larger than 4 MB may be omitted and need to be downloaded separately.
- Some OneNote notebooks cannot be downloaded this way; a notebook in a downloaded folder may be represented by an error text file.
These are Microsoft’s published technical limits and exceptions, not a guarantee that every selection will download successfully. For a very large library, sync may be a more practical starting point than one large browser ZIP; Microsoft’s cited guidance does not establish which method is faster.
Make only selected folders available on this PC
If you do not want the entire OneDrive library stored locally, choose which folders sync to this computer. In OneDrive settings, open Account, select Choose folders, and clear the checkboxes for folders you do not want on this PC. Unchecking a folder removes it from the computer but leaves it online. Folder choices apply per computer and account.

Handle shared files and download problems
Files in the Shared view
Microsoft says the Shared view does not provide a direct download option. Open the file and save a copy to a location you choose, or add and sync a shared folder if you need to download its contents regularly. SharePoint Server stored on-premises has separate download limitations, so do not assume the OneDrive web instructions apply to it.
The Download button disappeared
If the OneDrive web page’s Download button disappears after a refresh, Microsoft suggests going up one folder level and returning to the folder, or reopening the browser tab.

Sync appears incomplete
Check OneDrive’s status icons and sync guidance instead of assuming that visible filenames are fully downloaded. A cloud icon identifies an online-only file; use Always keep on this device when it must remain available offline.
