To speed up a large Excel file, first identify whether the delay is in opening, editing, recalculating, filtering, refreshing data, or saving. Then test one relevant change at a time against the same task. A workbook can be slow for several different reasons, so no single setting or upgrade is a universal fix.
1. Identify what is slow
Before changing the workbook, note the specific task that stalls and when it happens. Opening slowly can point to startup items or workbook objects; delayed edits can involve recalculation; a slow refresh may involve Power Query or its data source. Microsoft’s Excel troubleshooting guidance and performance guidance address different causes. Record how long the same operation takes before and after each adjustment, and change one thing at a time.
2. Try these 15 improvements
1. Update Excel
Install available updates through the normal Microsoft 365 or Office update channel for your installation. Microsoft’s troubleshooting guidance describes fixes that can affect complex workbooks, formatting, shapes, text functions, and calculation. The relevant fixes vary by Excel version, so an update is a sensible early check rather than a guaranteed speed increase.
2. Check add-ins and startup behavior
If Excel itself takes a long time to launch, test whether an add-in is involved by starting Excel in Safe Mode. If startup is faster, disable only add-ins you do not need, then retest. Microsoft explains this diagnostic approach in its troubleshooting steps. Do not remove an add-in that supports a workflow you rely on without checking its purpose.

3. Use Manual calculation selectively
For a formula-heavy workbook, Manual calculation can prevent formulas from recalculating after every edit. In desktop Excel, open Formulas > Calculation Options and choose Manual. Press F9 to recalculate, or use Calculate Now on the Formulas tab, before relying on displayed results or sharing the file. Manual mode can leave values stale, and the calculation setting affects all workbooks open in that Excel session. Microsoft notes that large formula counts, data tables, and functions that recalculate automatically can increase calculation time in its calculation-options documentation.
4. Consider Partial calculation where available
Excel’s Partial calculation option recalculates dependent formulas except data tables. It may be useful when data tables are the source of repeated calculation work, but their results will not be updated during Partial recalculation. Check the results you need before sharing or making decisions from the workbook.
5. Audit repeated and volatile formula work
Look for calculations repeated unnecessarily across many cells and for broad dependencies that cause more formulas to recalculate than a change requires. Make changes only when you understand the intended result: test representative inputs and compare outputs with the original workbook. Formula rewrites based only on a rule of thumb can change results without improving the task that is slow.
6. Review multi-threaded calculation
Excel enables multi-threaded calculation by default and can use multiple processors. You can limit the number of calculation threads if Excel is competing with other demanding work, but adding threads does not make every workbook faster. Keep the default unless a specific workload gives you a reason to change it.

7. Replace whole-column references when they do unnecessary work
References such as A:A can involve far more cells than a formula needs. Microsoft lists whole-column formula references as a possible performance cause in its troubleshooting guidance. Where the data boundary is known and stable, use a bounded range or a suitable table reference instead. Confirm that new rows are still included and that formulas return the same results.
8. Check legacy array formulas
Microsoft identifies uneven argument sizes in array formulas as a possible issue. If the workbook uses legacy Ctrl+Shift+Enter (CSE) arrays, check whether an applicable dynamic-array function can express the same calculation more clearly. Dynamic arrays are version-dependent; confirm compatibility with everyone who needs to open the workbook and verify outputs before replacing a formula.
9. Review lookup and aggregation formulas
Microsoft documents performance improvements for VLOOKUP, HLOOKUP, MATCH, SUMIFS, COUNTIFS, and AVERAGEIFS in the Excel versions covered by its calculation-performance guidance. Microsoft 365 also includes XLOOKUP and XMATCH. A function swap alone does not guarantee a faster workbook: compare the same calculation and ensure that match behavior, errors, and returned values remain correct.
10. Reduce excessive styles and formatting
Workbooks assembled by repeated copying between files can accumulate excessive styles. Microsoft lists this as a possible contributor to slow performance or crashes. Work on a copy, preserve a known-good backup, and remove only formatting you can confirm is unnecessary; broad cleanup can alter the workbook’s appearance.

11. Remove stale names and unnecessary hidden objects
Inspect defined names for invalid references and review whether the workbook contains large numbers of hidden, zero-height or zero-width, or otherwise unnecessary objects. Microsoft lists these among potential performance and stability issues. Keep objects, controls, and names needed by formulas, macros, or users.
12. Right-size the Data Model
When importing data into a Data Model, exclude columns and rows that do not support analysis or relationships. Columns with many unique values can use more memory. Microsoft says its Data Models are, on average, 7 to 10 times smaller than source data; this is an average, not a promise for a particular workbook, and compression varies with the data’s uniqueness. 13. Investigate slow Power Query previews and refreshes
If a query preview or load is slow, check whether Excel is busy with another process and review the query’s settings and Data Preview options. A refresh that is slow to load to a worksheet may have a different cause from a slow preview. The appropriate fix depends on the workbook and data source; change transformations or loading behavior only after identifying which step takes time.
14. Choose 32-bit or 64-bit Office for your constraints
Microsoft recommends considering 64-bit Office for large datasets and complex workbooks because it can address more memory. In the 32-bit Excel environment, Microsoft documents a 2 GB shared virtual address space for Excel, the workbook, and add-ins in the same process. This is not the same as a simple allocation exclusively for workbook data. Before changing Office bitness, check compatibility: older 32-bit add-ins or controls may not work with 64-bit Office. 15. Move beyond worksheet storage when the workload calls for it
A worksheet has a documented maximum of 1,048,576 rows by 16,384 columns, according to Microsoft’s Excel specifications and limits. That is a hard worksheet ceiling, not a practical target for a responsive workbook. If the data or analysis exceeds Excel’s workable memory or modeling needs, evaluate a Data Model, Power BI, or a database workflow rather than continuing to expand a sheet.

Use Automatic when freshness matters more than avoiding recalculation. Consider Partial or Manual only when you understand what will not update automatically and have a reliable step to recalculate before using results.
When Excel is no longer the right storage layer
Excel can remain useful as an interface or analysis tool even when the underlying data belongs elsewhere. A worksheet limit does not tell you how large a responsive workbook can be; the practical limit depends on formulas, memory use, model design, and the task. For large datasets, assess whether a Data Model, Power BI, or a database better suits the analysis and refresh workflow.
