If Outlook emails are not showing, first check whether a filter or Focused Inbox is hiding them, then search the mailbox and inspect folders such as Archive, Junk Email and Deleted Items. If the message is missing in Outlook on the web as well as in the app, investigate delivery, account capacity or service status; if it appears on the web but not on your device, focus on that app’s connection and sync settings.
Start by identifying which version you use: Outlook.com in a browser, new Outlook for Windows, classic Outlook for Windows, or Outlook for iOS or Android. Their controls differ, so follow the steps for your app rather than assuming one menu path fits every version. These checks follow Microsoft Support’s Outlook.com guidance and its platform-specific Outlook help pages.
1. Clear filters and check Focused and Other
A message list filtered to show only unread, flagged or attachment-bearing messages can make other mail seem to have disappeared. Clear the active filter or select All if that option is available. If Focused Inbox is on, check both Focused and Other. Focused Inbox sorts the Inbox; it does not apply to every folder.
- Outlook on the web: Look for the Filter control above the message list and remove any active filter.
- Outlook for iOS or Android: Check whether a filter such as Unread, Flagged or Attachments is active. Review the Other tab too; mobile lets you move a message from Other to Focused.
- New or classic Outlook for Windows: Check the message list and layout settings for the version you use. Their controls differ, so use the instructions for the specific app in Microsoft’s missing-email guidance rather than applying a desktop path universally.
If you prefer one combined Inbox view, you can turn off Focused Inbox in the relevant layout or mail settings. Microsoft provides separate instructions for Outlook on the web, new Outlook for Windows, classic Outlook for Windows and mobile.

2. Search the mailbox and inspect likely folders
Search for the sender, subject or a distinctive phrase from the message. If it appears in search, note its folder: it may have been filed rather than deleted. Then check Junk Email, Archive and Deleted Items. Archive removes a message from the Inbox without putting it in Deleted Items.
For Outlook.com, Microsoft says eligible messages removed from Deleted Items can be recovered for 30 days. Junk Email messages are automatically removed after 30 days and are not recoverable. Those limits do not mean every deleted message can be restored. Microsoft’s missing-email instructions explain how to attempt recovery from a computer.

3. Check rules and automatic movement
If messages from a particular sender keep landing in the wrong folder, an inbox rule or Sweep rule may be moving them automatically. Review the account’s rules and edit or remove any that do not match what you want. Outlook.com’s rule-review instructions require a computer; other Outlook clients and organization-managed accounts may use different controls or policies. See Microsoft’s Outlook.com rules guidance.
4. Check the connection and sync state
Confirm the device is online, then open the mailbox in a browser. If the message appears in webmail but not in the desktop app, the mailbox has the message and the problem is more likely the local Outlook connection, setup or sync range. If it is missing in webmail too, keep checking folders, rules and account-level delivery factors.

Classic Outlook for Windows
Check the status bar for Disconnected or Working Offline. If offline mode is active, select Send/Receive > Work Offline to return online. Microsoft’s classic Outlook offline guidance says, “You can’t send or receive email until you reconnect.”
A Microsoft 365 mailbox may also have an offline sync range configured. Older mail can remain on the server without appearing in the local cache. Manual Sync behavior is not the same for every third-party account, so do not assume a sync command is supported for every account type. Microsoft explains the relevant Windows sync behavior in its offline mail settings guidance.

5. Refresh the mobile app or repair the account
On Outlook for iOS or Android, force-close and reopen the app first. If its data is still incomplete or incorrect, open Settings > the affected account > Reset Account. Microsoft also advises repairing the sync partnership, or removing and adding the account again, when an Outlook.com or Microsoft 365 account that previously synced has stopped. Follow the instructions for your device in Microsoft’s mobile troubleshooting guide; resetting a mobile account is not the same as repairing a Windows profile.
Classic Outlook for Windows
If the issue is limited to classic Outlook, verify the account password and server settings. The supported repair path for eligible accounts is File > Account Settings > Account Settings > select the account > Repair. Microsoft notes that this Repair option is not available in Outlook 2016 when connected to Exchange. See Microsoft’s account repair instructions.

6. Check account capacity, service status and security
If new mail is not arriving even in webmail, check account-level causes. Microsoft says a full Microsoft cloud storage allowance can prevent both sending and receiving email. Check the Microsoft storage usage guidance, and check Outlook.com service status if the account also fails in a browser.
If you see an unfamiliar sign-in or suspect someone else has accessed the account, review recent activity on your Microsoft account and secure it. For a Microsoft 365 work or school mailbox, contact your organization’s administrator or technical support if the problem persists across clients or appears to affect server-side delivery; organization policies and account configuration can be different from personal Outlook.com settings.
