Copy a range, select the destination, then use the Paste menu or Paste Special to choose what comes across. The exact labels and available options vary by Excel version and platform, so check the menu in your edition.
How do I paste values only in Excel?
1. Keep the results, not the formulas
Copy the cells, select the destination, and choose Values in the Paste menu or Paste Special. This puts the displayed results into the destination rather than the formulas that produced them. Use it to freeze calculated results or remove formulas while keeping their current outputs. Microsoft documents the available paste choices in its guide to copying and pasting specific cell contents.
2. Paste formulas without the source formatting
Choose Formulas to transfer formulas without the source cells’ formatting. Excel may adjust relative references for the new location: for example, a reference to A1 can shift when the formula is pasted elsewhere. Absolute references such as $A$1 stay anchored; mixed references lock either the row or the column. Check the resulting references before relying on copied formulas. Microsoft notes, “If you copy a formula, cell references may change when you paste it to a new location.” See Microsoft’s formula copying guidance.
3. Paste formats without copying data
Choose Formats in the paste options to apply the source cells’ appearance—such as number display, font, fill, borders, and alignment—without replacing destination values or formulas. This is useful when a new range should match an existing report style but retain its own contents.

How do I combine values with number formats?
4. Paste values with number formats
When available, choose Values & Number Formatting to transfer results and their number display, such as currency or date formatting, without bringing over the formulas. The destination receives the values, not live links to the source calculations.
5. Paste formulas with number formats
Choose Formulas & Number Formatting when you need the calculations and the way their results are displayed, but not every source formatting attribute. Since formulas can shift relative references, inspect the pasted cells before filling or using them further.
How do I transpose rows and columns in Excel?
6. Turn rows into columns, or columns into rows
Copy the source range, select the top-left destination cell, and choose Transpose from the paste options. The copied rows become columns and columns become rows. Use copy, not cut: Excel’s documented transpose workflow requires copying, and the built-in Transpose option is unavailable when the source is an Excel table. See Microsoft’s transpose instructions.
How do I copy column widths or preserve blanks?
7. Paste column widths
To match the destination columns to the source widths, copy the source range and use Paste Special > Column Widths where that option is offered. This changes column sizing without requiring you to replace the destination cells’ data.

8. Skip blank source cells
Use Paste Special’s Skip blanks option when copying a range that contains both entries and empty cells. Excel then leaves the corresponding destination cells unchanged where the source is blank, instead of clearing those destination entries. Confirm the selected source and destination ranges first: nonblank source cells still overwrite the corresponding destination cells.
How can Paste Special do arithmetic?
Paste Special can combine copied values with existing destination values using addition, subtraction, multiplication, or division. Copy the values to apply, select the destination cells, and choose the operation in Paste Special. The destination range is changed mathematically, rather than simply replaced. Check the size and location of the destination selection before applying an operation.

9. Add copied values to destination values
Choose Add to add each copied value to its corresponding destination value.
10. Subtract copied values
Choose Subtract to subtract the copied values from the corresponding destination values.

Choose Multiply to multiply each destination value by its corresponding copied value.
12. Divide destination values
Choose Divide to divide each destination value by its corresponding copied value. Make sure the copied values are suitable divisors and that the selected ranges align as intended.
How do I paste a link to another cell?
13. Create linked references with Paste Link
Use Paste Link where available to place references to the copied cells in the destination. Unlike pasting values, this keeps the destination linked to the source: changes in the source can flow through to the linked cells. Choose this when you want a second view of the data to update, not a snapshot of its current results.

14. Fill down or right with keyboard shortcuts
On Windows, select the range containing the formula or value and the cells to fill, then press Ctrl+D to Fill Down or Ctrl+R to Fill Right. The destination cells receive the contents from the top row or leftmost column of the selection, respectively. Formula references may adjust as they are filled. These are Windows shortcuts; use Excel’s Fill commands or check your platform’s shortcut list on Mac or the web.

Select a formula cell and drag its fill handle—the small square at the lower-right corner of the selection—across adjacent cells. Excel copies the formula pattern into the range. Review references in the filled cells, particularly when the formula mixes relative and anchored references. Microsoft describes the fill handle and related formula-copy behavior in its worksheet fill guidance.

Platform and range checks before pasting
- Paste menu labels and options are not identical across Windows, Mac, and Excel for the web, and some options depend on the copied data and operation.
- Microsoft says Excel for Mac version 16.33 or later can add paste formatting, formulas, and values actions to the Quick Access Toolbar or assign custom key combinations. See Microsoft’s Mac Quick Access Toolbar instructions.
- Do not assume a keyboard shortcut found in another Excel edition is available in yours. Microsoft’s Insider post about paste-option shortcuts describes newer options whose rollout and platform availability can vary.
- When copying filtered or hidden ranges, the copied cells can depend on the copy context. Microsoft notes that only visible cells are copied in certain scenarios; check the selected range and result. See Microsoft’s visible-cells guidance.
- Before using Paste Special to overwrite or perform arithmetic on existing data, verify the source and destination selection. For formulas, inspect the pasted references rather than assuming they remained unchanged.
