A teacher who receives a separate Word file may be able to view its file properties. If the document is shared through OneDrive or SharePoint, someone with access may also be able to see activity or earlier versions. School IT or compliance staff may have separate access to Microsoft 365 audit records. What is visible depends on where the file was stored, who has permission, and the school’s Microsoft 365 settings.
What a Word file’s “last modified” date tells a teacher
Microsoft Office can update file properties such as when a file was created or last changed. In Word, open File > Info to view document properties; standard properties may also include an author name. These are metadata about the file, not a log of every edit. A last-modified date alone does not show when each passage was written, how long the student worked, or who authored the text. Microsoft explains Office file properties.
What may be visible in different file situations
| Where the document is | What may be visible | What that does not establish |
|---|---|---|
| A downloaded copy or email attachment | Word document properties, which may include a last-changed date and an author field. Microsoft Support. | Properties are not a full revision log. A separate copy may not include the cloud file’s version history. |
| A file stored in OneDrive or SharePoint | Version History, and potentially file activity, depending on the service and the viewer’s permissions. Microsoft describes version history for Office files. | The person needs access to that cloud file. Available features and retention details can vary. |
| Track Changes is in use | Word can mark additions and deletions and identify authors’ changes. Microsoft’s Track Changes guidance. | Markup is conditional: tracking must be enabled, and in Word for the web, Reviewing mode shows tracked changes while Editing mode does not. |
| A school Microsoft 365 audit search | Authorized roles may search records for SharePoint and OneDrive file events, including modifications. Microsoft Purview lists audit activities. | This is an administrator or compliance capability, not the ordinary view of every teacher. Role assignments and tenant settings matter. |
How OneDrive and SharePoint history differ from Word properties
Version History
Microsoft 365 Version History applies to files stored in OneDrive or SharePoint; Word’s versioning guidance likewise requires a file to be stored in OneDrive or a SharePoint library. A person who can access the cloud document may be able to view earlier saved versions. A downloaded attachment is a distinct copy and should not be assumed to carry the cloud document’s history. See Microsoft’s Word versioning guidance.
Activity and details
OneDrive for Business has an activity/details pane. Microsoft says the activity snapshot shows events from the last 30 days; that window is product behavior, not a statement about audit-log retention. See Microsoft’s OneDrive activity guidance. SharePoint libraries can also display file activity and version history, including dates files were saved or checked in. What appears depends on access and the service configuration. Microsoft’s document-library guidance.

When Track Changes shows edits—and when it does not
Track Changes is a markup feature, not a universal record of everything done in a document. When enabled, it marks changes and can identify different authors. For Word for the web, Microsoft says, “When set to Editing, changes to the document won’t appear as tracked changes.” Reviewing mode displays tracked changes. Therefore, no visible markup does not prove that nobody edited the document; it may mean tracking was not on or the document is being viewed in Editing mode. Microsoft explains Track Changes in Word for the web.
For a shared Word file, Microsoft says the Share area shows the names of people who are also editing the file. That indicates current collaboration, not a complete timeline of past writing. Microsoft’s Word collaboration guidance.

What school administrators may be able to audit
Microsoft Purview documentation lists SharePoint and OneDrive file-modification events that can be searched in audit records. Searching or exporting those records requires designated audit roles; Microsoft’s education guidance describes IT administrators and compliance officers as users of audit search. This does not mean every teacher can open the school’s audit logs, nor does it mean every school has the same configuration. Audit activity reference, auditing setup and retention overview, and Microsoft 365 Education eDiscovery and auditing guidance.
Microsoft’s auditing setup documentation states a default one-year retention period for Microsoft Entra ID, Exchange, OneDrive, and SharePoint audit records; Audit Premium allows custom retention policies. The applicable period for a particular school depends on its licensing and policies, so this default should not be treated as a guarantee about a school’s records. It is also separate from OneDrive’s 30-day activity snapshot.

How to understand your assignment’s actual visibility
- Identify where the submitted file lived. Was it uploaded as a separate copy, emailed as an attachment, or shared as a OneDrive or SharePoint link?
- Consider who can access that location. A teacher with access to a shared cloud document may be able to see its activity or versions. A school administrator with audit permissions may have a separate way to search service records.
- Check whether Track Changes applies. Visible markup depends on the tracking setting and, in Word for the web, whether the file is viewed in Reviewing rather than Editing mode.
- Ask the school if the exact view matters. The school can clarify which account, platform, permissions, and tenant policies apply to the assignment.
Do not assume that changing a displayed property removes other history, or that making a local copy erases records already held by a school platform. Microsoft’s documentation describes these different records and access paths; it does not establish that either action removes platform records.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone. Why a timestamp cannot prove when or how you wrote
A file date, saved version, or service activity record documents a file or platform event. These records do not reliably measure how long a student worked, establish the chronology of drafting, or prove authorship by themselves. Microsoft’s documentation describes properties and service events rather than a verified account of a writer’s process. Visibility also varies across school systems and third-party tools; Microsoft’s guidance does not establish what a particular learning-management system or institution-specific setup records.
