Protect customer data in an AI-enabled CRM by tracing what each feature can access and where that data goes, sending only what the task needs, confirming the provider’s retention and model-use terms, restricting access, and reviewing the controls as the system changes. The right safeguards depend on your CRM setup, business sector, and the laws that apply to your organization.

1. Map the CRM-to-AI data path

Start by identifying the information each AI feature can read, process, or return. Include CRM fields, attachments, support notes, call transcripts, and identifiers—not just the obvious customer profile fields. Trace whether information stays in your CRM environment or is sent to a connected model provider, plug-in, analytics service, or other integration.

Record who can invoke each feature and who can view its output. A summary may expose information to a user who could not otherwise see the full record, so review access to generated content as well as access to source data. The FTC recommends taking stock of the information a business holds, who can access it, and how it moves through the business; its Safeguards Rule guidance also describes periodically inventorying systems and where information is collected, stored, or transmitted.

2. Minimize what the AI receives and retains

For each use case, remove or disable fields the task does not need. Ordinary drafting or summarization generally should not require sensitive identifiers or payment details. Avoid collecting or retaining sensitive information without a legitimate business need, and keep information only as long as that need lasts, subject to legal retention obligations. When the purpose ends, dispose of the data securely.

Check the full lifecycle, not only the prompt: determine whether inputs, outputs, logs, feedback, and backups are retained, and how deletion works for each. The FTC’s business guide to protecting personal information advises businesses not to collect information without a legitimate business need or keep it longer than necessary.

3. Check provider commitments and product settings

Treat the AI service and every connected integration as a recipient of customer data. Before enabling a feature, review the contract, privacy notice, product settings, and integration-specific documentation. Find out whether prompts, CRM context, outputs, logs, or feedback are retained; used to train or update models; shared with subprocessors; or accessible to provider support staff.

Compare the written terms and settings with what customers have been told. The FTC has warned that AI companies may face liability for failing to honor privacy and confidentiality commitments, including commitments about whether data will be used to train or update models. 4. Restrict access and secure connections

Apply least-privilege permissions to CRM users, AI features, administrators, and service accounts. Review permissions periodically, require strong authentication, and evaluate third-party apps before granting them access. Protect information in transit and at rest using controls suited to the deployment, and ensure the output is not more widely visible than the underlying customer information should be.

The FTC’s Safeguards Rule guidance discusses access reviews, encryption, evaluation of third-party apps, and multifactor authentication among safeguards for covered financial institutions. It is not a universal rule for every CRM user. For covered institutions, the guidance describes encryption requirements and an effective alternative when encryption is not feasible, subject to approval by the Qualified Individual. 5. Document, monitor, and revisit the setup

Keep a record of each AI use case, the data categories involved, the provider and integrations, relevant settings, approved users, retention approach, and the person responsible for review. Monitor for unexpected access, unusual exports, changes to vendor terms or product settings, and generated outputs that expose personal information.

Reassess the setup when the model, integration, available fields, or purpose changes. AI security and minimization risks depend on how a system is built and deployed, the organization’s risk-management maturity, and the nature and purpose of processing. The UK Information Commissioner’s Office advises a context-specific assessment and keeping security practices current; its AI security and data-minimisation guidance also carries a notice that it is under review following changes made by the Data (Use and Access) Act.

6. Confirm which rules apply to your organization

Do not assume one checklist or law applies to every organization. Obligations can vary by jurisdiction, sector, and the nature of the data and processing. The FTC describes Safeguards Rule duties for covered financial institutions, while ICO guidance is framed around UK data-protection law. The FTC’s privacy and security overview and the ICO’s overview of its AI and data-protection guidance provide jurisdiction-specific context. Check current legal requirements and commencement provisions for your situation before relying on date-sensitive guidance.

For a U.S. federal-agency perspective on tailoring protections to the sensitivity and context of personally identifiable information, NIST’s SP 800-122 is a reference published in April 2010; it is not a CRM-specific standard or universal law.
