Windows 11 Search can look in local files, connected Microsoft accounts, and the web—but those sources have separate controls. Use this FAQ to fix missing file results, choose what Windows indexes, manage cloud and Bing results, and clear search history.
What does Windows Search indexing do?
Indexing creates a catalog of information about files and other content so Windows can return results without scanning everything from scratch each time. By default, the index includes file names and full paths; for supported file types, it can also include text inside files. Apps can add information too—for example, Outlook may add locally synced email for its offline search. Microsoft explains Windows indexing.
The first indexing run can take up to a couple of hours, according to Microsoft, and the index continues updating in the background when files change. That initial work is expected; the time for an individual PC is not fixed.
Why is Windows 11 Search not finding my files?
The file may be outside the locations Windows indexes, the index may still be building, or the file type may be indexed for properties only rather than its contents. Check these settings in order:

- Open Settings > Privacy & security > Searching Windows. Under Find my files, check whether Classic or Enhanced is selected.
- If you use Classic, choose Customize search locations and add the folder containing the file. Classic covers Documents, Pictures, Music, and the desktop by default.
- To find words inside a supported file rather than only its name, open Indexing Options > Advanced > File Types. Select the file type and choose properties and content indexing instead of properties only.
- If indexing has just been enabled or a large set of files has changed, allow time for the index to update before treating a missing result as a fault.
Properties-only indexing keeps file-name searches available but does not make text inside the file searchable. Including file contents can make documents easier to find, while increasing index size. Microsoft notes that the index is usually less than 10 percent of the size of indexed files, but that is an undated rule of thumb, not a guarantee; many tiny files or indexed code can raise the ratio.
How do I stop Windows Search from indexing a folder?
For a specific folder, use the location controls rather than changing account or web-search settings. Go to Settings > Privacy & security > Searching Windows > Customize search locations and adjust which locations are included. This is useful when you want broad search coverage but need to exclude particular folders.

Microsoft describes both modes and their settings in its Windows indexing guidance. If your files are outside the default locations, adding only the folders you need is an alternative to enabling full-PC indexing.

Local indexing and cloud search are different. The local index catalogs information on the device. Separately, Windows Search may show content from a connected personal Microsoft account or work or school account when cloud content search is enabled. Microsoft says semantic-indexing data on Copilot+ PCs is stored locally; that feature is covered below.
To review connected accounts, open the Windows Search panel and select Options. You can manage accounts through Settings > Accounts > Email & accounts. Cloud content search settings control account content; changing them does not change which local folders are indexed. Why does Windows Search show web results, OneDrive files, or work documents?
Search can combine several sources in the results list. Bing powers web searches and suggestions; personal cloud results can come from OneDrive, Outlook, and other Microsoft services; work or school cloud results can include OneDrive for Business, Outlook, SharePoint, and Microsoft Search. These are separate from the local file index.
Microsoft’s Search permissions page lets you manage cloud content search for connected accounts. To review which accounts are connected, open the Search panel and select Options, or go to Settings > Accounts > Email & accounts. Disabling cloud content search affects account results, not local indexing. Microsoft’s privacy guidance for Windows Search describes the available controls.

- To clear history saved on the device, open Settings > Privacy & security > Search permissions, then select Clear device search history.
- To review and delete Bing search history tied to your Microsoft account, use Microsoft’s privacy dashboard.
Microsoft says Bing searches can involve search terms, IP address and location, cookie identifiers, date and time, and browser configuration. This describes Bing searching; it does not mean every query for a local file is sent to Bing. Microsoft says deleting account search history removes it from the account, while searches made when not signed in do not appear on the dashboard. Its page notes that some copies may remain in backup systems for a limited time, so consult the live search-history page for current retention details.
The SafeSearch setting is also under Settings > Privacy & security > Search permissions. It controls previews of sensitive Bing results. Microsoft says Strict is shared with Bing in the browser and takes precedence on the device; Moderate or Off defaults to the Bing.com SafeSearch setting.
Search-related personalization is controlled elsewhere: Settings > Privacy & security > Recommendations & offers. Microsoft says app-launch tracking can personalize Start and search results. Its personalized offers setting may use Windows diagnostic data and activity, along with account and other Microsoft product data, for tips, ads, and recommendations. What changes on Copilot+ PCs?
Copilot+ PCs add semantic indexing alongside traditional indexing. Rather than relying only on exact words, semantic search can surface related concepts—for example, a search for pasta may return lasagna or relevant images. Microsoft says semantic-indexing data is stored locally on the PC, is not stored by Microsoft, and is not used to train AI models.
Microsoft lists supported document formats including .txt, .pdf, .docx, .doc, .rtf, .pptx, .ppt, .xls, and .xlsx, and image formats including .jpg/.jpeg, .png, .gif, .bmp, and .ico. Semantic indexing is enabled by default on Copilot+ PCs, and its locations and file types can be limited through Settings > Privacy & security > Searching Windows > Advanced indexing options. Microsoft recommends plugging in the PC while initial indexing completes.
Improved semantic search is optimized for English (US, Canada, Australia, and UK), French (France and Canada), German, Spanish (Spain and Mexico), Japanese, and Simplified Chinese. Traditional lexical search remains available beyond those language combinations. Microsoft’s indexing documentation lists current supported formats and settings.
