Choose a password manager that generates a different password for every account, supports multifactor authentication (MFA) for its own sign-in, works reliably on your devices, and has a recovery process you understand. The best fit is not simply the one with the longest feature list: it is one you can use consistently without losing access to your vault.

Start with the job you need it to do

A password manager helps create and store distinct passwords so you do not have to remember or reuse one password across services. The National Institute of Standards and Technology (NIST) describes managers as tools that can generate passwords and keep them in encrypted local or cloud-based vaults. When comparing options, assess the manager as a whole: the security of the vault, protection for the manager account, recovery if something goes wrong, and whether the app fits your daily sign-in routine. A highly secure tool that is awkward on your devices may be used inconsistently.

Evaluate the security and trust evidence

Read what the provider documents about encryption and account authentication. Look for named, recent independent security assessments and a clear explanation of the provider’s security track record. Distinguish independent assessments from a company’s own claims or product documentation; a vendor-authored explanation is useful for understanding its design, but it is not an independent comparison.

For examples of first-party material, 1Password’s security documentation describes its own service, while Bitwarden’s password-manager selection framework is vendor-authored guidance. Neither establishes that one product is universally best.

Check MFA for access to the vault

MFA adds a second verification step to the account that protects your stored passwords. NIST recommends choosing a manager that supports MFA; possible methods include a USB security key or dongle, an authenticator app, a push notification, or a text code. NIST’s advice is about the security benefit of MFA, not an endorsement of a particular manager or hardware brand.

Check which MFA methods the manager supports and choose one you can reliably access. A USB security key is optional, not a requirement. Before buying or relying on one, verify that both the password-manager service and your devices support it.

Understand recovery before moving your logins

Find out what happens if you forget the primary passphrase, lose a device, or cannot use your usual second factor. NIST advises protecting the primary passphrase, and the UK National Cyber Security Centre (NCSC) discusses recovery as part of its guidance on password managers and passkeys. Its guidance recommends choosing a reputable third-party service with a strong security track record: NCSC guidance on password managers.

Read the actual recovery steps before importing accounts. The key trade-off is between safeguards and recoverability: understand what you must keep or configure yourself, and what the provider’s recovery process can and cannot restore. Do not assume that forgetting a primary passphrase can always be fixed by customer support.

Choose a storage and sync model that fits

Local vaults and cloud-synced vaults are both recognized approaches. A local vault can mean more responsibility for keeping backups current and making the vault available across devices. A cloud-synced service can make cross-device access more convenient, but you should understand its sync and recovery design. The cited guidance does not establish either model as universally safer, so compare the specific provider’s documented approach with your needs.

Test compatibility and everyday use

Confirm that the manager supports the operating systems, browsers, and phones you actually use. Then try the browser extension and mobile app: save a login, sign in to a site, and check that autofill behaves as expected. Bitwarden recommends trying its extension and mobile app before committing; this is vendor guidance, not neutral product testing.

  • Can you access the vault on each device you use?
  • Does saving and filling work in your usual browsers and apps?
  • Can you complete the manager’s MFA step when needed?
  • Can you follow the recovery process if a device is lost?

Know where passkeys fit

Passkeys are an alternative sign-in method for websites and services, and NIST calls them “a great option” in its consumer guidance. NCSC also addresses both password managers and passkeys. A passkey for signing in to a website is not necessarily the same thing as using a passkey to unlock a password-manager account. Check the actual manager and the accounts you use to see which workflows they support.

Compare products consistently

Once a service meets your basic security and usability needs, compare candidates using the same questions rather than relying on a headline feature or ranking.

What to compare What to verify
Security and trust Documented encryption and account-authentication design; named, recent independent assessments; and the provider’s security track record. Label provider claims and first-party material as such.
MFA Supported methods for the manager account and whether you can use one reliably.
Recovery What happens if you forget the primary passphrase or lose a device or second factor; what you must prepare or retain.
Storage and synchronization Whether the vault is local or cloud-synced, how cross-device access works, and what backups or recovery actions are your responsibility.
Compatibility and daily use Support for your operating systems, browsers, and phone workflow; results from trying save and autofill before migration.
Cost and sharing Current terms for your region, including free or paid limits and any household or family features. Verify these directly with the provider because terms can change.

A practical selection sequence

  1. List your devices and browsers. Use this list to eliminate options that do not fit your everyday sign-in setup.
  2. Check documented security and MFA. Look for clear provider documentation and an MFA method you can use consistently.
  3. Read recovery instructions. Make sure you understand the consequences of forgetting the primary passphrase or losing access to a device.
  4. Try the apps before migrating. Test saving and autofilling on your actual devices and sites.
  5. Compare current plan and sharing terms. Verify them for your region, then choose the service that fits your needs.
  6. Move accounts deliberately. Use the manager to create distinct passwords for accounts rather than keeping reused passwords. Confirm the new login works before changing the next account.
