Use CSV when a receiving system asks for a simple delimited-text table; use an Excel workbook (.xlsx) when people need formulas, formatting, charts, or multiple worksheets. A CSV is a text-based data handoff, not a full spreadsheet. Exporting a workbook to CSV keeps only the active worksheet’s text and values, so retain the original .xlsx file when its features matter.

What is the difference between CSV and an Excel workbook?

A CSV (comma-separated values) file stores tabular data as text. In Excel’s comma-delimited CSV format, commas separate fields and carriage returns mark rows; a field containing a comma is enclosed in quotation marks. Other delimiters may be used depending on the format or settings.

An .xlsx file is an Excel workbook. It can retain worksheet and chart data, formatting, and other supported spreadsheet features. A workbook can also organize content across multiple sheets, unlike an Excel CSV export, which saves only the active worksheet.

When should you use a CSV?

  • A system specifically requests a CSV or delimited text file. For example, use CSV for a customer-list upload when the platform defines a required column layout.
  • The data is a simple table. If the recipient only needs rows and values—not formulas, charts, formatting, or other workbook behavior—a CSV may be sufficient.
  • You need a text-based data handoff. Confirm the receiving system’s delimiter, encoding, and rules for interpreting each column before sending the file.

Before exporting, select the worksheet you intend to send. Check whether dates, identifiers, and codes with leading zeros will be interpreted correctly by the destination. If you may need formulas or formatting later, keep an .xlsx copy as the editable source.

When should you use an Excel workbook?

  • Recipients need to work with formulas or charts. Keep the file as .xlsx when those workbook features are part of the job, such as in a budget with calculations and visualizations.
  • The spreadsheet has multiple sheets or meaningful formatting. A workbook can preserve supported structure and presentation; a CSV export cannot preserve the full workbook.
  • The file is an ongoing working document. Microsoft identifies .xlsx as Excel’s default format and recommends Open XML formats for Office files unless there is a specific reason to use another format. See Microsoft’s overview of Office file formats.

What is lost when you save an Excel workbook as CSV?

CSV export is a lossy conversion when the source is a feature-rich workbook. Microsoft says the export saves text and values displayed in cells on the active sheet; it removes formatting, graphics, objects, and other worksheet contents. Formulas displayed in cells are converted as text rather than preserved as working formulas.

  • Only the active worksheet is saved.
  • Formatting and visual elements such as graphics and objects are not retained.
  • Workbook behavior, including working formulas, is not preserved as it is in .xlsx.

If those elements matter, save or retain the workbook before exporting. You can send the required CSV for data exchange while keeping the .xlsx file for editing.

How can you avoid CSV import problems?

Confirm the delimiter

CSV commonly uses commas, but separators can vary with format and import or export settings. Make sure the destination expects the delimiter in your file; otherwise, it may read an entire row as one field or split values incorrectly. Microsoft explains delimiter and text-import options in its instructions for importing or exporting text and CSV files.

Protect dates and identifiers

Spreadsheet software may interpret text values as dates or numbers. Microsoft notes that date formats can differ and that leading zeros may need to be preserved by importing the relevant column as text. This matters for values such as postal codes, account numbers, and IDs: they may look numeric but are identifiers, not quantities.

Keep the original CSV if using Excel for the web

Microsoft lists CSV as a supported format in Excel for the web and says that opening a CSV converts it to a newer .xlsx file. If you need the original text file for another system, retain the CSV separately. See Microsoft’s Excel for the web workbook guidance.

Do CSV files have a larger row limit than Excel?

There is no single row limit that applies to every CSV reader. Microsoft documents Excel text-file import and export limits of 1,048,576 rows and 16,384 columns. Those figures describe Excel’s capacity, not a universal limit inherent to CSV; a different program may impose different limits. The retrieved Microsoft documentation does not state a publication date for these figures. Check the destination application’s own limits if the table is large.
