A practical TickTick setup needs only a few regular lists, a temporary Inbox, a small set of cross-list tags, and priorities used sparingly. Give each task a stable home with its list, use a tag for context that can apply in more than one area, and set a due date when timing matters. TickTick’s smart lists then gather dated tasks automatically, so you do not need to maintain a separate list for every time period.

Understand what lists, tags, dates, and priorities do

Each organizational tool answers a different question. A list answers “where does this task belong?” A tag answers “what context or kind of work applies?” A due date answers “when does it need attention?” A priority answers “how important is it relative to my other tasks?” Keeping those jobs distinct makes it easier to decide where a task goes.

TickTick distinguishes regular lists, which you create, from smart lists, which filter and display tasks by conditions. Its list guide describes Inbox as a “temporary task transfer station.” The hierarchy in TickTick’s FAQ is Folder → List → Section → Task → Subtask: folders group related lists, while lists categorize work. Start with a small set of regular lists

Choose lists that will stay useful

Create a list for each durable area of responsibility or goal, not for every project, mood, or week. For example, Work, Personal, and Home give everyday tasks clear homes without requiring many categories. TickTick’s guide gives life areas and goals as list examples; choose labels that reflect how you naturally divide your responsibilities.

Add folders only when grouping helps

If a list collection grows, a folder can group related lists—for example, several work-related lists. A folder is optional structure, not a task destination you need for a simple setup. Sections can further divide tasks within a list when that list needs internal organization. TickTick’s documented hierarchy includes folders, lists, sections, tasks, and subtasks; the right amount of structure depends on how many distinctions you actually use.

Capture first, then sort the Inbox

Use Inbox to capture a task before deciding where it belongs. During a brief daily review, give each captured task a regular-list home and add only the details that will help you act on it: a date, a useful tag, or a priority. This keeps capture quick while preventing the Inbox from becoming a permanent catch-all.

  1. Capture: Add an unsorted task to Inbox when you need to record it quickly.
  2. Choose its home: Move it to the list for the area or goal it belongs to.
  3. Add timing: Set a due date if there is a real deadline or a date when it should come back to your attention.
  4. Add context: Apply a tag only if it will help you find or group the task across lists.
  5. Set importance: Assign a priority relative to other work, or leave it at None.

TickTick’s task controls support tags, priorities, and moving tasks between lists. Its task-entry flow also supports setting a date, priority, tag, and list, and task defaults are available for date, list, and priority. Use tags for context that crosses lists

A tag is useful when the same kind of action appears in different areas. For instance, a “calls” tag could help collect a work call and a personal call without moving either task out of its proper list. TickTick’s examples include activity contexts such as reading, discussing, researching, and writing. Keep the set small: create tags for recurring contexts or modes of work you will actually use across lists, rather than duplicating your list names as tags. Organize tasks with tags.

Reserve priority for relative importance

TickTick offers four priority levels: High, Medium, Low, and None. A useful personal convention is to reserve High for genuinely important tasks, use Medium and Low for lesser levels of importance, and leave routine work at None. The convention is a way to make the available levels meaningful; TickTick documents the levels but does not prescribe how you should assign them.

Do not use priority as a substitute for a deadline. If a task must happen by a particular date, set its due date. Priority helps distinguish relative importance; the date helps you see timing in date-based views. TickTick’s documented task controls include these properties. Task Details.

Review date-based smart lists instead of making more lists

Use smart lists such as Today, Tomorrow, and Next 7 Days to review tasks by date. They are views over task conditions, not additional categories that require you to move tasks into them. Try the Eisenhower Matrix only if you need it

If you want to assess urgency separately from importance, TickTick offers an Eisenhower Matrix view. It can complement a straightforward list-and-tag setup when deciding what to act on first; it does not have to replace the task’s regular list or make your tag system more complicated. Adjust the setup when it stops helping

  • If tasks are difficult to find, check whether they have a clear regular-list home before creating another list.
  • If the same kind of task appears in several lists, consider a cross-list tag for that context.
  • If nearly everything is High priority, tighten your personal definition of High so the level can distinguish the few tasks that matter most.
  • If time-sensitive tasks disappear into a list, use due dates and review the relevant smart list.
  • If a folder or tag adds more upkeep than clarity, remove it from the workflow and keep the simpler structure.
