Keep the original, work on a copy, and first determine whether the problem affects one file or several. The right fix depends on the source and destination formats, the apps and versions involved, your operating system, and the exact error message.
Start by identifying where the problem occurs
- Record the file formats. Note the original and converted extensions—for example, PDF and DOCX—and which application created and opened each file.
- Keep the original unchanged. Make a copy of the converted file before trying repairs or resaving it. This preserves a fallback if a repair or conversion changes the content.
- Test other files in the same app. If other documents open normally, the issue may be limited to this file. If several documents fail, test another Office application where available. This comparison helps narrow the cause but does not prove it.
- Write down the exact error. A blocked-file-type message, a compatibility warning, and a damaged-document error point to different problems.
With those details, choose the branch below that matches what you see.
If the file opens but its layout changed
PDF converted to an editable document
PDF is designed to preserve a page’s visual arrangement, not necessarily the relationships that make its content easy to edit. A PDF may record where text, pictures, and graphics sit without encoding that a set of lines is a table with particular cells. When Word opens a PDF, it infers the editable structure, so the result may not match the original page exactly. Microsoft cautions: “But when you open a PDF file in Word, it might not look exactly the way it looked as a PDF.” Microsoft’s PDF-to-Word guidance explains the limitations.
Conversion generally works best with mostly text-based PDFs. A page dominated by charts or other graphics may become one image, leaving its text uneditable. Tables with unusual cell spacing, multi-page footnotes, frames, page colors or borders, comments, tags, tracked changes, bookmarks, and interactive PDF elements are among the features that may not transfer well.

- If you need to revise text and structure, use the original editable document if you can get it. Rebuilding a document from a PDF can require manual correction.
- If you need a stable version for sharing or printing, PDF is generally the better output format. Word can create a converted copy when opening a PDF; inspect that copy before editing or sharing it.
- Check tables, columns, footnotes, page breaks, images, and whether text that should be editable is actually selectable.
Converted between Word and another office application
Different office applications may interpret complex formatting and objects differently. LibreOffice lists tables, frames, multi-column layouts, revision marks, hyperlinks, bookmarks, and embedded objects among features that can present interoperability challenges. This does not mean every file using those features will break; the more complex the source, the more likely you may need to reformat parts of the converted copy. If your document must remain editable, compare it in the application and version used to create it, if available. For another application, inspect the parts most likely to be affected rather than assuming the entire document is wrong.

Saved to an older format
Newer Word features may be unsupported or behave differently in earlier versions. Before saving to an older format, run Word’s Compatibility Checker and review the warnings. Some feature changes can become permanent in the older-format copy, so preserve the original. Microsoft’s Compatibility Checker instructions explain how to check a document.
Opened on another platform or computer
Fonts can change how a document wraps and where page breaks fall. Microsoft documents a font-name substitution issue for certain Office for Mac versions and cross-platform sharing or co-authoring; that guidance is specific to the products and versions it covers, not a diagnosis for every font mismatch. Check whether the fonts used in the document are available on the receiving computer and compare the application versions. Microsoft’s Office for Mac font guidance covers that issue.

If a Word document will not open
The steps in this section apply to Word documents; they are not universal repairs for every file type or application. Microsoft recommends first checking whether other Word documents and Office applications work normally. If the problem seems limited to one Word file, try recovery on a copy and keep the original untouched. Menu labels can vary by Word version.
- Try Open and Repair. In Word, select File > Open > Browse, select the document, choose the arrow beside Open, then select Open and Repair. If the file opens, save the recovered result under a new name.
- Insert the document into a new one. Create a blank Word document and use Insert > Object > Text from File to insert the contents of the problem document. Save the new document separately.
- Try another format on a copy. If you can get the document to open, save a copy as RTF or another available format, then reopen or convert that copy back to Word. Compare the result with the original because formatting may change.
- Use text recovery only as a last resort. Microsoft’s Word recovery guidance describes using Notepad to recover text from a damaged document. This aims to recover readable content, not document layout; formatting is lost. Microsoft’s damaged-document recovery steps provide the Word-specific instructions.
For a blocked-file-type message in the specified versions of Word for Mac, Microsoft describes a separate Recover Text option and suggests checking backup versions if the document still will not open. Choose the format for what you need to do

Check the result before relying on it
After conversion or repair, compare the copy with the original. Verify the content that matters to your task, including tables, page breaks, footnotes, images, and editable text. If the problem remains, gather the original and converted extensions, application names and versions, operating system, and exact error message; without those details, the cause and next step cannot be determined reliably.
