Field service communication software connects the office, technicians, and customers around service jobs. Usually part of a broader field service management (FSM) system, it ties messages and updates to work orders, schedules, technician actions, and job status—not just to standalone conversations.
What field service communication software does
The term does not describe one standardized product category with a fixed feature list. It generally refers to communication capabilities within field service management software: the tools that help customer service teams, dispatchers, technicians, customers, and other stakeholders coordinate a service visit.
Because communication is connected to operational records, a scheduling change or job-status update can inform the people who need to act. The work order can also retain the details of the visit. Microsoft describes communication as one capability in a broader Field Service application that also supports work orders, scheduling, mobile work, assets, inventory, billing, and analytics (Microsoft Dynamics 365 Field Service overview).
How communication follows a service job
A typical process runs from the first customer request through dispatch, the site visit, and job closeout. The exact steps and message options depend on the product and its configuration.

- A service request becomes a work order. A call, email, service case, agreement, portal request, sales order, or connected-device alert may lead to a work order. It can hold the job description, customer and equipment details, location, required skills, checklist, parts, and billable labor.
- Dispatch assigns the work. A dispatcher considers factors such as location, availability, skills, and priority. Depending on the system, assignments may be made manually, with scheduling assistance, or through automated optimization.
- The technician receives and performs the job. A mobile app may show the schedule, directions, instructions, customer and equipment history, and tools for recording work. The technician may be able to add notes, photos or video, time, inspection results, parts used, and a customer signature.
- Messages respond to job events. Customer updates may cover booking, reminders, rescheduling, travel, arrival, or completion. Internal alerts may flag a job at risk or notify staff of a reassignment. Some systems also provide a traceable space for dispatcher-to-technician messages.
- The visit is recorded and closed out. The technician marks the work complete or indicates that follow-up is needed. A completed work order can update service history and inventory and support billing.
The key distinction is whether messages are tied to the actual workflow. When a system reads from job and schedule records—and updates those records as work happens—teams are less reliant on separate, manual status updates. Not every product offers every channel, trigger, or workflow.
Who communicates, and through which channels?

These are category-level use cases, not a promise that every FSM platform supports them. For example, ServiceWorks describes email, SMS, and automated robocalls with templates tied to business events (ServiceWorks customer communication software). Why the technician’s mobile app matters
The mobile app is the technician’s operational workspace, not merely a place to receive messages. Depending on the system, it can provide assigned jobs, directions, instructions, customer and equipment history, and ways to record service. It may also support notes, media, time tracking, inspections, parts, signatures, and follow-up work. Microsoft and Salesforce document these kinds of mobile workflows in their respective products (Microsoft Dynamics 365 Field Service overview; Salesforce Field Service Mobile App).
Offline work is not guaranteed by the word “mobile”
Offline support depends on the product, app experience, administrator configuration, and data that must be available in the field. Microsoft documents offline use when the relevant capabilities and data profile are configured, but says its refreshed mobile experience does not currently support offline work. Salesforce documents offline capability for its Field Service mobile app. Those vendor-specific statements are not interchangeable guarantees for every app version or workflow. Test the actual technician app, required records, and synchronization behavior in a low-connectivity setting.

Customer tracking has prerequisites and limits
Customer-facing tracking may depend on more than a software setting. In Microsoft’s documented portal approach, the technician must use the mobile app, location sharing must be enabled in Field Service and permitted on the device, and supported SMS and email providers or connectors must be configured. Microsoft also says tracking is unavailable after the booking reaches In Progress, because the system assumes work is taking place at the designated job location (Microsoft: Track a technician on the Field Service portal).
This is one vendor’s implementation, not a universal rule. Ask what location data is shared, when sharing starts and stops, what device permissions are required, and what customers and technicians can see. Event-driven messages and tracking may not be instantaneous: connectivity, location-sharing settings, configuration, and the messaging provider all affect timing.

What to compare when evaluating software
There is no universally best vendor established by these capabilities alone. Compare options against the way your team actually handles jobs:
- Channels and triggers: Which options—email, SMS, voice, in-app messaging, or team messaging—are available? Which events send a message, and can you choose recipients and edit templates?
- Connection to job records: Do messages relate to work orders, schedules, customer histories, and status changes, or must staff update separate systems manually?
- Technician workflow: Can technicians access the assignment, instructions, customer and equipment data, and the forms or tools they need to document work?
- Connectivity: Which app version and workflows work offline? What records are cached, and how do edits sync when a connection returns? Test the configuration you would deploy.
- Tracking and privacy: What location information is shared, with whom, and at what stage of a job? Which device permissions, connectors, and controls are involved?
- Operational fit and integrations: Confirm compatibility with the CRM, contact center, messaging, mapping, identity, and back-office systems your process relies on, along with the roles and handoffs your team needs.
Vendor documentation establishes product-specific examples, not a universal integration checklist or a guarantee of business outcomes. Evaluate the workflows and requirements that matter to your operation.
