Field service management (FSM) software connects work orders to scheduling and dispatch, technician work in the field, and the records needed to close each job. The right choice depends on whether it can handle your actual job types, skills, territories, shifts, parts, and exceptions—not simply on how many features appear on a product page.

What is field service management software?

FSM software coordinates service work from intake to closeout. A service request becomes a structured work order; the office assigns and schedules it; a technician uses a mobile workflow to perform and record the work; and the organization retains the operational details needed for follow-up, reporting, inventory, or billing.

That end-to-end connection matters. A schedule can look efficient while failing to account for required skills or parts. A mobile app can be feature-rich yet leave technicians without the job context they need. Compare the whole workflow from both the dispatcher’s and technician’s perspective.

What features should dispatchers look for?

Work intake and work orders

Check whether a request can become a structured job with a clear status, priority, location, customer and asset context, required skills, and any necessary parts or services. Templates or agreements may help standardize repeat work. Microsoft describes Dynamics 365 work orders as records for service requests that can include tasks, products or parts, and services or labor (Microsoft Learn: Get started with Dynamics 365 Field Service).

Ask dispatchers to show how incomplete requests are handled. For example, can they spot a missing address or required skill before assigning a technician, rather than discovering the problem after the job is on the schedule?

Scheduling, assignment, and control

Compare whether dispatchers can see workload and availability alongside territory, location, skills, priority, customer time windows, and other constraints that matter to your operation. Determine whether assignment is manual, assisted by suggestions, or automated—and whether dispatchers can review, override, or correct an assignment.

Microsoft documents a schedule board and resource matching by location, availability, skill, and priority, with manual, assisted, and automated scheduling approaches. ServiceNow documents optimization, routes, reassignment, and dependencies between tasks. These descriptions establish available capabilities in the cited products, not that their schedulers will produce the same result for your jobs (Microsoft Learn: Dynamics 365 Field Service overview; ServiceNow: Use Field Service Management; ServiceNow: Dynamic Scheduling).

During a demonstration, include a late-running job, a technician who becomes unavailable, and a job requiring a particular skill or part. Watch whether dispatch can understand the suggested change, intervene, and communicate the revised assignment.

Assets, preventive maintenance, and inventory

If service depends on customer equipment or stocked parts, check that the system connects the job to asset history and can support recurring maintenance. Trace parts from stock to a work order and through use, replenishment, purchasing, or return. A capability that appears in a feature list is useful only if it fits your organization’s actual inventory process.

Microsoft documents customer asset history, preventive maintenance, inventory, purchasing, returns, and inventory changes associated with completed work. Its documentation also describes time tracking, analytics, and billing, including closing a work order to generate an invoice for used parts or labor (Microsoft Learn: Dynamics 365 Field Service overview).

Customer communication and management visibility

Consider whether customers can receive appointment information or reminders, and whether dispatchers can see job status and exceptions as the day changes. Microsoft describes customer appointment visibility and automated reminders. Validate how those functions fit your own communication process, rather than assuming a product’s feature description guarantees a particular customer experience (Microsoft Dynamics 365 Field Service).

What should technicians be able to do in a field service app?

Follow the technician’s workflow from opening the day’s assignment through completion. The app should expose the information and actions required for the job, not merely display a calendar.

  • Understand the assignment: view the schedule, job scope, instructions, customer details, and relevant asset or service history.
  • Record progress: update status and completion details, document follow-up work, and capture evidence such as photos, video, or a signature when the process requires it.
  • Handle parts: check or record inventory use and communicate a parts need when the job cannot proceed as planned.
  • Stay connected to the work: communicate with dispatch, customers, or partners without losing the job context.
  • Close the job correctly: complete required fields or flag follow-up so the office has a usable record.

Microsoft documents mobile access to work orders, instructions, assets, service history, completion records, evidence capture, and offline information download. Salesforce Help lists mobile capabilities including inventory management, communication, geolocation tracking, and knowledge attached to work orders. Those are vendor-documented examples; they do not establish that the apps have identical workflows or usability (Microsoft Learn: Dynamics 365 Field Service overview; Salesforce Help: Field Service Mobile App).

Does field service software work offline?

Some products document offline field workflows, but offline behavior is not necessarily the same across vendors or configurations. Microsoft’s Field Service materials describe downloading information for offline work. That alone does not establish which records, actions, or attachments remain available in every deployment or how quickly changes sync when connectivity returns.

Test the specific phones or tablets your organization permits. In a pilot, have a technician open an assigned job with no connection, review the required information, record a realistic update, and reconnect. Confirm what was available offline, whether the update synced, and how conflicts or failed syncs are surfaced. Verify supported operating systems, device-management requirements, and security policies with the vendor.

How do I compare field service management software?

Use a representative job to compare products rather than relying on a generic feature checklist. Include both a dispatcher and a technician, and ask each vendor to demonstrate your constraints and exceptions.

  1. List the work you actually do. Include applicable job types such as emergency repair, scheduled maintenance, inspection, installation, multi-technician work, or dependent tasks.
  2. Define scheduling constraints. Write down required skills or certifications, territories, shifts, travel assumptions, customer windows, priority rules, parts, and equipment. Ask the vendor to show these conditions in the scheduling workflow.
  3. Walk through one job in both roles. Have a dispatcher create or receive the work order, assign it, handle a delay, and reassign it. Then have a technician open the job, find the right information, record work and parts, complete required steps, and close the work order or flag follow-up.
  4. Test mobile conditions. Confirm device and operating-system support, offline availability, sync behavior, and organization security requirements using the devices and connection conditions technicians will encounter.
  5. Trace assets and parts end to end. Use a realistic example to test truck stock, replenishment, returns, asset history, recurring maintenance, and downstream inventory records.
  6. Check the wider system fit. Validate integration with CRM and ERP systems, identity, maps, customer communication, and reporting. Ask about configuration, migration, implementation support, and licensing.
  7. Run a measured pilot. Agree on measures and a baseline before rollout. Depending on the operation, useful measures may include time to assign, schedule adherence, first-time completion, travel time, work-order completeness, inventory accuracy, and timeliness of customer updates.

Do not treat feature coverage as proof of speed, usability, reliability, implementation time, or return on investment.
