As of Google’s May 13, 2025 announcement, Gemini’s connections to Calendar, Docs, Drive, Gmail, Keep, and Tasks are generally available for eligible Google Workspace accounts when an administrator enables them. From the Gemini app, users can ask questions about their work data and, for supported tasks, create or change items in connected apps. Availability still depends on the Workspace edition, administrator settings, permissions, and rollout status of individual features.
What Gemini can do across Workspace apps
Google moved its Workspace app connections from open beta to general availability on May 13, 2025. The connections let Gemini use information in Gmail, Drive, Docs, Calendar, Keep, and Tasks to give more contextual answers or carry out certain actions. Google’s announcement describes this as access that must be enabled, not an automatic capability for every account.
Examples in Google’s announcement include asking Gemini to summarize unread email, find a document in Drive, look up meeting notes, create a Calendar event, or manage a task or Keep list. The available action depends on the request, app, account permissions, and administrator configuration; connection availability should not be taken to mean Gemini can perform every operation in every app.

Is Gemini included in a Workspace plan?
Google said on January 15, 2025 that Gemini capabilities were being added to Business and Enterprise Workspace plans without requiring separate Gemini Business or Gemini Enterprise add-ons. That announcement focused on embedded assistance in Gmail, Docs, Sheets, Chat, and Meet, including summaries, document and spreadsheet creation, and meeting notes. It does not establish that every feature or app connection is available on every Workspace plan.
The May 2025 app-connection announcement lists Business, Enterprise, Education, Frontline, Essentials, and Nonprofit editions as eligible, with some Education limitations. Actual availability can also depend on an administrator enabling the feature, the user’s permissions, and the feature’s rollout stage. Google’s January 15 plan announcement and May 13 availability notes are the relevant references for plan-level details.

How this differs from newer Gmail, Meet, Docs, and Vids features
The May 13 general-availability announcement applies specifically to Gemini’s connections with Workspace apps. It should not be read as confirmation that every Gemini feature announced later was generally available at the same time. Google’s May 20 announcement described several separate capabilities with staged availability, beta, Labs, or future-quarter timing.
Gmail
Google announced personalized Smart Replies that can draw on past emails and Drive files to better match context and tone. Inbox cleanup and appointment-scheduling features were also announced with staged availability. These are distinct from asking Gemini to find or summarize mail through the app connection.

Meet
Near-real-time speech translation was announced in beta for Google AI Pro and Ultra subscribers, initially translating between English and Spanish. Google said business testing was planned; the announcement does not establish general availability for Workspace users.
Docs and Vids
Google described source-grounded writing in Docs that can use selected decks, data, and reports, as well as Gemini assistance in Vids for scripts, voiceovers, animations, and edits. These capabilities had staged availability rather than one shared launch date. See Google’s May 20, 2025 feature announcement for the rollout distinctions.

Privacy, permissions, and administrative control
Google states that Workspace data used through the Gemini app is not used to train the Gemini model. It also says access is governed by Workspace permissions and context-aware access policies, so Gemini is not meant to bypass a user’s existing access restrictions. Administrators control whether the app connections are enabled, and a user’s effective access remains subject to the organization’s policies.
Google’s July 16, 2025 privacy statement says: “Your Google Workspace data is not used to train the Gemini model, and you’re always in control of your privacy settings.” For an organization account, users should check with their Workspace administrator about which connections and policies apply.

What Google’s “2 billion AI assists” figure means
On May 20, 2025, Yulie Kwon Kim, Google’s VP of Product for Workspace, wrote that Workspace was delivering “2 billion AI assists every month.” This is Google’s reported usage figure. The statement does not define an “assist” as a completed task or provide a controlled study showing time saved, so it should not be interpreted as a productivity measurement for an individual user.
