Protect equipment data by mapping every flow into and out of the AI tool, sharing only the fields needed for the maintenance task, separating analytics from operational control where appropriate, and restricting identities and connections. Then assess the vendor’s data practices and model-update process, test the system, and keep people responsible for consequential maintenance decisions. The right design depends on the facility and use case; neither cloud nor on-premises hosting is automatically safest.

What data can an AI maintenance tool receive?

Start with a data-flow inventory, not just the tool’s sensor feed. Predictive maintenance commonly analyzes sensor or continuous-monitoring data to anticipate failures and may generate preventative work orders. NIST’s January 2026 draft annotated outline describes workflows involving both on-premises and third-party-hosted models and notes that the data may be proprietary.

Inventory the full workflow

Record what is collected, where it is copied, who or what can access it, how long it is retained, and what the tool returns. Include the systems around the model as well as the model itself:

  • Equipment data: sensor readings, alarms, equipment identifiers, operating states, and maintenance history.
  • Facility and system context: configurations, asset relationships, network topology, and details about connected OT or IT systems.
  • Supporting data: exports, diagnostic bundles, service logs, derived features, model outputs, and work-order records.
  • Access material: credentials, tokens, account details, or other secrets that might be included inadvertently in a log or export.
  • People-related information: staff names, access patterns, or other personal information that could appear in records or logs.

For each item, note whether it stays in the operator-controlled environment, is sent to a vendor, is used to train or fine-tune a model, or is returned as an output. Treat this as a practical scoping exercise: the NIST predictive-maintenance example identifies sensor and monitoring data, but it is not a data-center-specific inventory standard.

Minimize what leaves the source system

Give the service only the fields needed for its maintenance purpose. Before exporting, remove credentials, unrelated logs, and unnecessary identifiers; consider whether records can be transformed or aggregated without undermining the task. Document approved fields and destinations so that a connector change or new export does not silently expand the data flow.

How should the AI system connect to operational technology?

Design the boundary between analytics and control deliberately. The NSA’s December 3, 2025 summary of joint agency guidance recommends: “Push data from the OT environment to a separate AI system where appropriate.” That supports a pattern in which approved data flows to analytics while the AI system does not automatically receive broad authority to change control systems.

Choose a boundary that fits the use case

Depending on safety, reliability, and security constraints, the AI service may analyze a limited data feed and return recommendations for review. If the use case requires a closer connection, document the reason, permitted actions, and safeguards. The guidance does not prescribe one architecture for every facility.

When comparing deployment approaches, assess the actual data and access paths rather than treating a hosting label as a security verdict:

Approach Questions to resolve
On-premises model Which equipment data and derived outputs remain local? Who administers the model and its supporting systems? How are updates, access, and monitoring handled?
Private or otherwise operator-controlled environment Which services or parties can access the environment? Where do connectors, support sessions, logs, and backups send data?
Third-party-hosted model What data leaves the facility, who can access it, and what do the vendor’s retention, deletion, training, incident, and subcontractor terms say?

NIST’s draft outline distinguishes on-premises and third-party-hosted predictive models, but the reviewed guidance does not establish that one is universally safer or settle the terms of any particular vendor. Verify those terms directly during procurement.

How do you restrict accounts and connections?

Give each person, service, connector, and AI component a distinct identity with only the permissions needed for its role. NIST’s January 2026 draft outline identifies least privilege across people, non-human identities, data access, and the model lifecycle. Use that principle to limit both what an account can read and what it can change.

Reduce unnecessary exposure

  • Keep systems that do not need internet access off the internet.
  • Limit remote support to approved users, systems, and tasks, and keep an auditable record of access.
  • For necessary external access, CISA’s Internet Exposure Reduction Guidance calls out changing default passwords, applying security patches, using a secure, monitored jump host, monitoring ingress and egress traffic, and applying multifactor authentication where possible.
  • Where the identity provider supports it, a FIDO2 security key can be one option for administrator or jump-host MFA. It protects an authentication step, not the telemetry itself.

CISA’s guidance page was surfaced in search but returned an access error when opened for detailed review, so treat the measures above as its stated recommendations rather than as a complete technical specification.

What should you check about the vendor and model lifecycle?

Evaluate the full service, including the data pipeline and supporting systems, not just the model’s prediction feature. Ask the vendor and internal owners to explain what happens during training or fine-tuning, deployment, routine maintenance, updates, and incident handling.

Resolve data-use and change-control terms

  • Which raw data, derived features, outputs, and service logs are retained, and for how long?
  • Can submitted data be used to train or improve a model? If so, under what conditions, and can that use be disabled?
  • How are deletion requests, backups, subprocessors, and security incidents handled?
  • How are changes to the model, software, connectors, and data pipeline tested, approved, monitored, and rolled back?
  • What records are available to audit access, data movement, model updates, and resulting recommendations?

Get answers in the applicable contract and technical documentation; the guidance does not establish vendor-specific retention, deletion, or model-training terms.

Use NIST’s draft as a planning aid, not a compliance claim

NIST’s SP 800-53 Control Overlays for Securing AI Systems: Using Predictive AI — Draft Annotated Outline, published in January 2026, is a draft rather than final prescriptive guidance. Its proposed considerations include baseline configuration, impact analysis, vulnerability monitoring and scanning, threat modeling, monitoring, boundary protection against exfiltration, and detection of unauthorized commands. Use these topics to structure a risk review, not to claim that a specific control is mandatory or that following the outline certifies a system.

How do you protect data integrity and privacy?

Disclosure is only one risk. NIST’s finalized project on protecting information and system integrity in industrial control system environments notes that connecting OT and IT can enlarge the attack landscape. If sensor readings, maintenance records, or model inputs are altered, the tool may produce unreliable recommendations even when no data is visibly exposed.

Check integrity as well as confidentiality

  • Identify where sensor data can be changed, filtered, delayed, or substituted before it reaches the model.
  • Keep a traceable record of input data, relevant pipeline changes, model versions, and recommendations so that an unexpected result can be investigated.
  • Review whether the output is consistent with trusted equipment observations and maintenance records before acting on it.

Look for personal information in operational records

NIST’s Cybersecurity, Privacy, and AI program page identifies privacy concerns such as re-identification and predictions that reveal additional insights about people. Check whether exports include staff identities, access patterns, or other personal information, and apply appropriate limits if they do. Do not assume every equipment record contains personal data.

How should people oversee recommendations and failures?

Retain human authority over decisions that could affect safety or availability. The NSA summary of the joint guidance recommends human involvement in critical decisions, fail-safe mechanisms, and integrating AI only where the expected benefits clearly outweigh the risks.

Define the operating limits before deployment

  • Specify whether the tool may only analyze and recommend, or whether it may initiate any action; define and restrict any permitted action.
  • Set out who reviews consequential recommendations and what evidence they need before approving work.
  • Decide what the system should do when data is missing, the model is uncertain or unavailable, or its behavior appears unexpected.
  • Test the workflow, monitor performance after deployment, and refine it as the equipment and maintenance process change.

A fail-safe plan should leave operators with a known way to continue safe maintenance work without depending on an unavailable or untrusted prediction. The joint guidance emphasizes testing, monitoring, validation, and refinement rather than treating deployment as a one-time approval.

What is a practical rollout sequence?

  1. Map the scope: list equipment, OT assets, data fields, AI services, gateways, connectors, accounts, and vendor access paths.
  2. Approve the data flow: mark what is collected, exported, retained, used for model improvement, and returned; remove fields not needed for the task.
  3. Set the boundary: choose whether the AI analyzes a separated data feed or needs a closer integration, and document allowed actions and constraints.
  4. Restrict identities and connectivity: assign unique least-privilege access, reduce external exposure, and protect necessary remote access.
  5. Review service terms and changes: resolve retention, deletion, training use, subcontractor, incident, update, testing, and rollback arrangements.
  6. Test and monitor: validate the workflow with representative conditions, monitor inputs and outputs, and establish a response to unexpected behavior or service loss.
  7. Reassess: revisit the data inventory, permissions, vendor terms, and safeguards when equipment, integrations, or model and pipeline versions change.
