Start by checking what Windows is searching and whether the relevant files are indexed. Windows Search can miss files when their folders are outside its indexed locations, return incomplete results while indexing is underway, or appear unhelpful when the search is limited to the wrong place. Check scope and indexing first; then run the built-in Search and Indexing troubleshooter if the problem remains.
First, check what you searched and where
The right check depends on whether you searched for an app, a filename, text inside a document, or an Outlook message. For files, use File Explorer to distinguish a search-scope problem from an indexing problem.
- Open the folder where you expect the file to be and search from that folder. This checks that location.
- If you need to look more broadly, select This PC in File Explorer and search again. Microsoft says this search is slower but more in-depth.
- If the file appears in its folder but not in the original search, the original search was likely limited to a narrower location. If it remains missing, check whether its location is indexed.

Check indexing coverage and choose a mode
Windows Search uses an index—a catalog of filenames, paths, properties, and, for files with text, their contents—to find matches without inspecting every file one by one. A complete index can make searches faster, but only for locations it covers.

In Windows 11, open Settings > Privacy & security > Searching Windows. Under Find my files, check the indexing mode and add locations if needed.

If a missing file is stored outside the locations covered by Classic, add that location or consider Enhanced if you want broader coverage. Indexing more locations can use more resources; choose coverage that fits where you keep files. Microsoft describes these options in Search indexing in Windows.

See whether indexing is still in progress
On the Searching Windows settings page, check the indexing status. If you have just set up Search or changed its coverage, give indexing time to finish before treating incomplete results as a fault. Microsoft says initial indexing can take up to a couple of hours; that is an expectation, not a guarantee for every PC.
For Copilot+ PCs, Microsoft recommends plugging in the device during initial indexing. Microsoft also says semantic indexing is enabled by default on those PCs. The same guidance explains that a fully built index can find the correct music files for “Beethoven” in a fraction of a second, compared with minutes without an index; this is an illustration, not a performance guarantee for every computer.

Run the Search and Indexing troubleshooter
If the needed location is covered and indexing has had time to complete, run Microsoft’s built-in troubleshooter:
- Open Settings > Privacy & security > Searching Windows.
- Select Advanced indexing options.
- Select Advanced.
- Under Index Settings, choose Troubleshoot search and indexing, then follow the wizard.
Labels and navigation can differ by Windows version. Microsoft also documents a Control Panel route in its guidance for finding files after upgrading Windows.

If Outlook search says the desktop search service is unavailable
For Outlook’s unavailable search features, Microsoft recommends checking whether the Windows Search service is running. This is an Outlook-specific diagnostic; Microsoft does not present it as a general fix for blank or irrelevant taskbar Search results.
- Open the Services app.
- Find Windows Search and check that its status is Running.
- Check that its startup type is not Disabled. Microsoft lists Automatic and Automatic (Delayed Start) as appropriate options for this Outlook issue.
Follow Microsoft’s guidance for when the desktop search service is unavailable if you need the Outlook-specific instructions.

If the search box is still blank
The checks above address indexed coverage, indexing progress, search scope, and the troubleshooter. Microsoft’s guidance does not establish one remedy that fixes every blank taskbar-search interface. If the problem persists after those checks, contact Microsoft Support or your organization’s IT support rather than applying unverified registry changes or third-party repair utilities.
