First identify whether Remote Desktop cannot reach the PC at all or reaches its sign-in screen but rejects the login. The first points to host availability, name resolution, network access or firewall rules; the second points to credentials, account permissions or Network Level Authentication (NLA). Work through the checks below in that order, and use the administrator-only steps for Windows Server or managed systems.
Check which kind of Remote Desktop connection you have
For Microsoft’s consumer PC Remote Desktop setup, the PC being controlled must run Windows Pro, have Remote Desktop enabled and be available on the network. The connecting device can run another Windows edition or another operating system. A Windows Home PC can connect as a client, but it is not a supported host for this consumer setup. See Microsoft’s Remote Desktop setup instructions.
- On the host PC, open Settings > System > Remote Desktop and confirm Remote Desktop is enabled.
- Note the PC name displayed on that page. Enter that name in the Remote Desktop client on the device you are using to connect.
- If the host is Windows Server, a Remote Desktop Services deployment, an Azure-hosted machine or a managed work PC, contact its administrator. Those systems may use policy, access controls or network rules that consumer setup checks do not cover.
If you cannot find or reach the remote PC
Make sure the host is available
Confirm that the remote PC is powered on, connected to the network and not asleep or hibernating. Check the name or IP address for typing errors. Microsoft’s Remote Desktop client FAQ recommends trying the host’s IP address when its PC name does not work.
- The IP address works but the name does not: The connection may be failing at name resolution. On a managed network, ask the administrator to check DNS or local name resolution.
- Neither works: Continue to the network and firewall checks. The host may not be reachable from your current network, or traffic may be blocked.
Check whether you are connecting from outside the host’s network
A PC name that works on the local network may not resolve from elsewhere. For a connection from outside the host’s network, use an organization-approved VPN or follow the network administrator’s access design. Microsoft also documents port forwarding as an option, but exposing Remote Desktop directly to the public internet can increase risk; do not configure it casually. See Microsoft’s guidance on allowing Remote Desktop access.

Check the firewall without turning it off
Windows Firewall or a network firewall can block Remote Desktop. The usual RDP port is TCP 3389, but an administrator may configure a different port. Check that the Remote Desktop firewall rule allows connections on the host’s active network profile and that any network firewall permits the configured port.
Do not disable Windows Firewall as a routine test. Microsoft advises allowing the needed app or connection rather than broadly weakening firewall protection; see its explanation of firewall app allowances and risks. If the PC is managed or you cannot change the rule, ask the administrator.

If the sign-in screen appears but login fails
Reaching the credentials prompt generally means the client has contacted the host; focus next on authentication and access rather than basic reachability.
- Verify the account name and password, including the account or domain format required by your organization.
- Confirm that the account is permitted to connect through Remote Desktop. Depending on the host configuration, the user may need to be an administrator or a member of the Remote Desktop Users group.
- Check whether the host requires Network Level Authentication. NLA requires authentication before a remote session is established. A client that cannot meet the host’s NLA requirements may fail even when the network path is available.
Do not disable NLA as an early troubleshooting step. If an administrator suspects a client compatibility issue, they should assess it and preserve the more secure configuration where possible. Microsoft describes these sign-in and NLA checks in its Remote Desktop client FAQ.

Administrator checks for Windows Server and managed deployments
The following diagnostics require administrator access and are intended for Windows Server or managed environments—not as routine steps for a home user. Microsoft’s server troubleshooting guidance and Remote Desktop Services troubleshooting guide cover these areas.
Test the network path and configured port
From an authorized Windows diagnostic machine, an administrator can test TCP reachability with PowerShell:

Test-NetConnection <host-name-or-IP> -Port 3389
Replace 3389 with the configured RDP port if it has been changed. A successful TCP test indicates that the tested host and port are reachable from that machine; it does not by itself prove that authentication or the RDP session will succeed. A failed test points toward a network-path, firewall or port-listening problem to investigate.
Check the listener, service and port ownership
Verify that the RDP-TCP listener is listening, that the Remote Desktop Services service (TermService) is running and associated with the expected listening port, and that another process has not taken that port. Confirm that host firewall rules, upstream firewalls and any network security group allow the configured port. If the host name fails but its IP works, check DNS resolution as well.

Microsoft reported that some organizations experienced Remote Desktop Services instability after the September 8, 2026 Windows security update. Microsoft says the issue is resolved by updates released on or after September 14, 2026, including KB5129194. This is relevant to environments matching the incident description, not a general explanation for consumer Remote Desktop failures. Microsoft’s notice says Windows 365 and Azure Virtual Desktop are not affected by this particular issue. Check the host’s update history and environment against Microsoft’s incident notice.
