Choose construction accounting software by testing whether it can follow costs, revenue, billing, and labor through the life of your jobs—not by relying on a generic “best” label. Start with the job-cost detail and WIP visibility your team needs, then validate billing, payroll, integrations, reporting, and total ownership cost using your own workflows.

Start with the construction workflows the system must control

Construction accounting is project-based. A useful system should connect financial transactions to the jobs they belong to and provide a view of project performance that matches how your team estimates, manages, and closes work. Before comparing products, list the workflows you need to run in the system and the records that must move between finance and operations.

Job costing by the dimensions you use

Check whether the software can track costs at the level your estimates and reports require: job, phase, cost code, and, where relevant, labor, materials, equipment, subcontractors, and committed costs. Procore describes coding expenses to projects and cost codes and job costing by project, phase, and cost code. Sage describes labor, materials, equipment, and subcontract costs as job-cost components, as well as tracking actual and committed costs across projects and entities. These are vendor descriptions, not independent assessments of product accuracy.

Ask how actual costs enter the ledger, who assigns or approves codes, and whether field staff can capture time or expenses where work happens. A feature list is not enough if costs arrive late, lose their coding, or require manual rework before they appear in job reports.

Work in progress and contract visibility

Ask how the system builds work-in-progress (WIP) reports and shows underbilling or overbilling as a project progresses. Procore describes WIP as tracking project costs and revenues through the project lifecycle; Sage describes automated WIP management and historical WIP data. Procore gives the example of a job that appears nearly complete on a cost basis but remains underbilled. Ask the vendor to demonstrate that situation using your contract types and close process, and inspect how the report derives its figures.

Billing, changes, and retainage

Map how an approved change order updates the project budget and flows into customer billing. Then trace how customer or subcontractor retainage is recorded, reported, and released. Procore identifies complex billing, change-order tracking, and retainage management as construction accounting concerns. Confirm that the product supports the billing formats and contract details your business actually uses rather than assuming that a generic invoicing feature is sufficient.

Payroll, time capture, and compliance

Determine what labor information must reach job costs, whether payroll is included or integrated, and how field time is coded to jobs and cost codes. Procore describes time capture tied to jobs and cost codes and discusses prevailing-wage and apprentice-hour requirements as examples of construction compliance needs. Sage’s construction guide highlights payroll integration. These sources do not establish which rules apply to your workforce or jurisdiction; confirm local requirements with a qualified adviser and the vendor.

Trace integrations and decide which system owns each record

Draw the path for timesheets, purchase orders, vendor bills, project budgets, and cost codes. For each record, identify the system of record, what syncs automatically, how failed or conflicting updates are reconciled, and whether the connection is native or depends on an add-on.

Procore says its platform connects to more than 100 accounting systems and names Sage, Viewpoint, and QuickBooks. That is a vendor claim, not confirmation that a particular product, edition, region, or workflow is supported. Verify the exact integration for the accounting system you intend to use, including which fields sync and in which direction. Sage also describes integrations as a way to connect finance with operations; ask the vendor to show the specific systems and data fields your business needs.

Compare reporting, company structure, and growth needs

List who needs reports—such as owners, controllers, project managers, lenders, or sureties—and the jobs, cost codes, time periods, and entities each report must cover. Check whether users can customize reports, whether multi-entity reporting is needed, and whether job-level profitability and WIP information can be produced in the format your team uses.

Sage describes customizable reporting, multi-entity support, and WIP data by job. Intuit describes QuickBooks Online construction job-cost reporting and says its Projects job-costing feature is available on QuickBooks Online Plus and Advanced. Confirm current plan packaging and report behavior in your country before choosing a plan.

Compare candidates against the same requirements

The available vendor documentation supports a shortlist of candidates and comparison criteria, not a universal product ranking. Treat the descriptions below as starting points, then check each candidate against your jobs, contract types, accounting structure, and integrations.

Sage 100 Contractor Sage identifies it as an option for smaller businesses needing job costing and core financial and project tasks. Check whether its job-cost detail and company-structure capabilities will accommodate your current work and expected growth.
QuickBooks Online Intuit describes construction job costing and reports; its page says Projects job costing is available on Plus and Advanced. Verify the plan, local availability, and whether your billing, job-costing, payroll, and reporting workflows are covered.
Procore Procore presents its platform as a field-facing construction hub that connects with accounting systems. Evaluate it as part of the accounting and operations stack, and confirm the exact integration with the ledger you select.

Vendor-hosted customer comments can offer context but are not independent benchmarks. For example, Sage’s product page features Morgan Schweitzer, Controller at Lunar Companies, saying Sage Intacct Construction offers data depth that may support future growth. Use that testimonial as one customer’s view, not proof that the product will fit every company.

Make implementation and total cost part of the decision

Current prices, migration effort, implementation fees, training costs, and ongoing support quality are not established by the product descriptions cited here. Request a quote based on your user count, entities, payroll requirements, integrations, data conversion, and support needs. Include the time your staff will spend learning and maintaining the system when comparing ownership cost.

Before committing, run a scripted demonstration using representative jobs and a real close period. Give each vendor the same scenarios so you can compare the results rather than relying on different sales presentations.

Suggested demonstration checklist

  • Create or update a job with the phases and cost codes your estimators use.
  • Enter labor, materials, equipment, subcontract costs, and committed costs where applicable, then show how each appears in project reporting.
  • Review a WIP report and trace how costs, revenue, and underbilling or overbilling are calculated.
  • Process a change order through budget revision and billing, then show how retainage is tracked and released if your contracts use it.
  • Send time, payroll, vendor bills, or project data through the integrations you plan to use; show how sync failures are surfaced and corrected.
  • Generate the reports your owners, finance team, project managers, or external stakeholders need, including any multi-entity views.

Compare each demonstration against the same requirements: job and cost-code depth, WIP and billing, payroll and time, operations integrations, reporting, company structure, support, and total implementation and ownership cost.
