A real hospital data breach does not make an email about it genuine: scammers can use breach news as a convincing pretext. Treat an unexpected message as unverified, avoid its links, attachments and contact details, and confirm it with the hospital or insurer using a website or phone number you find independently.

How to check a hospital breach email safely

Judge the request and verify the sender through a separate route. A familiar logo, a plausible explanation or a sender name you recognize cannot by itself prove that the message is authentic; accounts can be compromised, too.

  • Pause at unexpected requests. Be cautious if an email asks for a password, medical or insurance details, payment, a portal login, a link click or an attachment opening. The Federal Trade Commission (FTC) advises against giving medical information to someone who contacts you unexpectedly by email, call or text. See the FTC’s guidance on medical identity theft.
  • Check whether the message and request make sense. Were you expecting a notice from this organization? Is the requested action appropriate? Urgent pressure to act, a request to “confirm” credentials, or an unexpected file-share request are reasons to stop and verify. HHS healthcare cybersecurity guidance describes phishing as impersonating a trusted source to prompt a click, disclosure of credentials or malware delivery. See HHS healthcare phishing guidance.
  • Do not follow the email’s route. Don’t click its links, open suspicious attachments or call a number printed in the message to check whether it is real. If you can inspect a link destination without opening it, look for an unexpected or mismatched domain; do not proceed if it looks suspicious. HHS 405(d) advises healthcare staff to be alert to unexpected messages and suspicious links or attachments, and to verify file-sharing requests before sending data. Verify the notice outside the email

  1. Open the hospital’s or insurer’s website using a bookmark or address you already trust, or find its official number independently. A number on a prior statement or insurance card can also provide a separate route.
  2. Contact the organization through that route. Ask whether it sent the breach notice and whether it needs you to take any action.
  3. If you work for a healthcare organization, use its suspicious-message reporting process or contact IT/security support rather than forwarding information or clicking to investigate on your own.

The FTC recommends using a known real website or accurate phone number when a message may be phishing. Its phishing guidance also explains how to report suspicious messages. Independently found contact information is important because a fraudulent email can include links and phone numbers that lead back to the sender.

What a legitimate HIPAA breach notice may say

For a breach requiring individual notification under HIPAA, HHS says the notice should, to the extent possible, describe what happened, the types of information involved, steps people can take to protect themselves, what the organization is doing to investigate and mitigate harm and prevent further breaches, and how to contact the organization. HHS says individual notice must be provided without unreasonable delay and no later than 60 days after discovery. Written notice is by first-class mail, or by email if the affected individual agreed to electronic notice. These requirements are summarized in the HHS Breach Notification Rule guidance.

Those details can help you understand a notice, but they do not authenticate its sender: a scammer can imitate the expected content. Email notification can be legitimate in the circumstances HHS describes, so email alone is not proof of fraud either. Confirm the sender through an independently found contact route.

HHS Office for Civil Rights’ Breach Portal lists HIPAA breaches affecting 500 or more individuals that OCR investigates. It can help you check public reporting, but it may not show every breach and cannot establish that a particular email is genuine.

What to do if you clicked, replied or shared information

Choose the response based on what you exposed. If you are unsure whether a link triggered a download or an attachment installed something, treat the device as potentially at risk and contact your organization’s IT/security team if it is a work device.

What happened What to do next
Received the email but did not interact Verify independently, report it, then delete it or follow your employer’s reporting process. The FTC advises reporting phishing; healthcare workers should use their organization’s procedure.
Clicked a link but did not submit information If an account or device may be at risk, contact the real organization through a known route. If a download may have occurred, update security software and run a scan, following FTC guidance.
Entered a password or portal credentials Go directly to the real service using a known route and change the password. Enable multifactor authentication (MFA) if available; the FTC says MFA can make account access harder for scammers even if they obtain a username and password.
Shared medical, insurance or identity information Contact the affected hospital, insurer, pharmacy or other provider using known details. Review medical records, bills and statements for unfamiliar treatments or prescriptions. If you suspect medical identity theft, use IdentityTheft.gov for recovery steps.
Shared financial information or suspect broader identity theft Use IdentityTheft.gov for tailored steps if personal information may have been stolen.
Opened an attachment that may have installed malware Update security software and run a scan; remove anything it identifies as a problem. If it was a work device, report the incident through your employer’s process as well.

The FTC’s phishing guidance covers account security, malware scans and reporting. Its medical identity theft guidance explains how to review records and bills and what to do if you suspect misuse. No single step guarantees that an account or identity is safe; respond to the particular information or device exposed.

Report the message

Report phishing email to the Anti-Phishing Working Group at reportphishing@apwg.org, and report fraud to the FTC at ReportFraud.ftc.gov, as described in the FTC’s phishing guidance. If you are a healthcare worker, also follow your employer’s reporting procedure or contact IT/security support, as advised in the HHS 405(d) social engineering flyer.
