AI is turning enterprise data from something employees mainly search, analyze, and report on into an active layer within business applications and workflows. It can help people find and interpret information, support decisions, and carry out bounded tasks—but it is only as useful as the data, context, controls, and integration behind it.

What is changing: from standalone assistant to business data layer

An individual AI assistant can summarize a document or draft an answer. Enterprise transformation goes further: AI connects to business information, interprets it in context, and can put results into the systems where work happens. That may mean finding relevant records, producing an analysis, recommending a next step, or taking a limited action under defined rules.

The shift is visible across both knowledge work and operations. OpenAI’s 2025 report lists customer support, coding and developer tools, agentic workflow automation, in-app assistant and search, and data analysis, summarization, and extraction among enterprise use cases. Those observations describe OpenAI’s customer base and product usage, not all enterprises. In the UK’s 2026 Business Data Survey, common reported uses included information research and summarizing or collecting in-house information. The two sources use different populations and measures, so they should not be combined into a single adoption picture.

For a business, the practical change is a shorter path from information to action: employees may ask questions in natural language, receive a synthesis grounded in internal material, and continue work without manually moving data between as many tools. Whether that improves a business result depends on the task and how the system is implemented; usage alone does not prove a productivity gain or financial return.

Where AI is changing enterprise data work

Finding, summarizing, and analyzing information

AI can retrieve information across documents or systems, condense long material, extract fields, and help users explore data with questions rather than only predefined reports. It can also draft a narrative around an analysis. These capabilities can reduce the effort of locating and interpreting information, but people still need to check whether the answer is current, complete, and supported by the right records—especially when a summary will inform a consequential decision.

Working inside business applications

When AI is integrated into systems such as customer relationship management, finance, productivity, or case-management software, it can use relevant information in the flow of work instead of requiring users to switch among disconnected tools. Integration is a design and implementation choice, not an automatic result of purchasing an AI product. It requires decisions about which systems and records the AI can access, how existing permissions apply, and whether outputs can be written back or trigger actions.

Supporting decisions and executing bounded tasks

AI can assist with triage, recommendations, and other decisions, and some systems can execute steps in a workflow. The more autonomy a task has, the more important it is to define what the system may do, when a person must approve, how exceptions are escalated, and how actions are recorded. Gartner identifies decision governance as a data and analytics trend, emphasizing the need for decisions to be explainable, auditable, and aligned with intended outcomes.

How common is enterprise AI—and how integrated is it?

Adoption figures vary with geography, survey population, definitions, and question wording. The UK Department for Science, Innovation and Technology explicitly notes that estimates vary depending on what counts as AI, the tasks involved, and the roles surveyed. The figures below describe different measures, not comparable global rates.

The UK survey also found that businesses using AI were more likely than non-users to report collecting, sharing, and analyzing data. That is an association in survey responses; it does not establish that adopting AI caused businesses to increase those data practices.

Why data foundations determine what AI can do

A model does not automatically understand what a business’s data means. A customer name, revenue figure, or status code can mean different things across departments and systems. If records conflict, are stale, cannot be accessed, or lack clear ownership, a fluent answer can still be wrong or incomplete. An AI interface does not repair those underlying problems by itself.

Accenture’s account of AI-ready data points to more than technical cleanliness: data needs reliable quality, standardized governance, semantic meaning, identifiable entities and relationships, process context, and timely refresh. Gartner likewise emphasizes trusted data and context as foundations. These characteristics let a system distinguish, for example, which customer record is authoritative, what a business term means, and whether an event is recent enough to use.

AI use also connects closely with how an organization manages its information. In the UK survey, AI-using businesses were more likely to report collecting, sharing, and analyzing data than businesses not using AI. That relationship can reflect several factors, including the types of businesses involved; the survey does not show that AI alone produced more intensive data practices.

Data work that supports a useful deployment

  • Set clear definitions: document important business terms and identify authoritative sources when systems disagree.
  • Manage quality and freshness: check whether information is complete, reliable, and updated at a cadence suited to the use case.
  • Preserve relationships and process context: make clear how entities, records, and events relate and what business process they belong to.
  • Assign ownership and access: establish who is responsible for data and ensure AI access follows the intended permissions.
  • Track lineage and changes: retain enough context to understand where information came from and how it was transformed.

Real-time data and context retrieval solve different problems

Some uses need recent events: for example, a workflow that reacts to a new transaction or service incident. Streaming data can make those events available with less delay. Other uses need to connect information across documents, entities, or relationships to answer a complex question. Gartner describes GraphRAG as combining knowledge graphs with large language models to retrieve and connect context-rich information. Streaming addresses timeliness; GraphRAG addresses contextual retrieval. Neither is a mandatory architecture for every enterprise AI project.

Gartner forecasts that adoption of data streaming for agentic AI will exceed 60% by 2028, up from under 15% in 2025. This is a forecast, not an observed adoption outcome. Gartner also forecasts that by 2029 explicitly modeled business decisions will be five times more trusted and 80% faster than ungoverned decisions, enabled by adoption of decision intelligence platforms. That, too, is a forecast rather than a measured result.

Governance and operating-model change must scale with capability

Data and technology teams cannot carry enterprise AI alone. Business owners need to define the task and acceptable outcome; data teams need to provide dependable, contextual information; technology teams need to integrate systems; and risk, security, privacy, and legal specialists may need to shape controls for the relevant use case and jurisdiction. Staff also need training and a clear understanding of when to verify an answer or escalate a problem.

Survey findings point to a gap between deployment and control. Deloitte’s 2026 State of AI in the Enterprise report, based on a survey of 3,235 leaders conducted in August–September 2025, found that one in five companies had a mature governance model for autonomous AI agents. Deloitte also reports that leaders felt less ready in infrastructure, data, risk, and talent than in strategy. IBM’s 2026 study reports that surveyed organizations experienced an average of 54 AI-agent incidents in the preceding year; IBM defines an incident as an unintended or harmful occurrence that required human correction. These findings describe the surveyed populations and should not be treated as universal rates.

Gartner’s survey of 353 data and analytics and AI leaders, conducted in November–December 2025, found that 39% were confident their current AI investments would positively affect financial performance. Gartner also reported that organizations with successful AI initiatives invested up to four times more, as a share of revenue, in data quality, governance, AI-ready people, and change management than organizations with poor outcomes. These are survey findings and reported associations, not proof that spending alone causes success.

In practice, governance for an AI-enabled data workflow should make clear who owns the result, which actions require approval, how outputs and data access are monitored, how exceptions are handled, and what record is kept of the information and policy behind an action. The level of oversight should reflect the use case, sector, jurisdiction, and degree of autonomy; there is no single checklist that fits every deployment.

How to assess an enterprise AI data use case

Before choosing a platform or expanding a pilot, evaluate the whole path from information access to business outcome. The following questions help expose gaps that a model demonstration alone may not reveal.

  • Data access and integration: Which internal sources can the system use? Are permissions enforced consistently, and can the workflow safely return results to the systems where work happens?
  • Quality and context: Are definitions, lineage, freshness, and business meaning clear enough for the task?
  • Governance and auditability: Can responsible owners set boundaries, review outputs and actions, and investigate how a decision was reached?
  • Latency and workload: Is batch analysis sufficient, does the task need interactive retrieval, or must it respond to a live event stream?
  • Human oversight: Which outputs can be used directly, which require approval, and how are uncertain or exceptional cases routed?
  • Security, privacy, and jurisdiction: Where is data processed and retained, and what laws, contracts, or internal rules govern it?
  • Portability and cost: Can workloads or models be changed, and can spending be monitored against the value delivered?
  • Measured value: Does a pilot improve a defined business metric against a baseline while meeting agreed quality and risk requirements?

A useful pilot starts with a bounded task, an accountable owner, known data sources, a baseline, and clear rules for human review. Expand it only when the results are dependable enough for the intended workflow and the organization can support the additional integration, data management, and oversight.
