A servicer manages the day-to-day loan account; it may be different from both the lender that made the loan and the company that owns it. Before refinancing, ask who is expected to service the new loan and whether that assignment could change.
Understand what a servicer does
Your lender is the institution that provided or arranged the loan. The loan owner holds the debt. The servicer handles routine administration: collecting principal, interest, and any escrow payments; sending statements; tracking balances; and managing other account matters. These roles can belong to different companies. A loan can also be sold without its servicer changing.
A transfer of servicing changes which company performs those administrative tasks. The CFPB’s official model transfer notice explains: “Nothing else about your mortgage loan will change.” That describes a servicing transfer, not every possible change associated with a separate sale or transfer of loan ownership. What to compare between servicers
Use the same questions for each company. This is a practical checklist, not a regulator-backed league table: the CFPB sources cited here do not establish a comprehensive ranking of servicers by quality.

Payments and payment records
- Which payment methods are available, and what are the cutoff and processing expectations?
- How do you set up autopay, and what happens to an existing bank bill-pay instruction after a transfer?
- How are partial or extra payments shown in the account history?
- Where should you send payments, and how can you confirm they were credited?
Use the payment address and account instructions in official notices. After a transfer, update bank bill pay as needed and inspect the next statement to verify the payment was credited.
Escrow administration
- Does the account collect property taxes, homeowners insurance, or both?
- How does the servicer provide escrow statements and explain a shortage?
- How can you ask about a tax or insurance disbursement?
Escrow handling matters because servicers may collect these payments and are responsible for timely tax and insurance handling when applicable. CFPB: What is a mortgage servicer?

Statements and account access
Check whether you can readily retrieve monthly statements, payment history, payoff information, and other account details. In applicable cases, federal rules require written mortgage statements each billing cycle with specified information; ask how to access them and how long records remain available. Support and error correction
Find the company’s contact routes and how to submit a written request for information or a notice of error. Check how it acknowledges, tracks, and responds to those requests. Complaints and state authorization
Look for recurring issues and read company responses in the CFPB complaint database. Treat complaints as leads for further investigation, not as verified findings about every account or as a definitive rating. The CFPB cautions that company-level data should be considered in the context of company size or market share; not every complaint is published, and some are referred elsewhere. For applicable companies and license types, search the legal company name and relevant state in NMLS Consumer Access. The lookup covers participating state agencies, not every agency or license type, and its information is updated on business days. If an entry is missing or unclear, confirm authorization with the state regulator.

Questions to ask before refinancing
Compare the refinance’s loan economics and contractual terms separately from the servicing experience. Ask the lender:
- Which company is expected to service the loan after closing?
- Will the lender retain servicing, or is a transfer expected?
- What could cause the servicing assignment to change?
- Where will the loan documents or later notices identify the servicer and payment instructions?
The lender and servicer may differ, and servicing can change. The cited CFPB information does not establish that a borrower can choose or guarantee a specific servicer, so treat any answer as specific to the offer and loan documents rather than a permanent promise. What to do when servicing transfers
For covered transfers, Regulation X generally requires notice from the old servicer at least 15 days before the effective date and from the new servicer no more than 15 days afterward. They may instead send one combined notice at least 15 days before the effective date. Specified exceptions apply, including certain transfers preceded by insolvency or regulatory proceedings. The notice should give the effective date, contact details for both servicers, and the dates when the old servicer stops and the new one starts accepting payments. Regulation X, 12 CFR § 1024.33.
For 60 days from the effective transfer date, the new servicer generally may not impose a late fee or treat a payment as late if you sent it to the old servicer on time or within the applicable grace period. This protection applies to qualifying payments; it is not a reason to disregard the transfer notice.
- Read the notice and note the effective date, new contact details, and payment-routing dates.
- Redirect later payments to the new servicer, allowing mailing time if you pay by mail.
- Update any bank bill-pay instruction or autopay arrangement affected by the change.
- Review the next statement and retain payment confirmations so you can identify any posting problem.
If account information looks wrong
Keep statements, payment confirmations, escrow documents, and transfer notices. Use the designated written notice-of-error or request-for-information channel to raise a problem. If it involves both sides of the transfer, contact the old and new servicers. CFPB guidance describes response duties and timing, subject to the applicable rule and circumstances.
