Send an AI service only the minimum information needed to complete the task, and never put credentials in a prompt. Before sharing anything sensitive, confirm that the exact product, account, endpoint, feature, and workflow are approved for that data.
“Not used for training” and “zero data retention” do not necessarily mean that no prompt, output, file, derived metadata, or application state is stored. Data may pass through provider safety logs, file or retrieval storage, your own application and telemetry, and other systems—not just the model.
What should I do before putting sensitive data into an AI prompt?
- Classify and approve the data. Identify its owner, sensitivity, contractual or legal restrictions, and approved uses. Confirm that the exact provider account or tenant, endpoint, model, feature, and workflow are approved for it. Approval to use an AI service generally does not approve every dataset or use case. The U.S. Department of Energy (DOE) guidance says its recommendations do not authorize a data use or replace institutional privacy, cybersecurity, export-control, or research-security requirements.
- Reduce the information to what the task needs. Remove unrelated fields and records, names, direct identifiers, account details, internal URLs, and proprietary passages where they are not necessary. Substitute synthetic examples or stable placeholders if they preserve the task. Keep any required original data separately under appropriate access controls. OWASP AI Exchange recommends limiting sensitive data throughout collection, preparation, training, evaluation, and runtime logging; it notes that AI models may tolerate reduced feature sets and incomplete data.
- Check the complete data path. Map where prompts, outputs, attachments, retrieved documents, embeddings, memory, tool results, and application state travel and persist. Include your own gateway, observability stack, backups, and exports, as well as provider systems. For each copy, determine who can access it, how it can be deleted, and how long it remains.
- Check the terms for this precise workflow. Verify training or service-improvement use, content and metadata logging, retention, deletion, feature eligibility, processing location, and access terms. Check whether the provider is processing a direct API request or a cloud partner-operated deployment. Provider controls can differ by product, endpoint, account, feature, and contract.
- Keep evidence without retaining the payload. Record the information needed to explain and investigate a workflow, but redact or omit raw sensitive content. Restrict access and set a retention period for the records you keep.
Removing names alone does not prove that information is anonymous. The guidance cited here supports minimization and obfuscation, but it does not establish that any particular masking method guarantees anonymity in every context.
Which kinds of sensitive information should never go into prompts?
Never paste passwords, API keys, access tokens, certificates, or connection strings into prompts. Keep them out of notebooks, screenshots, agent instructions, committed configuration files, test fixtures, and logs as well. DOE recommends using an approved secret manager for systems that need credentials, granting only the necessary permissions, and using separate, short-lived, scope-limited credentials where supported. Know how to revoke them.

For other confidential information, use the data owner’s rules and the approved-use decision for the exact workflow. Minimize identifiers, account details, internal addresses, proprietary text, and unrelated records rather than assuming that a provider setting makes unnecessary disclosure safe.
Do AI providers keep prompts in model logs, and how long?
There is no single retention rule for all AI products, interfaces, endpoints, or jurisdictions. Also distinguish training use from operational logging: a service can exclude API data from model training by default and still retain content in abuse-monitoring logs or application state. The following are examples from provider documentation, not a ranking or universal policies.

These examples show why “not used for training” and “ZDR” are not interchangeable with “nothing is retained.” Review the live provider documentation and your contract for the workspace, project, endpoint, and feature you actually use; controls and eligibility can change.
How can I check whether privacy settings cover my exact AI workflow?
Use a short review record for each approved workflow. Ask the provider, cloud administrator, or data owner to confirm the answers rather than relying on a product-wide label.

- Service and responsibility: Which product, tenant, project, model endpoint, and feature process the request? Is the provider processing a direct API call, or is a cloud platform the processor?
- Training and improvement: Are prompts or outputs used for training or service improvement? Does opting in change the default?
- Content and metadata logs: Which prompts, outputs, files, or derived metadata may be logged? What are the retention periods and exceptions, and who can access those records?
- Separate storage: Do files, retrieval content, transcripts, memory, or application state persist outside abuse-monitoring logs? What deletion mechanism applies to each?
- Retention controls: Is ZDR or modified monitoring available for this organization, endpoint, and feature? Does it require approval or explicit enablement, and what storage behavior does it actually change?
- Processing and contract: Where is data stored and processed? What contractual commitments and customer-managed controls apply, and are there legal or safety exceptions?
- Local copies: Does your own application, gateway, monitoring service, backup, or export retain request or response content? Who can access each copy, and how long is it kept?
OpenAI’s business documentation describes access-management and regional storage or processing options for eligible products and customers. Those organization-specific options do not remove the need to minimize inputs or inspect other data paths.
How can I keep useful audit logs without copying sensitive prompt content?
Keep records that help explain what happened without turning the log into another copy of confidential data. DOE lists the following as potentially useful evidence:

- Provider, endpoint, model ID, date, and framework and tool versions.
- Versioned prompt identifiers, data provenance, and the actions the system took.
- Approvals, errors, timestamps, resource use, and test results.
- Outputs and human-review decisions when they are needed for the workflow.
Redact or omit secrets and unrestricted copies of sensitive prompts, files, and data. Limit log access and define retention for the evidence you keep. OWASP AI Exchange describes removing or anonymizing data after use as a short-retention control.

Do not rely on prompt wording to prevent access or actions. DOE’s guidance puts it plainly: “A prompt such as ‘never delete files’ is not an access control.” Enforce least privilege in the application, operating system, API gateway, database, or policy layer. Where possible, restrict allowed data and destinations, use read-only access, and require human review for consequential actions.
