Typing @ in Google Docs opens an insertion menu that can bring people, files, dates, events, reusable blocks, and familiar document elements directly into a draft. That changed how I work because I can add context and structure where I need it instead of treating the document as a blank page and navigating away to find each tool. It is a change in my workflow, not a measured productivity gain—and the menu is useful well beyond mentioning collaborators.
What happens when you type @ in Google Docs?
In a document on a computer, type @ to open suggestions. Keep typing letters, numbers, or symbols to narrow the options. For example, Google says to type @email and press Enter to insert an email draft. The menu can also add smart chips, building blocks, and standard document elements. That makes @ an insertion and discovery shortcut, not just a way to tag someone. Rather than remembering which Insert submenu contains a particular item, I can start with the thing I want and choose from the suggestions in context.
How the @ menu changes the way I draft
It turns references into interactive details
A plain-text name, date, or file reference tells a reader what I mean; a smart chip can connect that reference to related Google information. Google Docs supports chips for people with Gmail or Workspace addresses, Docs, Sheets, and Slides files, dates, Calendar events, and places. Depending on the type, hovering over or clicking a chip can reveal more information or an available action. Google’s smart-chip guide lists supported chip types and insertion options.

For dates, the menu recognizes shortcuts such as @today, @tomorrow, @yesterday, and @date, as well as relative dates. A Calendar event chip may show a Join action when its video meeting is starting soon or already underway. That makes a working document more useful as a place to keep the relevant reference, rather than merely a page that describes it.
A person chip is not a sharing control. Adding someone’s name does not share the document or grant them access; document permissions must still be managed separately.

It puts recurring work into the document
Google groups building blocks around project management, communication, and meetings. You can find them through the Insert > Building blocks menu or by typing @. Email drafts and meeting notes are examples. The practical benefit is having a starting structure close at hand when the document itself is where the work is happening. Google’s building-block instructions describe the available insertion route.
Eligible work or school users can also create custom building blocks from selected content and save them for reuse. Google says custom blocks themselves cannot be shared as blocks; another user can copy a template and create a block of their own. It brings ordinary document elements into the same menu
The @ menu is not limited to linked references or templates. It can also insert dropdowns, checklists, numbered and bulleted lists, images, tables, charts, headings, and hyperlinks. This breadth is what makes it feel like a working surface: one starting character can lead to structure, content, or a connection to something outside the document.
When a document can become the start of a Calendar event
For eligible work or school accounts, Google Docs can draft a Calendar event from within a document. The draft can include a title, time, location, description, and guests, and can then be sent to Google Calendar. This is distinct from inserting an existing event chip: one creates an event draft from the document, while the other references an event in a document. What the @ menu does—and does not—make easier
The menu can reduce the need to switch among insertion menus or leave a document to collect references, prepare structured notes, or draft related communication. That is a workflow advantage, not proof that every user will finish documents faster. If you mainly write uninterrupted prose, the menu may matter less; if your documents coordinate people, files, dates, or follow-up work, it can keep those pieces closer to the text.
Feature access depends on the feature. Google specifically limits custom building blocks and drafting Calendar events from Docs to eligible work or school accounts; that does not mean every @ menu option requires a paid Workspace account. Google’s help instructions are primarily desktop-oriented, so mobile app behavior and exact menu availability may differ.
