Excel can turn a folder listing into a searchable, clickable catalog of your files. Power Query imports file details such as names and folder paths; a worksheet table lets you filter and label them; hyperlinks let you open a file from its row. It is a practical way to organize files you already know you want to find—not a replacement for every kind of search.
The workflow below describes how to build that catalog. Microsoft documents the Excel features involved, but that documentation does not establish that I personally built or tested this setup.
Can Excel make a list of files in a folder?
Yes. In Excel for Windows, Power Query’s Folder connector can return information about files in a chosen folder and its subfolders. You can load the listing without importing the files’ contents. Microsoft’s Power Query Folder Connector documentation describes the connector and the file information it can display.
Start with a manageable folder—such as a project archive, work documents, or photos for a particular project—instead of pointing the query at the entire PC. Because the connector can include subfolders, a broad starting point can produce a large or noisy list.

How to create the catalog in Excel
- Choose a root folder. Pick a location whose contents you want to browse and maintain. This is a practical scoping choice, not a Microsoft requirement.
- Connect to the folder. In Excel for Windows, select Data > Get Data > From File > From Folder, then choose the folder. Ribbon wording can vary between Excel versions.
- Inspect the listing. Choose Transform Data to review the rows before loading. Keep useful fields such as file name, extension, modified date, and folder path if they appear in the listing.
- Filter the results. Filter by extension or folder path to exclude unrelated file types or subfolders. Microsoft describes these filters in its guide to importing data from a folder with multiple files.
- Load the table. Load the transformed listing into a worksheet. Add categories or notes only where they help you retrieve files; Power Query does not automatically know whether a document is, for example, a tax record or a project brief.
- Refresh and verify. Refresh the query when you want it to reflect changes in the folder, then test links in the updated table. The connector is a query-based listing, not a documented real-time synchronization service.
Cataloging files is not the same as combining their contents
For a navigation catalog, you generally need the file rows and their metadata—not a combined table of the contents of every document. Power Query’s combine operation is a different task: Microsoft notes that the same process is applied to files in the folder and its subfolders. It works best when those files have compatible formats and structures. If a directory mixes unrelated material, filter by extension or folder path before choosing to combine anything.
How to link to files from Excel
Add a column that points to each file. Excel’s HYPERLINK function accepts a destination and optional display text: =HYPERLINK(link_location, [friendly_name]). For example, a cell can display “Open file” while linking to the file’s location. Microsoft Support explains that clicking the cell opens the linked item in its Work with links in Excel documentation.

The destination must resolve to a valid location that you can access. Excel uses the active workbook’s location as the default base for hyperlink paths that do not specify a complete location. That makes the relationship between the workbook and the cataloged files important:
- Absolute paths point to a specific location. They are straightforward while files remain there, but moving the files or using the workbook on another computer can invalidate the path.
- Relative paths depend on the workbook’s location. They can suit a workbook and files that move together in a stable folder arrangement, but changing that arrangement can break the link.
After moving the workbook or reorganizing its files, click several links—including ones in different subfolders—to check that they still open the intended items. Formula separators and structured-reference syntax can vary with locale and table naming, so adapt the formula to your Excel setup rather than assuming one table formula works everywhere.

Will this work in my version of Excel?
Microsoft lists local-folder Power Query support for Excel 2016 or later Windows standalone editions and Microsoft 365. Its Power Query data sources by Excel version page treats Mac support separately, so do not assume that the Windows connector workflow or ribbon labels match feature-for-feature on Mac. Check the support information for your edition before following Windows-specific steps.

Windows Search may be enough if you mainly need to find files by their names, properties, or indexed contents. Microsoft’s Search indexing process overview describes indexing file properties and content. Excel is more useful when you want a curated list with your own categories, notes, filters, and direct links. That flexibility comes with upkeep: you choose the folder scope, refresh the query when needed, and check paths if files move.

When this approach makes sense
- Use an Excel catalog when you want a stable, browsable index of a defined collection and need your own labels or notes.
- Prefer Windows Search for ordinary retrieval by file name, properties, or indexed content without maintaining a separate catalog.
- Keep the catalog’s scope narrow enough that its rows remain useful, and choose a folder arrangement that makes its links practical to maintain.
