You can reduce the risk of broken links or lost access, but you cannot assume that either will survive a move between cloud storage providers. The result depends on the providers, account types, migration route, and how the destination represents users and sharing. Inventory access first, verify what the exact migration method carries over, and test links and permissions before retiring the source.
Why links and permissions may change
A file’s link and its access rules are separate things. A link may point to a provider-specific address that changes when a file is copied. Even if a link redirects, it does not necessarily give its holder permission to open the destination file. Permissions may also depend on the original owner, inherited folder access, groups, guests, or a provider’s sharing settings.
There is no universal cross-provider guarantee that file URLs, ownership, permissions, or version history will be preserved. Treat any promise to “preserve permissions” as specific to a documented source-and-destination pair, account type, and migration route.
Plan the migration before moving files
1. Define exactly what is moving
Record the source and destination providers, whether each account is personal or organizational, and whether the job is a copy, move, tenant-to-tenant transfer, or move into a shared or team space. Note the data involved, any deadline, and whether retaining version history is required. These details affect which migration routes apply and what they carry over.

2. Inventory ownership, access, and important links
Before choosing a tool or starting a migration, capture enough information to compare the destination with the source. Include:
- File and folder owners.
- Direct permissions and permissions inherited from parent folders.
- Groups, internal collaborators, guests, and other external users.
- Link-sharing scope and important existing URLs.
- References to those URLs in documents, websites, or business processes.
- Version-history requirements and items that may not be supported by the selected workflow.
Provider controls can differ even within one service. Dropbox, for example, has owner, editor, and viewer roles for shared files and folders, and its team administrators can change default link-sharing settings. Check the applicable Dropbox sharing model and team settings; those controls do not establish how Dropbox links or roles map to another provider. See Dropbox’s guide to managing sharing permissions.
3. Map identities where the migration requires it
For organizational moves, decide how source users and groups correspond to destination identities. Confirm that destination accounts and groups exist, and that external guests can be represented and authorized. Microsoft’s documented cross-tenant OneDrive workflow uses an identity map to adjust ownership and permissions; this is a workflow-specific requirement, not a general rule for every provider pair. Choose a migration route that matches your requirements
Check the current documentation for the exact source, destination, account types, and route before starting. Compare the route or tool on these points:
- Whether it supports your exact provider pair and account types.
- Whether it carries ownership, direct and inherited permissions, groups, and guest access—and how it maps each one.
- Whether old links redirect, are recreated, or stop working.
- How it handles versions and unsupported items.
- What validation, rollback, and source-retention controls it provides.
Do not rely on a generic third-party claim that permissions are preserved. Ask for documented support for your exact configuration and test the result before relying on it.
Google Workspace migrations into Drive
Google Workspace documents migration into Drive from Microsoft OneDrive, SharePoint Online, and Dropbox. Its guidance identifies items that may not migrate, including certain restricted files, files created by external users, and OneDrive folder shortcuts. Check the current Google Workspace migration documentation for limitations that apply to your workflow.

Google warns that editing files or permissions while a migration is running can lead to errors and make versions harder to maintain. Avoid making those changes during the job. Google’s large migration best practices also emphasize planning for permission inheritance and file ownership.
Moving files into a Google shared drive
A move into a shared drive can change who has access. Google says nonmembers may lose access, and permissions inherited from folders are not copied in some move scenarios. In particular, a child folder moved into a shared drive does not carry permissions inherited from its former parent; moving a parent folder can leave children inheriting those permissions. Google also documents ownership and move restrictions. Check Google’s instructions for moving files and folders into shared drives before selecting this route.

Microsoft cross-tenant OneDrive migration
For Microsoft’s documented cross-tenant OneDrive process, administrators prepare destination users and groups and provide an identity map. Microsoft says existing shared links for migrated files redirect from the old location to the new one, as long as the user still has destination access. A redirect does not itself grant permission. The redirects remain until the source tenant is deprovisioned or an administrator removes them site by site. These details apply to this documented cross-tenant process, not to unrelated cloud providers or personal-account copies. Consult the overview and FAQs for the applicable requirements.

Pilot the move, then validate access
1. Test a representative sample
Before transferring the full library, run a small test that includes nested folders, inherited access, link-shared files, and externally shared items. Check ownership, direct grants, inherited access, versions, and links at the destination. A sample should reflect the edge cases in your inventory, not just a few easy-to-move files.
2. Keep content stable during transfer
For a Google Workspace migration into Drive, do not edit files or permissions while the migration is running. For other routes, follow the provider’s documented change-freeze guidance rather than assuming that concurrent edits will be reconciled.
3. Test as the people who need access
After the test or full transfer, verify access using the relevant identities: an owner, an internal collaborator, a group member, and an external guest where applicable. Open old links as well as destination links. Confirm redirect behavior only when the selected workflow documents it, and check that each person has destination permission.

4. Repair sharing and references
Where access is missing, grant the appropriate destination permission or correct the identity mapping. Where an old URL does not work, create a replacement link and update references in documents, websites, and processes. Communicate changed links to collaborators who rely on them.
5. Retain the source until checks are complete
Keep the old environment available through validation and link replacement unless the provider-specific plan says otherwise. For Microsoft’s documented cross-tenant OneDrive workflow, redirects depend on the source tenant remaining available and can be removed by administrators; plan source retirement accordingly.
When to get migration help
A small personal library may be manageable with a provider’s documented tools and a careful test. For a large organizational library with extensive inherited access, external guests, business-critical links, or strict version-history requirements, involve administrators or a migration specialist before transfer. Ask them to show how the exact provider pair handles identity mapping, links, unsupported items, validation, and rollback; do not treat an unqualified preservation claim as proof.
